What you can automate

What can the Pro Crew Schedule Make integration do?

The Pro Crew Schedule Make integration lets a Make scenario, the automation you build as a chain of modules, read and write your Pro Crew Schedule data: employees, crews, inventories, picklists, tasks, schedules, time off, time trackers and attachments. Each module is one brick of that chain, and there is no line of code to write.

New hires land in the planner on day one. When HR adds a person in another tool, Create an Employee puts them in Pro Crew Schedule and Create a Task-Employee Relation assigns their first job, so the dispatcher never retypes a name.

Leave requests stop living in inboxes. A form answer becomes a record through Create a Time-Off request, and List Time-Off later hands every absence to a report or a message for the site manager.

Stock follows the jobs. Create an Inventory and Update an Inventory keep the equipment list aligned with a spreadsheet, while List Picklists feeds the warehouse with what each crew must load.

What Make does not do here: Pro Crew Schedule has no trigger module, so nothing starts on its own when a record changes in the app. A scenario starts on its schedule or on another app's event, and the doc gives no numeric limit to plan around. The same app may also exist as an n8n node; the n8n vs Make comparison lays out the criteria. For a guided start, see the Make training, and check Make pricing before you switch several scenarios on.

Connect

How do you connect Pro Crew Schedule to Make?

  1. 01

    Copy your API key

Log in to Pro Crew Schedule, click Settings in the left sidebar, then API Integration. Copy the API Key value shown there and keep it somewhere safe, you paste it into Make in a moment.

  2. 02

    Open a connection in Make

In your scenario, add any Pro Crew Schedule module and click Create a connection. A connection is your account linked to Make once and reused by every Pro Crew Schedule module. The Connection name field is optional.

  3. 03

    Paste the key and save

Paste the key into API Key, type the email of your Pro Crew Schedule account in Email, then click Save. If a window asks you to authenticate, confirm access and the connection is ready.

First scenario

Build your first scenario with Pro Crew Schedule

GoalWhen a leave request arrives in your form tool, Make turns it into a time-off request in Pro Crew Schedule.

  1. 01

    Create the scenario

On the Scenarios page, create a new scenario and click the +. The first module is the app where requests arrive, since Pro Crew Schedule has no trigger of its own.

  2. 02

Add the Pro Crew Schedule action

Click the + on the right of the first module, search Pro Crew Schedule and pick Create a Time-Off request. Choose your connection or click Create a connection.

  3. 03

    Map the request

Fill the module by mapping the answers of the first module into it. Each answer travels as a bundle, one item passed from a module to the next, so every request becomes one record.

  4. 04

    Test with Run once

Send a test request, then click Run once. Make runs the scenario one time and shows the bundles each module received, so you can check the record before anything goes live.

  5. 05

    Schedule and switch on

Open the clock on the first module: a new scenario runs every 15 minutes by default. Keep it or change it, then switch the scenario on. Each module run counts as one operation on your plan.

Modules

What the Pro Crew Schedule modules do

Pro Crew Schedule gives you 49 modules in 11 groups. For each one: what it does for you, when to reach for it, and what to watch out for.

Employee

5 modules
Pro Crew Schedule1

Get an Employee

ActionIn the docs only

Brings back one employee record so the following modules can reuse that person's details instead of you typing them again. It is an action and works on a single element.

When to use it
another app hands you an employee and you need the complete record before sending a message or filling a report.
Watch out
it targets one precise person; to browse the team, List Employees fits better.
Pro Crew Schedule2

List Employees

SearchIn the docs only

Hands you your staff as separate bundles, one per employee, ready to be copied, counted or checked in the next modules. Being a search, it can return zero, one or many people.

When to use it
you want to mirror the team into a spreadsheet or a payroll tool.
Watch out
every employee returned runs the following modules once, and each run is an operation.
Pro Crew Schedule3

Create an Employee

ActionIn the docs only

Adds a new person to Pro Crew Schedule from data you map, so a hire recorded elsewhere shows up in the planner without manual entry. One bundle in, one employee created.

