QuickBooks alternatives: where to go, and how to move your books safely

QuickBooks alternatives for US small businesses: six reasons people leave, six tools to switch to, and an eight-step plan that keeps your history intact.

The short answer: if you're leaving QuickBooks Online because of the bill, move to Xero. It starts at $27 a month with no per-user fees, it feels the closest to QuickBooks, and conversion partners can bring over up to two years of history. On a tight budget, Zoho Books has a free plan for businesses under $50,000 in revenue and a free assisted migration. Freelancers who mostly send invoices will be happier on FreshBooks or Wave. If you've outgrown QuickBooks, look at Sage Intacct or NetSuite. One honest caveat before you go: a migration costs real hours of cleanup. If price is your only reason, check your actual plan in Subscriptions and Billing first, because moving to dodge a price change alone rarely pays off. We compared six destinations and their 2026 prices, plus the export steps that keep your books intact.

Why people leave

Why small businesses leave QuickBooks Online

QuickBooks is still the default for US small businesses, and most accountants know it. People don't leave because it's broken. They leave because of the price, the add-ons, and what happens when they need help.

The price climbs with every tier

QuickBooks Online lists Simple Start at $38 a month for one user, Essentials at $85 for three, Plus at $140 for five and Advanced at $340 for 25. The jump from one tier to the next is steep, and you often need the next tier just for one feature, like inventory or more users.

Payroll is often the bigger bill

Many users say payroll, priced per employee on top of the base plan, is now the line they notice first. Several of them moved payroll to a separate provider and kept or replaced their accounting tool on its own.

Per-user limits

Every plan caps the number of users. A growing team that needs one more login can be forced into a higher tier. Xero, by contrast, doesn't charge per user.

Support that follows a script

A recurring complaint in user reviews is support that sounds scripted and rarely solves the issue on the first contact. Long-time customers who left after decades often cite it next to price.

Introductory discounts end

The 50% off for three months is attractive, but your renewal comes at full price. Many people only notice the real cost a few months in, when the card statement changes.

More product than you need

A freelancer who sends ten invoices a month doesn't need a full ledger with classes and locations. Lighter tools cost less and take less time to keep clean.

6 alternatives

QuickBooks alternatives, tool by tool

For each tool: why switch to it, who it's for, its limit, how to bring your QuickBooks data, and what it costs. Prices are the monthly prices each vendor shows in 2026. A note on comparing prices: QuickBooks limits users on every plan, Xero doesn't, Zoho Books caps users by tier, and FreshBooks caps billable clients. So compare the price for your real team size, not the entry price. A five-person team pays $140 a month on QuickBooks Plus, $27 to $97 on Xero depending on volume, and $40 to $50 on Zoho Books Professional. 01

Xero: the closest switch, without per-user fees

Our default pick

Why switch to it. Xero is the tool people describe as most similar to QuickBooks Online: bank feeds, reconciliation, invoices, bills and reports, all in the browser. The difference that matters is pricing: plans don't charge per user, so the whole team and your accountant can log in.

Who it's for. Small businesses with an outside accountant, and growing teams that need many logins.

Who it's not for. Very small businesses that send lots of invoices on the cheapest plan: Early caps you at 20 invoices and quotes, and 5 bills, a month.

Its limit. Payroll isn't built in for the US. If you're also coming from a desktop tool, our Sage 50 switching guide covers the same moves. It runs through Gusto, from $36 a month plus $6 per employee. Growing costs $59 a month and Established $97.

How to migrate from QuickBooks. Xero works with conversion partners that can move contacts, chart of accounts, balances and transactions, with up to two years of history. Check the cost for your plan with the partner before you commit. Users of the converter report about three days for a conversion, and say inventory, foreign currency and fixed assets still need manual work. One user who skipped the import and started fresh from January 1 said setting up the chart of accounts and categorizing transactions took a weekend.

Zoho Books: the best value, with a free migration

Best value

Why switch to it. Zoho Books covers the same ground as QuickBooks Essentials and Plus for much less, and Zoho offers a free assisted migration from QuickBooks Online or Desktop.

