Overview

What the adam.ai Zapier integration actually does

Hooking adam.ai up to Zapier works in two directions. Something new shows up in your meeting workspace (a meeting, a project, a contact, an action item) and an automation reacts to it. Or another app hands over data and Zapier writes a meeting, a project, a contact or an action into adam.ai for you.

A board call that already has its room. New Meeting fires when a session is scheduled. If the trigger hands over the meeting in a form the Meeting field accepts, Add Video Conference Link to Meeting can pin the standing call link to it. Nobody pastes it at the last minute.

A first to-do on every new engagement. A consulting team opens a project for a new client. New Project starts the Zap and Create Action drops an opening action item into adam.ai, with the severity picked in advance.

An alert when work lands on you. New Action Assigned on Me reacts the moment an item is assigned to you, which makes it the natural starting point for copying it into the tool you actually watch.

What Zapier does not do for this app: there is no search step, so a Zap can never look up an existing meeting or project in adam.ai. There is no update or delete action either. Apart from attaching a call link, every action here creates something new and leaves existing records alone.

No Make or n8n page exists for adam.ai yet. To weigh the platforms on criteria rather than on a single app, the Make vs Zapier and n8n vs Zapier comparisons put them side by side.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here is what each one means in plain English.

Zap
The automation you build on Zapier: one starting event, then one or more steps that run each time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something in an app on your behalf.
Task
The unit Zapier bills. One task is one action your Zap carries out successfully, and your plan allows a set number of them.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming item meets a condition you set, and stops it quietly otherwise.
Search step
A step that looks up something already stored in an app so the following steps can reuse it. adam.ai offers none.
Connection
Your adam.ai account linked to Zapier once, then reused by every step of every Zap that touches adam.ai.
Cost

What an adam.ai Zap really costs

adam.ai is not a premium app, so it works from the free plan. The bill is counted in tasks, and only finished actions count.

  • Free plan100 tasks a month, unlimited Zaps
  • Steps on the free planOne trigger plus one action
  • Trigger costZero tasks
  • Premium appNo

The trigger never costs a task, and watching for new items is free however often it happens. Each action that succeeds counts once, so a Zap with three actions uses three times more than a Zap with one. A failed action is not counted. The free plan stops at two steps: a filter or a second action makes the Zap multi-step, which needs a paid plan. Since every adam.ai trigger is instant, the interval grid below never slows this app down.

Connect

Connect adam.ai to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, go to Apps and click + Add connection. You need an existing adam.ai account first, since Zapier only links accounts, it does not create them.

  2. 02

Find adam.ai and start the link

Type adam.ai in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the adam.ai side, ready for the sign-in.

  3. 03

    Sign in and grant access

Log in to adam.ai in that tab and allow Zapier to reach the account. The connection then appears in your Apps list and every future Zap you build can reuse it.

First Zap

Your first adam.ai Zap: meetings that arrive with a call link

GoalEach new adam.ai meeting that passes your filter would get the team's standing video room, provided the trigger hands over the meeting itself.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose adam.ai as the app and New Meeting as the event. Select the adam.ai connection you made earlier.

  2. 02

Test the trigger on a real meeting

Run the test. Zapier brings back the three most recent meetings from your account, so pick one that looks like a typical session and check whether it carries a meeting reference.

  3. 03

    Add the filter

Click the plus icon, choose Filter and set the field, the rule and the value in its three boxes. A text rule only works on text, so match the rule to the field type.

  4. 04

    Attach the call link

Add adam.ai again with Add Video Conference Link to Meeting. If the trigger test returned a value the Meeting field accepts, map it there; if not, this Zap cannot reach the new meeting. Then paste the room URL into Video Conference Link.

  5. 05

    Test, then publish

Run the action test and open the meeting in adam.ai to see the link. Then click Publish. With the filter, this Zap has three steps and needs a paid plan.

Triggers

adam.ai triggers on Zapier

5 events start a Zap when something happens in adam.ai, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Action Assigned on Me

Instant trigger

In Zapier“Triggers when a new support action is created with you as assignee.”

Starts the Zap whenever a fresh action item in adam.ai names you, the owner of the connected account, as the person responsible. It is the personal inbox of the app: only work that lands on your own desk counts, not what colleagues receive.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
copy every item assigned to you into the task manager or calendar where you plan your own week.
Watch out
the account behind the connection decides who “me” is, so a shared team login sends everyone's items into one Zap.
2

New Action on Project

Instant trigger

In Zapier“Triggers when a new support action is created on specific project.”

Reacts to any new action item created inside one chosen project, whoever it is assigned to. Think of it as a watch on a single workstream rather than on a person, which suits a project lead who wants the whole picture.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post each new item of a client engagement to the channel where that client's team follows progress.
Watch out
the Project field is mandatory, so one Zap covers one project; a second project means a second Zap.
3

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

Fires as soon as a person is added to the adam.ai contact list. That list is the address book your meetings draw from, so a new entry usually means someone new is about to be invited to a session.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
push every new adam.ai contact into the CRM so sales and meeting records stay aligned.
Watch out
a Zap that answers this trigger with Create Contact in adam.ai will keep setting itself off.
4

New Meeting

Instant trigger

In Zapier“Triggers when a new meeting is created.”

Kicks in each time a meeting is created in adam.ai, from a quick check-in to a formal board session. It is the most direct way to hang anything off the calendar side of the app, before the meeting has even taken place.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
warn attendees in a chat tool, or open a notes document for the session.
Watch out
meetings scheduled before the Zap was published are never picked up afterwards.
5

New Project

Instant trigger

In Zapier“Triggers when a new project is created.”