When to use it
your HR tool or onboarding form confirms a hire and the dispatcher needs that name to plan jobs.
Watch out
run a List Employees first if the same person could arrive twice, or you may end up with duplicates.
Pro Crew Schedule4

Update an Employee

ActionIn the docs only

Changes an existing employee record with fresh data, which keeps Pro Crew Schedule in line with the tool your HR team treats as the reference. It edits one person per bundle.

When to use it
someone changes phone, role or team in the HR system and the planner still shows the old details.
Watch out
the module needs the right employee; map it from a Get or List module instead of guessing.
Pro Crew Schedule5

Delete an Employee

ActionIn the docs only

Removes an employee from Pro Crew Schedule, handy for keeping the planner free of people who have left. It acts on the one person the bundle points to.

When to use it
an offboarding is confirmed in the HR tool and nobody should assign that person a job anymore.
Watch out
test it with Run once on a dummy record before switching it on, since a deletion is not something to discover in production.

Crews

5 modules
Pro Crew Schedule6

Get a Crew

ActionIn the docs only

Fetches a single crew so its details can feed a message, a document or a later module in the same scenario. Handy whenever a job refers to a team and you need more than its name.

When to use it
a task is assigned to a crew and you want to tell the crew lead through chat or email.
Watch out
it reads one crew only; List Crews is the module for going through all of them.
Pro Crew Schedule7

List Crews

SearchIn the docs only

Returns your crews one bundle each, which makes a crew directory in another tool easy to rebuild from scratch. As a search, the result may hold no crew, one crew or several.

When to use it
a manager wants every team listed in a shared sheet.
Watch out
each crew returned triggers the next modules separately, so a long list spends more operations.
Pro Crew Schedule8

Create a Crew

ActionIn the docs only

Sets up a new crew in Pro Crew Schedule from the data of an earlier module, so a team formed on paper or in a project tool becomes plannable at once.

When to use it
a new site opens in your project tool and needs its own team before the first job is scheduled.
Watch out
if the source can send the same team twice, search with List Crews first so you do not end up with two identical crews.
Pro Crew Schedule9

Update a Crew

ActionIn the docs only

Edits an existing crew so its record matches what happened in the field, without opening Pro Crew Schedule. Each bundle updates one crew.

When to use it
a team is renamed or reorganized in your project tool and the planner should follow.
Watch out
map the crew from a Get a Crew or List Crews result, because updating the wrong team spreads the error to every job it holds.
Pro Crew Schedule10

Delete a Crew

ActionIn the docs only

Takes a crew out of Pro Crew Schedule when the team no longer exists, which keeps dropdowns and reports clean for dispatchers. It works on one crew per bundle.

When to use it
a seasonal team is dissolved and should disappear from planning.
Watch out
check which tasks still point to that crew before running it, and try it once on a test crew with Run once.

Inventory

5 modules
Pro Crew Schedule11

List Inventories

SearchIn the docs only

Gives you every inventory item as its own bundle, a clean base for a stock report or a sync with your accounting spreadsheet. The search can come back empty, with one item or with many.

When to use it
the office wants a view of equipment and supplies outside Pro Crew Schedule.
Watch out
put an aggregator after it if you want one report rather than one message per item.
Pro Crew Schedule12

Get an Inventory

ActionIn the docs only

Reads one inventory record so a later module can use its details, for instance to warn someone or to fill a purchase request. It returns a single element.

When to use it
a task mentions a piece of equipment and you want its full record at hand before deciding the next step.
Watch out
it reads one item you already point to; to browse the whole stock, List Inventories is the one.
Pro Crew Schedule13

Update an Inventory

ActionIn the docs only

Brings an inventory record up to date with data from another app, so the stock in Pro Crew Schedule matches what the warehouse really holds.

When to use it
a delivery is logged in your purchasing sheet and the item in the planner should reflect it.
Watch out
if two scenarios write to the same item, they can overwrite each other; keep a single source feeding each record.
Pro Crew Schedule14

Create an Inventory

ActionIn the docs only

Registers a new item in Pro Crew Schedule's inventory from mapped data, so equipment bought elsewhere is available to plan with right away. One bundle gives one new record.

