Adestra Zapier integrationAutomate Adestra with Zapier.

The Adestra Zapier integration exposes 0 triggers, 4 actions and 1 search. Adestra never starts the automation itself: another tool reports the event, and Adestra does the writing, from contact records to campaign sends and list changes.

Overview

What the Adestra Zapier integration actually does

The Adestra Zapier integration lets other apps write into your Adestra account without anyone copying data by hand. It works in one direction only: Adestra receives. It can create or update a contact, send a campaign to one person, move someone onto or off a list, and look a contact up. It cannot be the event that kicks things off.

Three results people build with it. First, a clean contact table: every registrant from an event tool goes through Create or Update Contact, so a returning attendee updates their record instead of creating a twin. Second, a one-to-one transactional send: a paid invoice in an accounting tool triggers Send an Email with a receipt campaign you already built in Adestra. Third, list hygiene driven by another system: a customer marked as churned in a CRM is found with Find Contact, then removed from the newsletter list with Unsubscribe.

Now the limits. Zapier offers no Adestra trigger in its editor, so nothing that happens inside Adestra (an open, a click, a new subscriber) can start a Zap. If the plan is to push Adestra activity into a CRM, this integration will not do it. The actions also expect Adestra identifiers (core table, campaign, list), which you read in your Adestra account before building.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it. Adestra offers none.
Action
What the Zap does once it has started: the step that writes, sends or moves something in an app for you.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap carry on only when the incoming data meets a condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can reuse what it found.
Cost

What an Adestra Zap really costs

Adestra is not a premium app, so it runs on the free plan. The bill is counted in tasks, and only on the Adestra side.

  • Free plan100 tasks a month, Zaps of two steps
  • Premium appNo, Adestra works on the free plan
  • Trigger costZero tasks
  • Failed actionNot counted

The trigger from the other app never costs a task, and neither does Zapier checking for new data. Each Adestra action that succeeds counts once; a failed one counts nothing. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a Find Contact search and the Zap becomes multi-step, which needs a paid plan. In short, a two-step Zap that only creates contacts stays free.

Connect

Connect your Adestra account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Adestra account linked once, then reused by every step that talks to Adestra.

  2. 02

    Pick Adestra and confirm

Type Adestra in the search box of the dialog, select it from the results, then click Add connection. A new browser tab opens on the Adestra side to finish the job.

  3. 03

    Sign in and grant access

Log in to Adestra in that tab and allow Zapier to use the account. Your login needs read or write rights on any table, campaign or list you do not own and want the Zap to touch.

First Zap

Your first Adestra Zap: webinar sign-ups get a welcome email

GoalEach new webinar registrant with a business address becomes an Adestra contact and receives your welcome campaign.

  1. 01

Build: start from the other app

Create a Zap and pick your webinar tool and its registrant event as the trigger. Adestra has no trigger, so the Zap always begins outside it.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent registrants from the connected account, so you map fields on a real person rather than a blank.

  3. 03

    Add the filter

From the plus icon, add Filter, choose the email field, a text rule, and the value to exclude. This turns the Zap multi-step.

  4. 04

    Add Create or Update Contact

Choose Adestra, then Create or Update Contact. Set the core table ID, keep email as the dedupe field, and map the registrant data into the contact.

  5. 05

    Add Send an Email

Add a second Adestra action, Send an Email, enter the ID of the welcome campaign, and map the same email address into the contact data.

  6. 06

    Test, then Publish

Test each step once and read what came back. When the output looks right, click Publish to switch the Zap on for every new registrant.

Actions

The 4 Adestra actions

Adestra gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Contact

Action

In Zapier“Creates a new contact record or updates an existing one”

Writes a person into an Adestra core table, or refreshes their record when they already exist, so one address never ends up as two contacts.

When to use it
a form or event tool sends you new people and some of them are already in Adestra.
Watch out
the dedupe field should nearly always be email, and the contact data must carry an email key, or the match fails.
2

Send an Email

Action

In Zapier“Send an email to a contact”

Fires an existing Adestra campaign at a single contact, the one the Zap is handling right now, rather than at a whole list.

When to use it
a payment, a booking or a download in another tool deserves its own message straight after.
Watch out
the campaign must already exist in Adestra; the Zap only points to it by its ID.
3

Subscribe

Action

In Zapier“Subscribe a contact to a list and optionally remove them from unsubscribe lists”

Adds a known contact to a list, and can also pull them off unsubscribe lists in the same move.

When to use it
someone ticks an opt-in box in another app and should join a newsletter list.
Watch out
it needs the contact ID, not an email address, so a Find Contact search usually comes first.
4

Unsubscribe

Action

In Zapier“Removes a contact from one or more lists and optionally adds them to one or more unsublists”

Takes a contact out of one or more lists and can drop them onto unsubscribe lists at the same time.