Goes off when someone opens a project in adam.ai. Projects group the meetings and action items of one engagement or committee, so this trigger marks the start of a new body of work rather than a single event.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
seed a new engagement with a kickoff meeting and a first action item, without anyone setting them up by hand.
Watch out
pairing it with Create Project in the same Zap loops forever and drains your task count.
Actions

adam.ai actions on Zapier

adam.ai gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

2

Create Action

Action

In Zapier“Creates an Action”

Adds an action item to adam.ai with a title and a severity, and lets you decide whether it lands on you.

When to use it
a support ticket or a form answer should become a follow-up that someone tracks in meetings.
Watch out
Assign Me? and Severity are both mandatory, even when the answer is always the same.
3

Create Contact

Action

In Zapier“Creates a Contact”

Writes a person into the adam.ai address book, and only a name is required to do so.

When to use it
new clients signed in your billing tool should be ready to invite before their first meeting.
Watch out
nothing here checks for an existing contact, since adam.ai has no search step on Zapier.
4

Create Meeting

Action

In Zapier“Creates a Meeting”

Puts a new meeting on the adam.ai calendar with a title and a start time taken from the earlier steps of the Zap.

When to use it
a booking form or a signed deal in another app should turn into a scheduled session.
Watch out
Meeting Time Input As is required, so decide how the start time is expressed before mapping it.
5

Create Project

Action

In Zapier“Creates a Project”

Opens an empty project in adam.ai; a project title is all it asks for, which makes it the lightest action of the five.

When to use it
a won opportunity in your CRM gets its own adam.ai workspace for the meetings to come.
When it breaks

When an adam.ai Zap breaks

Zapier attaches no help article to adam.ai, so the failures to plan for are the general ones.

Four situations explain most surprises with this app. None of them is specific to adam.ai, but its create-only actions make the loop case more likely than usual. When a Zap misbehaves, the Zapier troubleshooting guide walks through the checks in order.

  • Old meetings are never processed

A Zap only reacts to what happens after you publish it. Projects, contacts and meetings that already existed stay untouched; moving them is a separate job.
  • A Zap that feeds its own trigger

New Meeting followed by Create Meeting, or New Contact followed by Create Contact, sets the Zap off again and again until your tasks run dry.
  • Bulk imports get held back

After a migration or a mass import into adam.ai, a sudden flood of new items can be paused by Zapier's flood protection instead of running straight away.
  • A failed action costs nothing

When an action does not go through, for example on a missing required field, it is not counted against your plan. Fix the step and replay it.

FAQ

adam.ai and Zapier: frequent questions

01Is the adam.ai Zapier integration free?
Yes, as long as the Zap has two steps. adam.ai is not a premium app, so it runs on the free plan, which gives 100 tasks a month and an unlimited number of Zaps. The catch is the step count: the free plan only builds a trigger followed by a single action. Add a filter or a second action, as in the meeting example on this page, and the Zap becomes multi-step, which needs a paid plan. Nothing else about adam.ai changes between plans, because its triggers do not depend on the polling interval.
02How many tasks does an adam.ai Zap use?
One per successful action, and nothing for the trigger. A Zap that turns each new project into one action item spends one task per project. If the same Zap also creates a kickoff meeting, it spends two. Zapier does not bill the watching itself, however many meetings or contacts arrive, and an action that fails is not counted. So the quickest way to estimate is to count how often the trigger event happens in a month and multiply by the number of actions.
03Does adam.ai trigger Zaps in real time?
Yes. All five adam.ai triggers are instant: the app notifies Zapier itself as soon as a meeting, project, contact or action item is created. The interval grid of the plans, 15 minutes on the free plan, only applies to polling triggers, and adam.ai has none. In the editor, a Zap built on one of these triggers shows a lightning bolt. That makes this app a good fit for a free plan, where polling apps would otherwise wait for the next check.
04What does it take to connect adam.ai to Zapier?
An adam.ai account and a Zapier account. Zapier links an existing account through the Apps page, a sign-in tab and an access screen; it never creates the adam.ai account for you. If the Zap has to touch projects or meetings someone else owns, the connected account needs read or write access to them. For New Action on Project, the project must be visible to that account, because the Project field is mandatory and only lists what the account can see.
05Why does an adam.ai Zap keep running on its own?
Most likely it writes where it listens. A Zap that starts on New Meeting and ends on Create Meeting creates a meeting, which is itself a new meeting, which starts the Zap again. The same happens with New Contact and Create Contact, or New Project and Create Project. Each loop burns tasks, so the free allowance can vanish fast. Break the circle with a filter that skips items the Zap created, or send the result to another app.
06What if the adam.ai action you need is not on the list?
Then Zapier cannot do it for this app today. The editor offers exactly five triggers and five actions on adam.ai, with no search step and no update or delete action. A Zap can create meetings, projects, contacts and action items, and attach a call link, but it cannot edit or remove an existing record. The list comes from adam.ai's own integration, version AdamaiCLIAPI@1.1.1 at the time of reading, so it can grow when adam.ai publishes a new version.
07Zapier, Make or n8n for adam.ai?
It depends on the criterion that matters most to you. On reach, Zapier already has an adam.ai integration with five instant triggers, so setup is a few clicks and no hosting. On cost, Zapier bills every successful action, which adds up on busy calendars. On control, a self-hosted tool trades setup time for freedom over the volume. Check whether each platform actually lists adam.ai before choosing, since the comparison only matters if the connector exists.