When to use it
a purchase order is approved and the tool or material must appear in the planner.
Watch out
a List Inventories check before creating avoids adding an item that already exists.
Pro Crew Schedule15

Delete an Inventory

ActionIn the docs only

Clears an inventory record out of Pro Crew Schedule, which keeps crews from planning with gear that is gone. The module handles one item per bundle.

When to use it
equipment is sold, scrapped or returned and is marked so in your asset sheet.
Watch out
map the item from a search result and run a test with Run once first, since a wrong item disappears as easily as the right one.

Picklist

5 modules
Pro Crew Schedule16

List Picklists

SearchIn the docs only

Sends out your picklists one bundle at a time, useful to print them, share them with the warehouse or archive them in a drive. The search returns zero, one or several picklists.

When to use it
the warehouse team prepares loads from a shared sheet rather than from the app.
Watch out
each picklist runs the rest of the scenario once, so place it after a check so it only runs when needed.
Pro Crew Schedule17

Get a Picklist

ActionIn the docs only

Opens a single picklist and passes its content on, so a crew lead can receive exactly what to load for a job in a message or a document.

When to use it
a task is confirmed and you want to send its picklist to the person who prepares the van.
Watch out
it needs to know which picklist; map it from the task or from List Picklists rather than typing it.
Pro Crew Schedule18

Update a Picklist

ActionIn the docs only

Modifies an existing picklist with new data, so changes decided in a meeting sheet or a form reach the warehouse without a phone call.

When to use it
the site manager adds material to a job after a visit and records it in a form.
Watch out
map the exact picklist from an earlier module; editing the wrong list sends a crew out with the wrong load.
Pro Crew Schedule19

Delete a Picklist

ActionIn the docs only

Removes a picklist that no longer serves a purpose, keeping the warehouse view limited to loads that are still ahead. One bundle, one list removed.

When to use it
a job is cancelled in another tool and its picklist should go with it.
Watch out
try the scenario with Run once on a test list, and map only jobs marked as cancelled in the source tool.
Pro Crew Schedule20

Create a Picklist

ActionIn the docs only

Builds a new picklist from mapped data, so the list of material for a job exists in Pro Crew Schedule as soon as the job is decided elsewhere.

When to use it
a quote is accepted in your sales tool and the warehouse must start preparing.
Watch out
a scenario that reruns on the same quote creates a second list; search with List Picklists before adding one.

Task

5 modules
Pro Crew Schedule21

List Tasks

SearchIn the docs only

Returns your tasks as individual bundles, the starting point for a digest, a client report or a sync with a project tool. Like every search, it may find none, one or many.

When to use it
a scenario should collect jobs and post a summary to the team chat.
Watch out
without an aggregator after it, each task sends its own message, which quickly floods a channel.
Pro Crew Schedule22

Get a Task

ActionIn the docs only

Retrieves one task so its details can travel to a customer email, an invoice draft or a chat message. The result is a single element ready to map.

When to use it
another app gives you a task reference and you need the full job before writing to the client.
Watch out
it reads, it does not change anything; pair it with Update a Task when the job must move on.
Pro Crew Schedule23

Delete a Task

ActionIn the docs only

Erases a task from Pro Crew Schedule, so a job cancelled by the customer no longer blocks a crew's day. It deletes the one task the bundle designates.

When to use it
a cancellation is recorded in your CRM or booking tool.
Watch out
every bundle that reaches this module removes a task, so feed it only cancelled jobs and test with Run once first.
Pro Crew Schedule24

Create a Task

ActionIn the docs only

Turns data from another app into a new job in Pro Crew Schedule, so bookings or won deals reach the planner without anyone retyping them.

When to use it
a customer books a visit through a form or a deal is marked won in the CRM.
Watch out
to put a name on the job, add Create a Task-Employee Relation right after it.
Pro Crew Schedule25

Update a Task

ActionIn the docs only

Edits an existing task with new information, keeping the job in the planner in step with what the client or the office decided in another tool.

