Overview

What the Advantage Orientation Zapier integration actually does

Advantage Orientation delivers onboarding and orientation content to students in an interactive format. Linked to Zapier, it becomes a source: Zapier reads which students started and which ones completed, then passes each record to the next app in your automation. It reads. It never writes back.

Three results people usually build with it. A completion alert for the HR team: Students Completed picks up every finished orientation and a message goes out in the channel where onboarding is followed. A follow-up list of people still in progress: Students Started catches each new starter so a coordinator can see who began and check later whether they finished. A clean attendance log: both triggers feed the same spreadsheet, one row per start and one per completion, which gives a manager a record without exporting anything by hand.

What Zapier does not do here matters as much. The app has no action, so a Zap cannot enroll a student, assign content or change a record inside Advantage Orientation. There is no search step either, so a later step cannot look a student up on demand. And both triggers are polling ones (Zapier checks on a timer), so a finished orientation shows up at the next check, not the moment it happens.

If the read-only side is a dealbreaker, the n8n vs Zapier comparison lays out how the two tools differ when an app offers only triggers. A Make or n8n page for this exact app is not listed yet.

Vocabulary

Zapier words in one minute

Seven words come back all over this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event that starts the Zap. Once the Zap is on, Zapier waits for it. Here it is a student starting or finishing an orientation.
Action
What the Zap does after it starts: the step that writes, sends or moves something. With this app, the action always lives in another tool.
Task
The unit Zapier bills. One task equals one action that completed successfully. The number on your plan counts those, nothing else.
Polling vs instant
A polling trigger is checked on a timer, Zapier asking the app what is new. An instant one is pushed by the app the moment it happens.
Filter
A step that lets the Zap continue only when the incoming record meets your condition, and stops it quietly otherwise.
Connection
Your Advantage Orientation account linked to Zapier one time, then reused by every step and every Zap that touches the app.
Cost

What it really costs

Advantage Orientation is not a premium app (one Zapier keeps for paid plans), so it runs on the free plan.

  • Premium appNo, free plan works
  • Free plan tasks100 per month
  • Free plan Zap size2 steps: 1 trigger, 1 action
  • Cost of a trigger checkNothing

The trigger itself never costs a task, and neither does Zapier checking for new students, however often it looks. Only an action that goes through is billed, and a failed one is not counted. The free plan gives 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter, a search or a second action and you have a multi-step Zap, which needs a paid plan.

Remember that both triggers here are polling ones, so on the free plan a new record can wait up to the 15-minute check before your action runs.

Connect

Connect your Advantage Orientation account

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A dialog opens with a search box: type Advantage Orientation and pick it from the results.

  2. 02

    Sign in to Advantage Orientation

Click Add connection. A new tab opens on Advantage Orientation. Sign in with the account whose students you want to follow. You need an account on the app, plus read access to any data you do not own yourself.

  3. 03

    Grant access and reuse it

Allow Zapier to reach the account. The connection now sits in your Apps list, and every Zap that uses Advantage Orientation picks it from a dropdown instead of asking you to sign in again.

First Zap

Your first Zap: post each finished orientation to the HR team

GoalEvery time a student completes, the onboarding channel gets a message, but only for the cohorts you care about.

  1. 01

    Pick the trigger

Create a Zap, choose Advantage Orientation as the starting app and Students Completed as the event. Select the connection you made earlier.

  2. 02

    Test it on real data

Run the test. Zapier brings back the three most recent completions of the account, so you map fields on a genuine record rather than a placeholder.

  3. 03

    Add the filter

Click the plus icon, add Filter, then set the field, the rule and the value. Pick a text rule for text. This step makes the Zap multi-step, so a paid plan.

  4. 04

    Add the message

Add the Slack step, choose the channel and drop the completion fields into the message. On the free plan, skip the filter and keep just these two steps.

  5. 05

    Test and publish

Test each step once and read what came back. When the message looks right in the channel, click Publish to switch the Zap on.

Triggers

The 2 Advantage Orientation triggers

2 events start a Zap when something happens in Advantage Orientation. Zapier checks for them at the interval your plan allows.

