What the Aesthetic Record EMR Zapier integration does
Aesthetic Record EMR is practice management and records software built for aesthetic clinics. Linked to Zapier, it becomes a starting point: a new patient or a new invoice in the software can set off work in your other tools. It only starts things. Zapier cannot send anything back into it.
Three setups clinics actually build. A welcome list: New Patient adds each new client to the newsletter tool the front desk already uses, so nobody retypes names after a consultation. A revenue log: New Invoice appends a line to the spreadsheet the owner uses to follow revenue. A team heads-up: either trigger posts a short note in a staff chat channel, so the manager sees new activity without opening the software.
Now the limits. Zapier cannot write into Aesthetic Record EMR: there are no actions, so you cannot book, edit or tag anything from another app. There is no search step either, so a Zap cannot look up an existing patient halfway through. And both triggers are polling ones, so nothing here is instant: on the free plan, a new patient can take up to 15 minutes to show up downstream.
Hack'celeration has no n8n or Make page for this app yet. To weigh platforms, the Make vs Zapier and n8n vs Zapier comparisons set out the criteria without crowning anyone.
Zapier vocabulary in one minute
Seven words keep coming back on this page. Here they are, once, in plain English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event takes place.
- Trigger
- The event inside an app that starts a Zap. Once the Zap is switched on, Zapier simply waits for that event to come along.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in another app so you do not have to.
- Task
- The unit Zapier bills. One task equals one action your Zap finished successfully, and your plan is a monthly count of them.
- Polling vs instant
- A polling trigger is checked on a timer, so it waits for the next check. An instant one is pushed by the app the moment it happens.
- Filter
- A step that lets the Zap carry on only when the incoming data meets a condition you set, and stops it quietly otherwise.
- Connection
- Your account of an app linked to Zapier one time, then reused by every step of every Zap that works with that app.
What an Aesthetic Record EMR Zap really costs
Aesthetic Record EMR is not a premium app, so it works on the free plan. Watching for new patients or invoices never costs a task, however often Zapier checks.
- Free plan100 tasks per month, unlimited Zaps
- Zap length on free2 steps: one trigger, one action
- Trigger cost0 tasks, however often Zapier checks
- Premium appNo, it runs on the free plan
The bill comes from the actions that follow. Each action that succeeds counts once: a Zap that adds a patient to Mailchimp and then posts in Slack spends two tasks per patient, and a three-action Zap spends three. A failed action is not counted. Some receiving apps bill more than one task per action, so read the HubSpot or Slack side, or whichever app you pick, before counting. The free plan caps every Zap at two steps, one trigger and one action; a filter or a second action needs a paid plan.
Connect Aesthetic Record EMR to Zapier
- 01
Open your connections
In Zapier, go to the Apps page and click + Add connection. A connection is your clinic account linked once, then reused by every Zap step that touches Aesthetic Record EMR.
- 02
Pick the app
Type Aesthetic Record EMR in the search box of the dialog, select it, then click Add connection. You need an existing account on the software, and access to the records the Zap should read.
- 03
Sign in and grant access
Log in to Aesthetic Record EMR in the tab Zapier opens, then allow Zapier into the clinic account. Back in Zapier, the account is listed under your connections and every Zap you build later can pick it.
Your first Aesthetic Record EMR Zap
GoalEach new patient lands on a Mailchimp audience, then the front desk gets a Slack message about it.
- 01
Create the Zap
Start a new Zap and pick Aesthetic Record EMR as the app that starts it. Choose New Patient as the event, then the connection you set up a moment ago.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent patients of the account, so you map from a real record rather than an empty template.
- 03
Add the audience step
Add Mailchimp as the first action and map the patient details into the subscriber fields. Test it and read what came back before moving on.
- 04
Add the team message
Add Slack as a second action and write the note, pulling in details from the trigger. Two actions make this a multi-step Zap, which needs a paid plan.
- 05
Publish
Click Publish to switch it on. From then on, each new patient costs two tasks: one for Mailchimp, one for Slack. Nothing older is picked up.
Aesthetic Record EMR triggers on Zapier
2 events start a Zap when something happens in Aesthetic Record EMR. Zapier checks for them at the interval your plan allows.
New Invoice
Polling triggerIn Zapier“Triggers when a new invoice is generated in Aesthetic Record.”
Every time the software generates a new invoice, this trigger hands it to the next step of your Zap, once. It is the one to build on when money is what you want to track outside the clinic software.
New Patient
Polling triggerIn Zapier“Triggers when a new patient/client is added to Aesthetic Record.”
Whenever someone is added as a patient or client, Zapier spots the record on its next check and starts the Zap with it. It remembers what it has already seen, so one person never fires the Zap twice.
When an Aesthetic Record EMR Zap breaks
No Zapier help article covers Aesthetic Record EMR specifically. What goes wrong here is what goes wrong on any polling app, and a clinic feels it in its patient and invoice data.
These Zaps rarely crash loudly. More often nothing arrives, or it arrives later than expected because both triggers poll. The four cases below cover what the platform documents. For anything stranger, the Zapier troubleshooting page lists the usual checks.
Existing patients never come through
A Zap only reacts to what happens after it is switched on. Patients and invoices already in the software are not picked up; moving that backlog is a separate job.A migration gets held back
When a trigger suddenly returns a huge batch, after a bulk import or a move from another system, Zapier's flood protection can hold it back instead of running it all.The same record never repeats
On a polling trigger Zapier keeps track of what it has already seen, so the same patient or invoice never starts the Zap twice. That is by design.A loop drains your tasks
Since nothing can be written back into the clinic software, this loop only appears between other apps: a Zap writing into the very sheet or list another of its triggers watches.