When to use it
the customer moves an appointment in the booking tool and the job must follow.
Watch out
map the task from Get a Task or List Tasks; a wrong mapping silently changes another client's job.

Schedule

5 modules
Pro Crew Schedule26

List Schedules

SearchIn the docs only

Delivers your schedules one bundle each, so you can publish them in a calendar, a sheet or a message to the field teams. The search may return nothing, a single schedule or several.

When to use it
crews want their planning in a tool they already open on their phone.
Watch out
each schedule runs the next modules once; group them with an aggregator for a single digest.
Pro Crew Schedule27

Get a Schedule

ActionIn the docs only

Looks up one schedule and passes its details forward, ideal for confirming a slot to a customer or a technician in the same scenario.

When to use it
a job has just been planned and you want the schedule in hand to write the confirmation.
Watch out
it returns a single schedule; to go through the planning of a whole period, use List Schedules.
Pro Crew Schedule28

Update a Schedule

ActionIn the docs only

Adjusts an existing schedule with data from the scenario, sparing the dispatcher a manual reshuffle when a change is already recorded somewhere else.

When to use it
a technician reports a delay in a form and the schedule should shift accordingly.
Watch out
two scenarios editing the same schedule overwrite each other; decide which tool is the reference before automating.
Pro Crew Schedule29

Create a Schedule

ActionIn the docs only

Adds a schedule entry to Pro Crew Schedule from mapped data, so planning decided in a sheet or a booking tool lands in the app on its own.

When to use it
the office plans maintenance visits in a spreadsheet and wants them in the planner.
Watch out
a row processed twice creates two entries; run List Schedules first or mark rows once they are sent.
Pro Crew Schedule30

Delete a Schedule

ActionIn the docs only

Removes a schedule entry that no longer holds, freeing the slot in Pro Crew Schedule for another job. One bundle removes one schedule.

When to use it
a visit is called off in the booking tool and the crew's slot should open up.
Watch out
run the scenario once with Run once on a test entry and feed it only visits truly called off.

Task Employee

5 modules
Pro Crew Schedule31

List Task-Employee Relations

SearchIn the docs only

Shows who is assigned to which task, one bundle per link, which is the raw material for workload reports or payroll exports. The search returns zero, one or several assignments.

When to use it
a manager wants to see each technician's jobs in a spreadsheet.
Watch out
each assignment is its own bundle; use an aggregator if you want one line per employee.
Pro Crew Schedule32

Update a Task-Employee Relation

ActionIn the docs only

Changes an existing assignment, so a job can switch hands without the dispatcher reopening the planner. It edits one link between a task and a person per bundle.

When to use it
a technician calls in sick and a replacement is chosen in another tool.
Watch out
find the assignment with List Task-Employee Relations first; editing the wrong link moves the wrong person.
Pro Crew Schedule33

Create a Task-Employee Relation

ActionIn the docs only

Assigns an employee to a task, which is what actually puts a name on a job after Create a Task or Create an Employee. One bundle gives one assignment.

When to use it
your booking tool already knows who takes the visit and the planner should show it.
Watch out
both the task and the employee must exist before this module runs, so place it after the modules that create them.
Pro Crew Schedule34

Delete a Task-Employee Relation

ActionIn the docs only

Unassigns a person from a task while leaving the task itself in place, so the job returns to the pool of work to hand out.

When to use it
a technician is pulled onto an urgent site and their planned job needs someone else.
Watch out
this is not the same as Delete a Task; pick the right module, then check the result with Run once.
Pro Crew Schedule35

Get a Task-Employee Relation

ActionIn the docs only

Reads a single assignment so the scenario knows which employee sits on which task, before notifying them or logging the pairing elsewhere.

When to use it
you want to message the right technician about one specific job.
Watch out
it covers one assignment only; for all the pairings of a period, List Task-Employee Relations is the right choice.

