What the Lapsula Zapier integration actually does

Lapsula is an online booking tool for beauty and wellness businesses. The integration turns each booking event into the start of a Zap (an automation on Zapier: one event that starts it, then one or more steps that follow), so appointments do not stay locked inside Lapsula.

Three results come up most often. First, a calendar everyone can read: New Portal Booking and New Admin Booking copy each appointment into the shared calendar, whether the client booked through the portal or your team entered it. Second, a client file that grows by itself: the same triggers create or enrich the contact in your CRM or mailing tool, without anyone retyping it. Third, no surprise on the day: Booking Rescheduled and Booking Status Updated post a message to the team when an appointment moves or changes status, so the person on duty knows before the client walks in.

What Zapier does not do here is just as plain. Lapsula has no actions and no searches on Zapier: a Zap cannot create, move or cancel a booking, nor look one up. None of the four Lapsula triggers ever costs a task. Each action that follows and succeeds counts once, so a Zap that copies a booking to a calendar and posts in a chat uses two tasks per booking. A failed action is not counted. Lapsula is not a premium app and works on the free plan: 100 tasks a month, unlimited Zaps, each one limited to one trigger and one action.     In Zapier, open Apps and click + Add connection. Use the Lapsula account that manages the bookings you want to follow, with access to every booking the Zap should see.

    Search for Lapsula in the dialog, select it, then click Add connection. A new browser tab opens on the Lapsula side; keep it open until the sign in is finished.

When it breaks

When a Lapsula Zap breaks

Zapier lists no help article and no rate limit specific to Lapsula. What goes wrong comes from how the four triggers split the bookings, and from general Zapier behavior.

  • Half the bookings are missing

    New Portal Booking only sees online bookings and New Admin Booking only those made by staff. A Zap on one of them misses the other channel.
  • Earlier bookings never show up

    A Zap only reacts to what happens after you switch it on. Appointments created before stay in Lapsula, and moving them is a separate job.
  • A big import stalls

    Loading a large batch of bookings at once, after a migration for instance, can trip Zapier's flood protection, which then holds the events back.

Lapsula Zapier integration: frequent questions

01Is the Lapsula Zapier integration free?
Yes. Lapsula is not a premium app, so all four triggers work on the free plan: 100 tasks a month and unlimited Zaps. The limit people find out late is that a free Zap has two steps only, one trigger and one action. If you want to filter bookings, say only one type of status, or send each booking to two tools, the Zap becomes multi-step and needs a paid plan. Copying each booking to one calendar stays free.
02How many tasks does a Lapsula Zap use?
One task per action that succeeds, and nothing for the Lapsula trigger itself. A booking created, moved or updated never costs a task on its own. A Zap that copies each booking into a calendar uses one task per booking, so a hundred bookings in a month use the whole free allowance. Add a second action and the same bookings cost twice as much. A failed action is not counted, but the booking is not copied either.
03Does Lapsula trigger Zaps in real time?
Yes. All four Lapsula triggers are instant: Lapsula tells Zapier the moment a booking is created, rescheduled or changes status, and the Zap starts at once. The plan intervals, 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise, only concern polling triggers, and Lapsula has none. In practice, a last-minute booking reaches the team calendar or chat in time to act on it, even on the free plan.
04What does it take to connect Lapsula to Zapier?
A Lapsula account that sees the bookings you want to follow, and a Zapier account. The connection is made once from the Apps page of Zapier: you search for Lapsula, click to add it, then sign in to Lapsula in the tab that opens and grant access. No trigger asks for extra settings afterwards. If the account cannot see some bookings, the Zap cannot see them either. Lapsula is not a premium app, so the connection works on the free plan.
05Why does a Lapsula Zap miss some bookings?
Most often because it listens to one channel only. Lapsula splits new bookings in two triggers: New Portal Booking for clients who book online, New Admin Booking for appointments your team enters. A Zap built on one of them never sees the other. Build one Zap per trigger, both pointing to the same destination; each of them still fits on the free plan. Also remember that bookings made before the Zap was switched on never come through.
06What if the Lapsula operation you need is not on Zapier?
Then the Zapier app cannot do it today. It offers four triggers, on new bookings from the portal or from staff, on rescheduled bookings and on status changes, with no action and no search. A Zap can react to bookings, but cannot create, move or cancel one in Lapsula. For that, the work stays inside Lapsula, or goes to another tool that talks to it directly, or to a request for the vendor.

It depends on your criteria, not on a single winner. Zapier is quick to set up for a team with no technical profile, its four Lapsula triggers are instant and everything works on the free plan.