1

Students Started

Polling trigger

In Zapier“Retrieve students who have started the orientation within the provided date range”

Spots the students who opened their orientation within a date range you set, and starts the Zap once for each new one it finds.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a training coordinator wants a row in a tracking sheet the day a new hire begins, to chase anyone who stalls.
Watch out
the Start Date and End Date are required, and left on their defaults they both point at the moment the check runs, so the range can be narrower than you expect. A Use Timestamp option decides whether exact times count or whole days.
2

Students Completed

Polling trigger

In Zapier“Returns dataset for a given timeframe requested based upon student completion dates.”

Returns the students whose completion date falls in the requested timeframe, so each finished orientation becomes a fresh run of your Zap.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a store manager gets an email once a seasonal hire has gone through the whole orientation and is cleared to start a shift.
Watch out
with Use Timestamp blank or false, the range runs from the start to the end of the days given, not to the minute. Leave it that way unless you need a precise cut-off.
When it breaks

When it breaks

No help article is attached to this app on Zapier and no limit specific to it is published. What breaks is the usual Zapier behaviour, applied to two polling triggers.

Most surprises come from timing and history, not from the connection. If a Zap misbehaves beyond these cases, the Zapier troubleshooting guide walks through the general checks.

  • Past students never show up

A Zap only reacts to what happens after it is switched on. Students who started or finished before you published are not picked up; moving that backlog is a separate job.
  • A big import gets held back

If a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can pause it rather than fire a run per record.
  • The same student does not fire twice

On a polling trigger Zapier remembers what it has already seen. A record that comes back in the next check is ignored, which is usually what you want.
  • The filter is refused on free

A filter turns the Zap into a multi-step one. On the free plan you can only publish a trigger plus one action, so the filter has to go or the plan has to change.

FAQ

Questions people ask

01Is the Advantage Orientation Zapier integration free?
Yes, it works on the free plan because Advantage Orientation is not a premium app. The free plan gives you 100 tasks a month, an unlimited number of Zaps and polling every 15 minutes. The real limit is size: a free Zap has exactly two steps, one trigger and one action. As soon as you want a filter or a second action, for example to message HR and log a row in the same run, the Zap becomes multi-step and needs a paid plan.
02How many tasks does it use?
Only the actions downstream count. The Advantage Orientation trigger itself never costs a task, and Zapier checking for new students is free no matter how often it runs. Each action that completes is one task, and an action that fails is not counted. So a Zap that sends one message per completed student uses one task per completion. Add a second action and each completion costs two. A few apps on the action side take more than one task per run, so check the tool you send the data to.
03Does it update in real time?
No. Both triggers are polling triggers, which means Zapier asks Advantage Orientation for new records at a fixed interval rather than being told the instant something happens. On the free plan that interval is every 15 minutes, on Professional every 2 minutes, and on Team and Enterprise every minute. The type comes from the app itself and cannot be switched in the editor. On a paid plan you can change how often the check runs, or run one by hand from the editor while testing.
04What does connecting the account require?
An Advantage Orientation account, plus read access to any student data you do not own yourself. The connection takes three moves in Zapier: open the Apps page, click + Add connection, pick the app, then sign in on the tab that opens and grant access. After that the same connection is offered in every Zap that uses the app, so nobody has to sign in again for each automation built on it.
05Why does a Students Started test come back empty?
Most likely the date range. Students Started needs a Start Date and an End Date, and both default to the moment the request runs. With Use Timestamp left blank, that covers the current day only. If nobody began an orientation today, there is nothing to return and the test looks broken. Widen the range when testing, then decide what window makes sense for the live Zap. Students Completed has the same Use Timestamp switch.
06What if the operation you need is not there?
Then this integration cannot do it, because Zapier only exposes these two triggers for Advantage Orientation. There is no action to create or change a student, and no search step to look one up later in the Zap. Anything that has to write back into the platform falls outside what Zapier offers here. What you can still do is send started and completed records to any other tool and run the rest of the process from there.
07Zapier, Make or n8n for Advantage Orientation?
It depends on what you need. On Zapier the app is ready to use, with two triggers and a three-step connection, which suits someone who wants an alert or a log running the same afternoon without code. The trade-offs are a polling delay tied to your plan and no way to write back. Before choosing Make or n8n, check whether either one offers an Advantage Orientation connector at all, since none is listed alongside this page.