Time-Off

5 modules
Pro Crew Schedule36

Create a Time-Off request

ActionIn the docs only

Records an absence request in Pro Crew Schedule from mapped data, so leave asked through a form or chat reaches the planner without retyping.

When to use it
staff fill a leave form and the dispatcher should see the request where jobs are planned.
Watch out
the request logically belongs to someone already in Pro Crew Schedule; check with List Employees if the form accepts free text.
Pro Crew Schedule37

Get a Time-Off

ActionIn the docs only

Pulls one time-off record so its details can go into a confirmation email, a calendar entry or an HR file in the same run.

When to use it
a leave request has been handled and the employee should receive a clear recap.
Watch out
it reads a single absence; to review who is away over a stretch, List Time-Off fits better.
Pro Crew Schedule38

List Time-Off

SearchIn the docs only

Hands over absences one bundle each, the basis for a shared leave calendar or a report for payroll. The search can bring back no absence, one or many.

When to use it
a site manager wants to know who is away before assigning jobs.
Watch out
one message per absence gets noisy; add an aggregator to send a single summary.
Pro Crew Schedule39

Update a Time-Off

ActionIn the docs only

Edits an existing absence, so a change agreed with a manager in another tool shows up in Pro Crew Schedule without a second entry.

When to use it
an employee shortens or extends leave, and your HR form now holds the new dates.
Watch out
map the absence from Get a Time-Off or List Time-Off; an update on the wrong person's leave rarely gets noticed in time.
Pro Crew Schedule40

Delete a Time-Off

ActionIn the docs only

Removes an absence from Pro Crew Schedule, so the planner no longer shows that person as away.

When to use it
an employee withdraws a leave request and the HR tool marks it as cancelled.
Watch out
map only requests the HR tool marks as withdrawn, and test on a dummy absence with Run once.

Time Tracker

5 modules
Pro Crew Schedule41

Update a Time Tracker

ActionIn the docs only

Keeps a time tracker in Pro Crew Schedule matching what happened in the field, without opening the app to fix it by hand. The module changes an existing tracker using data mapped from an earlier module in the scenario.

When to use it
a supervisor corrects a shift in a form or a spreadsheet, and that correction should land on the matching tracker.
Watch out
the module edits one tracker, so find it first with List Time Trackers or Get a Time Tracker and map it from that result.
Pro Crew Schedule42

Create a Time Tracker

ActionIn the docs only

Adds a brand new time tracker to Pro Crew Schedule each time the scenario receives a bundle, which is one item passed from the previous module. Hours logged elsewhere end up in the scheduling tool with no retyping.

When to use it
crew members already clock in through another app and the office wants those entries recorded in Pro Crew Schedule too.
Watch out
every run creates a new tracker, so test with Run once before switching the scenario on to avoid duplicates.
Pro Crew Schedule43

Get a Time Tracker

ActionIn the docs only

Pulls the full record of a single time tracker into your scenario, so the next modules can reuse its details in an email, a sheet or a report. It reads one tracker you already know.

When to use it
an earlier module has already pointed to one tracker and you need everything Make can read about that entry before acting on it.
Watch out
it needs to know which tracker to read; start with List Time Trackers when you only have a rough idea of which entry you want.
Pro Crew Schedule44

List Time Trackers

SearchIn the docs only

Sends the time trackers stored in Pro Crew Schedule down the scenario, one bundle per tracker. It is the starting point for any recap or export of logged time.

When to use it
payroll or a client invoice needs the logged entries copied into a spreadsheet or an accounting tool.
Watch out
as a search, it can return zero, one or many bundles, and each following module runs once per bundle, which costs one operation each time on your Make plan.
Pro Crew Schedule45

Delete a Time Tracker

ActionIn the docs only

Removes a time tracker from Pro Crew Schedule straight from a scenario, which keeps the timesheet clean when an entry was logged by mistake or cancelled in another system.

When to use it
a job is cancelled upstream and the tracker created for it should disappear as well.
Watch out
Make gives no undo button for it. Check with Run once which tracker it received before letting the scenario run on its own.