Who it's for. Small budgets, businesses under $50,000 in revenue, and teams already on Zoho CRM or other Zoho apps.

Who it's not for. A business whose accountant only works in QuickBooks. Ask before you move: changing tools alone can cost you in accountant hours.

Its limit. The free plan stops at $50,000 in revenue, 1,000 invoices a year and one user plus your accountant. Standard is $20 a month ($15 billed yearly) for three users, Professional $50 ($40 yearly) for five, and Premium $70 ($60 yearly) for ten.

How to migrate from QuickBooks. Request the free migration, and send your QuickBooks exports by year. Check the opening balances against your last QuickBooks balance sheet before you send a single invoice.

FreshBooks: built for invoicing first

For freelancers

Why switch to it. FreshBooks starts from the invoice, not the ledger. Time tracking, estimates and client payments come first, which suits service businesses better than QuickBooks' accountant-first layout.

Who it's for. Freelancers, consultants and agencies who bill clients for their time.

Who it's not for. A product business with inventory, or a company with many employees.

Its limit. Plans cap billable clients: Lite at $23 a month covers 5 clients, Plus at $43 covers 50, and Premium is $70. Each extra team member costs $11 a month.

How to migrate from QuickBooks. Export your customer list and open invoices from QuickBooks, import them, and start new invoices in FreshBooks from day one. Keep the old QuickBooks reports for your accountant.

Wave: free bookkeeping for very small businesses

Cheapest

Why switch to it. If you were on QuickBooks Simple Start for basic income and expense tracking, Wave does that for $0.

Who it's for. Sole proprietors and very small businesses in the US and Canada.

Who it's not for. Anyone outside the US and Canada, or a team that needs several users and detailed reports.

Its limit. The free Starter plan is basic. Pro costs $19 a month or $190 a year and adds automatic bank imports and receipt features.

How to migrate from QuickBooks. Start at the beginning of a fiscal year with your closing balances from QuickBooks, and keep the full QuickBooks export as your archive.

Sage Intacct: when you've outgrown QuickBooks

Multi-entity

Why switch to it. Sage Intacct is built for multi-entity accounting, consolidations and a real finance team, which is where QuickBooks Advanced starts to strain.

Who it's for. Companies with several entities and an in-house controller or CFO.

Who it's not for. A small business with one entity: you'd pay for structure you don't use.

Its limit. Pricing is quote only, and implementation goes through Sage or a partner.

How to migrate from QuickBooks. Plan the switch at fiscal year-end with your implementation partner, map your chart of accounts first, and bring over opening balances rather than every transaction.

NetSuite: accounting, inventory and orders in one system

Full ERP

Why switch to it. When inventory, orders and accounting live in different apps bolted onto QuickBooks, NetSuite puts them in one system.

Who it's for. Midsize, inventory-heavy businesses that are already paying for several QuickBooks add-ons.

Who it's not for. A service business or any company under a few dozen people.

Its limit. Pricing is quote only, and an ERP rollout is a project, not a weekend.

How to migrate from QuickBooks. Clean up your QuickBooks data before the project starts (old customers, duplicate items, unused accounts), because everything you import becomes part of the new system.

Migration

Leave QuickBooks in eight steps

The order matters more than the tool: decide, export, convert, reconcile, and cancel last. Keep your accountant in the loop at every step. One practical tip: don't try to bring your whole QuickBooks history into the new tool. What you need is correct opening balances, your open invoices and bills, and a full QuickBooks archive in Excel and PDF stored outside any software, ready if the IRS or a lender ever asks.

01

Check what you really pay

Before deciding

Open Subscriptions and Billing and note your plan, your payroll add-on and your renewal date. If the gap with the alternative is small, staying may be cheaper than the cleanup a migration brings.

02

Talk to your accountant

Before deciding

Ask which tools your accountant supports. A tool your accountant doesn't know means file exchanges every month, and those hours can cancel out the savings.

