Advyzon Zapier integrationAutomate Advyzon with Zapier.
The Advyzon Zapier integration gives you 6 actions and 4 searches, with 0 triggers. Advyzon never starts the automation itself: another app does, then Zapier files the result in Advyzon as a client, a prospect, a note, a task or an opportunity.

What the Advyzon Zapier integration actually does
It is a one-way bridge into Advyzon, the practice platform built for financial advisors and wealth management firms. Something happens in another tool (a form, a calendar, an inbox), and Zapier writes the matching record into Advyzon so nobody retypes it. Nothing flows the other way, because Advyzon exposes no event that can start an automation.
Three results show up again and again. Prospects that file themselves: a row added to a lead sheet becomes a household or institutional prospect through Create Prospect, so a new lead is never stuck in a spreadsheet tab. Follow-ups with a deadline: a meeting booked in a scheduling tool turns into an Advyzon item through Create Task, with its name, due date and description filled from the booking. A paper trail on the right person: Find Contact looks up the sender of an email by name, phone or address, then Create Note records a summary of the exchange.
Now the honest part. Advyzon has no trigger on Zapier, so a new client or a closed opportunity inside Advyzon cannot set anything off in another app. There is no update or delete action either: every action creates something new. And none of the four searches offers a find-or-create variant, so creating a missing record is a separate step.
If the missing direction is a deal-breaker, the n8n vs Zapier comparison and the Make vs Zapier comparison lay out how the other two tools approach the same kind of job.
Zapier words in one minute
The page uses these terms from here on. Each one is explained once, in plain words.
- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run each time that event happens.
- Trigger
- The event in an app that starts the Zap. With Advyzon, it always lives in another app, since Advyzon offers none.
- Action
- What the Zap does once started: the step that writes something for you, like a new Advyzon task or contact.
- Task
- The unit Zapier bills: one action that completes successfully. The number on your plan counts those, nothing else.
- Polling vs instant
- A polling trigger is checked on a timer set by your plan. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
- Search step
- A step that looks up a record that already exists, such as an Advyzon client, so the next steps can use what it found.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it needs a paid plan.
What an Advyzon Zap really costs
Advyzon is not a premium app, so it works on the free plan. The bill comes from tasks, and only actions that succeed are counted.
- Free plan100 tasks per month, unlimited Zaps
- Free plan Zap size2 steps: one trigger, one action
- Premium appNo, Advyzon runs on every plan
- CountedEach successful action
The trigger costs nothing, and neither does Zapier checking for new data. Each Advyzon action that goes through counts as one task; one that fails is not billed. The catch: the free plan stops at two steps. A search followed by an action, or any filter, makes a multi-step Zap, so most useful Advyzon setups need a paid plan. Plan for that before promising a workflow to an advisor: a lookup step is what keeps records clean.
Connect Advyzon to Zapier in three steps
- 01
Open your connections
In Zapier, go to the Apps page and click + Add connection. A connection is your Advyzon account linked once, then reused by every Zap step that touches Advyzon.
- 02
Pick Advyzon
Type Advyzon in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Advyzon sign-in screen, ready for your login.
- 03
Sign in and grant access
Log in with your Advyzon account and allow Zapier to reach it. If the Zap will write into records you do not own, make sure your account has write access to them first.
Your first Advyzon Zap: a task for every booked meeting
GoalWhen someone books a meeting in Calendly, find that person in Advyzon and create a dated follow-up task.
- 01
Start with the booking
In the Build stage, pick Calendly as the app that starts the Zap and choose the booking event. Advyzon cannot play this role, so the start always sits elsewhere.
- 02
Test the trigger
Run the test: Zapier brings back the three most recent bookings from your account. Pick a real one, so every field you map later shows actual data.
- 03
Look up the contact
Add Find Contact from Advyzon and map the invitee email into Search a Contact. It accepts a name, a phone number or an email.
- 04
Create the task
Add Create Task. Fill Task Name, Due Date and Description from the booking: all three are required. All Day is optional.
- 05
Test, then publish
Test each step and read what came back in Advyzon. When the task looks right, click Publish to switch the Zap on. This Zap has three steps, so it needs a paid plan.
The 6 Advyzon actions
Advyzon gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

The 4 Advyzon searches
4 search steps look for data that already exists in Advyzon, so a later step can use it.
A search step finds a record that already exists in Advyzon and passes it to the next steps. In the editor, the four searches sit at the bottom of the Action event list, under the SEARCH heading. Some action fields also offer + Add search step, which inserts the lookup just before and wires the result in for you. Three settings decide what happens when the lookup does not go as planned.

The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap, and the steps after it are skipped. Switched on, the Zap carries on with empty values.
- Create X if it doesn't exist yet? This box turns a search into a find-or-create. Advyzon offers no such variant, so to create a missing record, add the matching Create action as its own step.
- If multiple search results are found?Three ways out when several records match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When an Advyzon Zap breaks
Zapier links no help article to Advyzon, so the failures to expect are the general ones of any Zap.
Since the start of every Advyzon Zap sits in another app, most surprises come from that side: what the trigger sees, when, and how much at once. For stubborn errors, the Zapier troubleshooting guide goes further.
Your existing book is not imported
A Zap only reacts to what happens after you publish it. Clients and leads that already existed stay where they are; moving that backlog is a separate job.The Zap feeds itself
If a step writes back into the very place the trigger watches, each run sets off the next one, and the task count drains fast.A bulk import gets held back
When the trigger app suddenly returns a huge batch, after a migration for example, Zapier's flood protection can pause the run instead of creating everything. The same item runs only once
On a polling trigger, Zapier remembers what it has already seen. So a row it has already handled never creates a second Advyzon record.