Attachment

3 modules
Pro Crew Schedule46

List Attachments

SearchIn the docs only

Shows which files are attached in your Pro Crew Schedule account, returned as separate bundles that later modules can archive, share or count.

When to use it
you want a copy of job photos or documents sent to a shared drive or listed in a sheet for the office team.
Watch out
a search can bring back many attachments at once, and every module placed after it runs for each one, so your operation count grows with the list.
Pro Crew Schedule47

Get an Attachment

ActionIn the docs only

Fetches one specific attachment so the rest of the scenario can use it, for example by forwarding it to a client or saving it next to the matching job folder.

When to use it
List Attachments or another module already pointed to one attachment and you need that single file, not the whole list.
Watch out
on the Free plan Make handles files up to 5 MB, so a heavy attachment may need a paid plan before it can travel through the scenario.
Pro Crew Schedule48

Delete an Attachment

ActionIn the docs only

Clears out an attachment in Pro Crew Schedule once it has served its purpose, typically after the scenario has already copied it to long term storage elsewhere.

When to use it
as the last step of an archiving scenario, right after the file was saved safely in another tool.
Watch out
keep a copy elsewhere first. Place this module after the copy step, never before, and confirm with Run once that the right attachment reaches it.

Other

1 module
Pro Crew Schedule49

Make an API Call

ActionIn the docs only

Reaches any part of the Pro Crew Schedule API that the dedicated modules leave out, using the connection you already created, so there is no second login to set up.

When to use it
the action you need has no dedicated module in the list, but the Pro Crew Schedule API offers it.
Watch out
here you write the request yourself, so keep the API documentation of Pro Crew Schedule open and try the call with Run once before relying on it.

FAQ

Pro Crew Schedule and Make: common questions

01Is the Pro Crew Schedule Make integration free?
Yes, Pro Crew Schedule is a standard app, so it is available from the Make Free plan. That plan allows 2 active scenarios, a minimum of 15 minutes between two scheduled runs, 5 minutes of execution at most, files up to 5 MB and 512 MB of data transfer. Paid plans (Core, Pro, Teams and Enterprise) bring the interval down to 1 minute, remove the cap on active scenarios and count usage in credits, meaning operations, each month. Your Pro Crew Schedule subscription is a separate matter.
02What do you need to connect Pro Crew Schedule to Make?
A Pro Crew Schedule account, its API key and the email of that account. The key sits in Pro Crew Schedule under Settings, then API Integration. In Make, add any Pro Crew Schedule module, click Create a connection, paste the key in API Key, type the email in Email and click Save. If a window asks you to authenticate, confirm access. The doc lists no other prerequisite, and the connection is reused by every Pro Crew Schedule module of your scenarios.
03Does the Pro Crew Schedule Make integration react in real time?
No, because Pro Crew Schedule has no trigger module in Make. A scenario cannot start by itself when a record changes in the app. There are two ways around it. Start the scenario on its own schedule, set on the clock of the first module, every 15 minutes by default, and use a module such as List Tasks to read the data. Or open the scenario with the trigger of another app, a form or a CRM for example, and let Pro Crew Schedule modules act after it.
04What if a Pro Crew Schedule module is missing in Make?
It depends on what you need, and Make an API Call usually settles it. The 49 modules cover employees, crews, inventories, picklists, tasks, schedules, task-employee relations, time off, time trackers and attachments. When an action is not among them, Make an API Call reaches any endpoint of the Pro Crew Schedule API with the same connection, so no new setup is needed. The doc gives no numeric limit for this app. What remains out of reach is a trigger: the start has to come from a schedule or another app.
05Should you use Make or n8n for Pro Crew Schedule?
It depends on your criteria rather than on a winner. On the Make side, the facts are clear: 49 ready modules, a connection by API key and email, Make an API Call for the rest, and a Free plan that lets you test. The same app often has an n8n node too, so check that it exists and covers your objects before choosing. Look at the tool your team already uses, how each counts usage, and who will maintain the scenarios. The comparison page linked earlier lays out those criteria side by side.