03

Pick the switch date

Calendar

Switch at the start of a fiscal year if you can: your QuickBooks closing balances become your opening balances. Mid-year, you'll need to bring over transactions from January 1 as well.

04

Export everything, year by year

Data

Go to Settings, then Tools, then Export data. Export the general ledger for all dates, profit and loss, balance sheet, trial balance, journal and lists, in Excel and in PDF. Export one year at a time to avoid time-outs. Non-posting transactions such as estimates are left out of that export, so pull them separately.

Often lost

Receipts and attached documents don't come with the standard export. Download them separately. Payroll history, custom reports, memorized transactions and recurring templates often don't transfer either, so save them as PDF.

Run the conversion or set up from scratch

Technical

Use the destination's migration service if it has one (Zoho Books offers a free one; Xero works with paid or partner-led conversions). Otherwise, set up the chart of accounts, enter opening balances and import open invoices and bills one by one, not as a single total.

08

Cancel last, and keep the archive

Final step

Cancel only once your accountant has signed off. After you cancel, QuickBooks keeps your company in read-only mode for a limited time, then it's gone, so finish every export before you click. Store the exports in two places.

What goes wrong

What makes a QuickBooks migration fail

Migrations rarely fail on technology. They fail on timing, missing exports and shortcuts that show up at year-end.

Switching only to dodge a price change

A cleanup can cost more than a year of the price difference. Move for fit, users or payroll, not for a few dollars a month.

Cancelling before exporting

Read-only access after cancellation is temporary. Export first, check the files, then cancel.

Forgetting attachments

Receipts don't come with the standard export. Without them, an audit gets painful.

Moving mid-year without the details

A mid-year switch needs year-to-date transactions, not just balances, or your year-end reports won't add up.

Importing customer balances as one total

Bring open invoices one by one. A single total breaks reminders and aging reports.

Leaving payroll for later

Payroll and tax filings run on deadlines. Decide where payroll goes before the switch date, not after.

  • Plan, payroll and renewal date checked
  • Accountant agrees on the destination
  • Switch date set at fiscal year-end if possible
  • Ledger, reports and lists exported year by year
  • Attachments and payroll history downloaded
  • Trial balances match account by account
  • QuickBooks cancelled last, archive in two places
FAQ · 8 questions

QuickBooks switching questions

  • What is cheaper than QuickBooks?

Wave (Starter $0, Pro $19/mo), Zoho Books (free under $50,000 in revenue, then from $15/mo billed yearly) and Xero ($27/mo with no per-user fees) all cost less than QuickBooks Simple Start at $38 for one user. The gap widens with users: QuickBooks Plus is $140 for five.

  • Is Xero better than QuickBooks?

For a growing team, often yes, because Xero doesn't charge per user. QuickBooks keeps the edge on US payroll built into the product and on how many accountants already know it.

  • Can I move my QuickBooks data to another program?

Yes. Export reports and lists from Settings, then Tools, then Export data, and download attachments separately. Xero works with conversion partners that can bring up to two years of history, and Zoho Books offers a free assisted migration.

  • Is there a free alternative to QuickBooks?

Yes: Wave's Starter plan and Zoho Books' free plan. Zoho's free plan stops at $50,000 in revenue and 1,000 invoices a year; Wave only serves the US and Canada.

  • What happens to my data when I cancel QuickBooks Online?

Your company moves to read-only mode for a limited time, and you can export during that window. Reactivating within that period restores everything. Don't count on it: export before you cancel.

  • Should I switch accounting software just because of a price increase?

Usually not. Accountants warn that the cleanup after a switch can cost more than the price difference. Switch if you also need more users, better payroll terms or a different kind of tool.

  • When is the best time to switch from QuickBooks?

At the start of a fiscal year, so your closing balances become your opening balances. A mid-year switch works, but you'll have to bring in every transaction since January 1.

  • What happens to payroll if I leave QuickBooks?

Payroll needs its own plan. Xero runs US payroll through Gusto, from $36 a month plus $6 per employee. Save your QuickBooks payroll history as PDF before you cancel.
