What you can automate

What can the Chatforma Make integration do for you?

The Chatforma Make integration links your Chatforma account to Make, a visual tool where you build a scenario: an automation made of modules, each module being one brick such as a trigger, an action or a search. Chatforma brings 14 of those bricks, so your bot can start a workflow and receive instructions from other apps.

Sort people as they answer. Watch New User Input picks up fresh answers from your bot, and Add a User to a Segment files that person into the right group. Later, Delete a User from a Segment takes them out again when their situation changes.

Write back to one person. When a record changes in another app, Send a Message to a Specific User or Send a Message to a Dialog pushes a reply into Chatforma without anyone opening the dashboard.

Reach a whole group at once. Send a Message to a User Segment addresses everyone in a segment, and List Segments helps you pick the right one first. The six List modules also feed reports: bots, forms, messages, dialog users.

Know the limits before you start. The Make documentation for Chatforma is short and flagged as AI-generated, so check a module on a test bot before you trust it with real users. When a listed module does not cover your case, Make an API Call reaches the rest of the Chatforma API with the same connection. If you are still choosing a platform, read the n8n vs Make comparison, and the Make pricing guide explains how operations are counted.

Connect

How do you connect your Chatforma account to Make?

  1. 01

Copy your API key from Chatforma

Open the Chatforma dashboard, go to the Settings menu and choose the API or Integrations tab. Copy the API key shown there. You need an active Chatforma account for this key to exist.

  2. 02

Add a Chatforma module in Make

In your Make scenario, add any Chatforma module and click Create a connection. A connection is your Chatforma account linked to Make once, then reused by every Chatforma module you add later.

  3. 03

Paste the key and name the connection

The Connection name field is optional, but a clear label like the bot's name helps when you run several accounts. Paste the API key, follow the on-screen instructions and save.

First scenario

Build your first scenario with Chatforma

GoalWhen a user sends new input to your Chatforma bot, Make adds that user to a segment you choose.

  1. 01

    Create the scenario

Go to the Scenarios page, create a new scenario and click the big + to add the first module. Search for Chatforma and pick Watch New User Input.

  2. 02

Connect and set up the trigger

Click Create a connection and paste your API key. Then fill in the module fields: once the connection works, Make lists the Chatforma items it can read, so you pick instead of typing.

  3. 03

    Add the segment action

Click the + on the right of the trigger and choose Add a User to a Segment. Map the user from the trigger's output, so each bundle (one answer, one person) lands in the segment.

  4. 04

    Test with Run once

Send a message to your bot, then click Run once. Make runs the scenario one time and shows the bundles each module received, which lets you check the right user was added.

  5. 05

    Schedule and switch it on

Open the clock on the first module. A new scenario runs every 15 minutes by default, and the Free plan cannot go below that. Adjust it if needed, then switch the scenario on.

Triggers

What starts a Chatforma scenario?

1 module starts a scenario when something happens in Chatforma. A scheduled trigger is checked by Make on the scenario's schedule; an instant one is called by Chatforma as soon as it happens.

Chatforma1Watch New User Input

Watch New User Input

triggerIn the docs only

Watch New User Input hands your scenario the latest things people send to your Chatforma bot, so every answer can be routed somewhere useful instead of waiting in the dashboard.

How it fires
it is a scheduled trigger, so Make checks the app on the scenario's schedule, every 15 minutes by default and as often as every minute on a paid plan. It is not real time.
When to use it
a lead bot whose answers must reach a CRM, a sheet or a segment without copying them by hand.
Watch out
each input becomes one bundle, and every module after it spends one operation per bundle.
Modules

What else can Make do in Chatforma?

Chatforma gives you 13 modules. For each one: what it does for you, when to reach for it, and what to watch out for.

Chatforma1

Add a User to a Segment

ActionIn the docs only

Put one Chatforma user into a segment, so that person joins the group you target later with bulk messages. It acts on a single user per bundle.

When to use it
right after the trigger, when an answer tells you which group someone belongs to, such as an interested prospect.
Watch out
check the exact segment name with List Segments before you build the rest of the flow.
Chatforma2

Delete a User from a Segment

ActionIn the docs only

Take a user out of a segment so they stop receiving what that group receives. Going by its name, it removes the membership, not the person's Chatforma profile.

When to use it
a customer who has bought or unsubscribed in another app and should leave a follow-up group.
Watch out
the documentation says little about this module, so try it on a test user before running it on your audience.
Chatforma3

List Bots

SearchIn the docs only

Get the bots on your Chatforma account as separate bundles, which is handy when one connection covers several bots and a later module needs to know which one to address.

When to use it
building an overview of your bots in a sheet, or picking a bot dynamically.
Watch out
like every search, it can return zero, one or many bundles, and each later module runs once per bundle.
Chatforma4

List Dialogs Users

SearchIn the docs only

Pull the users attached to your bot's dialogs, one bundle per person, to see who has talked to your bot and act on each of them in the next module.

When to use it
exporting your conversation contacts to a CRM or a mailing tool that lives outside Chatforma.
Watch out
a long list multiplies operations downstream, so add a filter before any action if you only need some users.
Chatforma5

List Forms

SearchIn the docs only

Returns the forms set up in Chatforma, each as its own bundle, so a scenario can check what exists before reading or reporting on answers.