When to use it
a deal closes as lost or a customer cancels, and the promotional list should stop mailing them.
Watch out
like Subscribe, it works from the contact ID, so pair it with a search when your trigger only knows the email.
Searches

The Adestra search

1 search step looks for data that already exists in Adestra, so a later step can use it.

Adestra searches sit at the bottom of the action event list, under the SEARCH heading. Three settings decide what happens when the lookup goes sideways.

1

Find Contact

SearchFind or create

In Zapier“Finds a contact in the specified core table”

Looks an email address up in a given core table and hands the matching contact to the next steps. The match ignores upper and lower case.

When to use it
just before Subscribe or Unsubscribe, which both need the contact ID your trigger does not carry.
Watch out
the editor also lists Find or Create Contact; it is this same search with the create box ticked, not a sixth operation.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nobody stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create Contact if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing contact.
  3. If multiple search results are found?
Keep the first match, which is the default, stop the Zap, or pass every match on at once.
When it breaks

When an Adestra Zap breaks

Zapier links no help article to Adestra, so the known failure points are the general ones. They still hit Adestra Zaps hard.

Four cases cover most surprises, each with the thing to check first.

  • Old contacts never arrive

A Zap only reacts to events after it is switched on. Registrants from last month stay where they are; moving that backlog into Adestra is a separate import job.
  • The Zap keeps firing itself

If the step writes into the very place its trigger watches, every write restarts the Zap and the task count drains fast. Keep the trigger app and the target apart.
  • A bulk import gets held back

When the trigger app suddenly returns a huge batch, after a migration for example, Zapier's flood protection can pause it before anything reaches Adestra.
  • Duplicates that are not there

On a polling trigger Zapier remembers what it has already seen, so one item does not start the Zap twice. If double contacts show up, check the dedupe field, which should nearly always be email.

FAQ

Adestra Zapier integration: frequent questions

01Is the Adestra Zapier integration free?
Yes, Adestra is not a premium app, so it runs on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A Zap that creates a contact and then sends a campaign has two actions, so it needs a paid plan. The same goes for any Zap with a filter or a Find Contact search in the middle. No price is quoted here because plan grids change often; check the current one on Zapier before committing.
02How many tasks does an Adestra Zap use?
One task per Adestra action that succeeds, and nothing else. The trigger in the other app is free, and so are the checks Zapier runs to spot new data. A Zap that creates or updates a contact, then subscribes them to a list, uses two tasks for each person who goes through. An action that fails is not counted. If a filter stops someone before the Adestra step, that person costs nothing either, which makes filters a cheap way to keep personal addresses out.
03Does Adestra work in real time with Zapier?
It depends entirely on the other app, because Adestra has no trigger of its own. If that app offers an instant trigger, it reports the event the moment it happens and your Adestra action runs straight away, whatever your plan. If it uses a polling trigger, Zapier checks on a timer: every 15 minutes on Free, every 2 on Professional, every minute on Team and Enterprise. The lightning bolt next to a trigger in the editor tells you which kind you picked.
04What does it take to connect Adestra to Zapier?
An Adestra account and a login with read or write rights on whatever the Zap will touch, including tables, campaigns or lists you do not own yourself. In Zapier you open Apps, click + Add connection, pick Adestra, sign in on the tab that opens and grant access. Before building, note the IDs the actions require: the core table for contacts, the campaign for sends, the lists for subscriptions. Zapier cannot guess them for you.
05Why does Subscribe fail when given an email address?
Because Subscribe and Unsubscribe expect a contact ID, not an email. Most trigger apps only know the address. The fix is a Find Contact search placed before the action: it looks the email up in your core table, case does not matter, and passes the matching contact on. If the person might not exist yet, tick the create option so the search turns into Find or Create Contact. A search makes the Zap multi-step, so it needs a paid plan.
06What if the Adestra operation you need is not listed?
Then the Zapier integration simply does not cover it today. It offers four actions and one search, and no trigger at all, so anything that should start from Adestra, like an open or a click, is out of reach in the editor. Options are to rethink the flow so another app carries the event, or to compare what other automation platforms offer for Adestra. A specialist can confirm whether that route fits before you spend time building.
07Zapier, Make or n8n for Adestra?
Judge them on three criteria rather than a ranking. Coverage: on Zapier, Adestra is a receiving app with four actions and one search, so check what each platform exposes for it. Cost model: Zapier bills per successful action, which stays cheap for a one-way contact sync. Starting point: Adestra offers no trigger on Zapier, so check whether another platform has one for it. Test the exact flow you need on each before choosing.