When to use it
one scenario handles several forms and you would rather not type each one in.
Watch out
the documentation gives no detail on what each bundle contains; run it once and read the output before mapping anything.
Chatforma6

List Messages

SearchIn the docs only

Read back messages from Chatforma as bundles you can archive, analyse or pass to another app, without opening each conversation yourself.

When to use it
keeping a copy of bot conversations in a database or sending them to a support tool for review.
Watch out
it is a broad search; if you only care about one person, List User Messages keeps the output smaller and cheaper in operations.
Chatforma7

List Segments

SearchIn the docs only

Shows the segments of your account one by one, which is the quickest way to find the right group before adding, removing or messaging users.

When to use it
checking segment names while you build, or syncing your Chatforma groups into a sheet your team reads.
Watch out
a search on its own changes nothing; pair it with a segment action or a message module to act.
Chatforma8

List User Messages

SearchIn the docs only

Focused on one person, this search brings back what a given user has exchanged with your bot, so a follow-up can take the whole conversation into account.

When to use it
a sales rep asks for the chat history of a lead before calling them back.
Watch out
you need the user identified first, usually mapped from Watch New User Input or List Dialogs Users.
Chatforma9

Make an API Call

ActionIn the docs only

Reach any Chatforma API endpoint from your scenario, using the connection you already set up, when none of the ready-made modules does what you need.

When to use it
an operation you can see in Chatforma but cannot find among the 14 modules listed on this page.
Watch out
you write the request yourself, so read the Chatforma API reference first; Make does not guess the endpoint for you.
Chatforma10

Send a Message to a Dialog

ActionIn the docs only

Post a message into an existing conversation, so the user sees it in the same thread where they were already talking to your bot.

When to use it
an order or ticket changes status in another app and the customer should hear it where the chat started.
Watch out
the scenario needs the dialog to target; map it from a trigger or a List module rather than typing it.
Chatforma11

Send a Message to a Specific User

ActionIn the docs only

Address one chosen user directly, which suits personal replies more than broadcasts, and each bundle produces one message to one person.

When to use it
confirming a booking or answering a question the moment another tool has the answer.
Watch out
if the step before it returns many bundles, the same text goes out many times; check with Run once before activating.
Chatforma12

Send a Message to a User Segment

ActionIn the docs only

Reach every member of a segment with one module, so a whole group gets the same news without building a loop over users.

When to use it
announcing an event, a restock or a new offer to people you grouped earlier with Add a User to a Segment.
Watch out
point it at a small test segment first, then switch to the real one once the text reads right.
Chatforma13

Send a Specified Message

ActionIn the docs only

Going by its name, this action sends a message you point to, rather than text you write inside the module, which keeps wording managed in Chatforma.

When to use it
your team maintains standard replies in the bot and Make should only choose when to send one.
Watch out
the documentation does not describe this module; test it on your own account and compare it with Send a Message to a Specific User.

FAQ

Chatforma and Make: common questions

01Is the Chatforma Make integration free?
Yes, on the Make side: Chatforma is a standard app, available from the Free plan. That plan allows 2 active scenarios, a minimum of 15 minutes between scheduled runs, 5 minutes of execution per run, files up to 5 MB and 512 MB of data transfer. Paid plans (Core, Pro, Teams, Enterprise) lower the interval to 1 minute and count usage in operations each month. Chatforma itself needs an active account, and its own pricing page tells you what that costs.
02What do you need to connect Chatforma to Make?
An active Chatforma account and its API key. In the Chatforma dashboard, open Settings, then the API or Integrations tab, and copy the key. In Make, add any Chatforma module, click Create a connection, give it a name if you like and paste the key. The connection is then reused by every Chatforma module in your scenarios, so you only do this once per account. Cannot find the key? Remember it lives in Chatforma, not in Make, under a tab named API or Integrations depending on the account.
03Does the Chatforma trigger in Make work in real time?
No. Watch New User Input is a scheduled trigger: Make checks Chatforma on the scenario's schedule rather than being alerted the moment a user writes. A new scenario checks every 15 minutes by default, which is also the shortest gap on the Free plan. Paid plans can go down to every minute. For most lead or segment workflows that delay is fine, but plan for it if replies must feel immediate.
04What if a Chatforma module you need is missing in Make?
Use Make an API Call. It calls any endpoint of the Chatforma API with the connection you already created, so you are not limited to the 14 listed modules. Keep one caveat in mind: the Make documentation for Chatforma is marked as AI-generated and may contain mistakes, so verify important behavior against Chatforma's own documentation or ask Chatforma directly before relying on it. Test that call with Run once before you add anything after it.
05Should you use Make or n8n for Chatforma?
It depends on the tool your team already runs. On Make, Chatforma comes with 14 ready modules plus Make an API Call, all set up through one API key connection. Many apps also have an n8n node, so check whether Chatforma does before deciding. Choose on criteria that matter to you: which platform your other automations live on, who maintains them, and whether the modules you need exist on each side.
