What the Affinity Zapier integration is for

Affinity is a relationship CRM built for private capital teams: people, organizations, opportunities, all organized in lists. Zapier links it to your other apps without code, with 22 visible operations to pick from. Six of them start a Zap, nine write to Affinity, and seven look up what is already there.

Three results come up most. A deal flow that logs itself: a founder fills in a form elsewhere, Find or Create organization makes sure the company exists once, and Add a Person, Organization, or Opportunity to a List drops it into your pipeline. A team that hears about changes: Field Value Changes watches a list and tells a channel when a status moves. A history that stays complete: Create a Note pins a call summary or an email to the right person or opportunity.

What Zapier does not do for Affinity counts as much. All 6 triggers are polling ones: on the free plan, Zapier checks every 15 minutes, never at the moment something changes. There is no delete action, for any record type. And the list actions want Affinity's own ID of the record, not a name, which usually means a search step before them, so a paid plan.

Trigger

The trigger never costs a task, and neither does Zapier checking Affinity, however often it looks. Each action that succeeds counts as one task; a failed one does not. In a Zap with several actions, each success is counted on its own. The free plan stops at one trigger and one action: add a search step to find an Affinity ID, or a filter, and the Zap becomes multi-step, so it needs a paid plan. Affinity is not a premium app.

    Open Apps and add a connection

    In Zapier, go to Apps, click + Add connection, type Affinity in the dialog and pick it. You need an Affinity account, with access to the lists your Zaps will read or write.

    Sign in to Affinity

    Click Add connection. A tab opens on the Affinity side. Sign in with the Affinity account the Zap should work with. Lists and records that account does not own need read or write access before a Zap can touch them.

    Grant access and reuse it

    Grant Zapier access to the account. That is the connection: your Affinity account linked once, then reused by every Affinity step of every Zap instead of asking you again.

    Create the Zap and pick the trigger

    Start a new Zap, choose Affinity, then New Person. It is a polling trigger, so on the free plan Zapier checks for new people every 15 minutes.

  2. 02

    Test the trigger

    Select your connection and run the test. Zapier brings back the three most recent people of the account, so you map the next steps on a real record, ID included.

  3. 03

    Add a filter on the email

    Add a filter that lets through only addresses that are not personal ones. Use a text rule for a text field, or the filter never passes. A filter needs a paid plan.

  4. 04

    Add New Person List Entry

    Add the Affinity action New Person List Entry, pick the target list, and map the person ID from the trigger's test record. If the ID is there, no search step is needed.

    Test, then publish

    Test once and check the list in Affinity. Then publish the Zap to switch it on. Only people added after that moment will be processed.

When to use it
a company shows up in another tool, a pitch deck inbox for example, and must exist in Affinity before anything else happens.

When to use it
founders or contacts arrive through a form that never touched your CRM.
Watch out
with no last name in the source, Affinity fills in PLACEHOLDER, and this action never checks for an existing person, so put Find a Person first.

Update an Entity

When to use it
data that lives elsewhere, a stage in a form or a round size in a sheet, should keep the Affinity record current.
Watch out
the record must be found first, usually by one of the search steps.

7 search steps look for data that already exists in Affinity, so a later step can use it.

A search step finds what already exists in Affinity and hands it to the next steps. In the editor, Affinity's searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the search does not find exactly one match.

Looks up an organization from a search term, ideally a domain or the company name, and returns its record with the ID.

When to use it
before any list action on a company, to get the ID it needs.
Watch out
the editor also shows it as Find or Create organization; that is this same search with the create box ticked, not another operation.

When to use it
an earlier step only carried the ID, and later steps need the name or the domain.
Watch out
it shares its label with the name search, so check the description in the menu before picking.

When to use it
a list trigger hands you an ID, and you need the opportunity's details for a message or a sheet.
Watch out
same label as the search by name in the editor; the one you want here takes an ID.

Find a Person

Search

Retrieves a person directly from their Affinity ID, the most precise lookup the app offers on people.

When to use it
a list entry or a field change points to a person by ID and you need their email or name next.
Watch out
two searches carry this label; pick the one whose description mentions the ID.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps depending on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields needed to create the missing record.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When an Affinity Zap breaks

Zapier attaches no help article to Affinity and lists no limit specific to it. What breaks are the general rules of Zapier, and a CRM full of lists meets them often.

A relationship CRM is read and written by several automations at once, which is where loops and duplicates come from. Before blaming Affinity, check the four cases below.   • Existing records are never processed

    A Zap only reacts to what happens after you switch it on. People and deals already in Affinity stay untouched; moving that backlog is a separate job.
  • A Zap that keeps restarting itself

    New Organization feeding Create a Organization, or a list trigger feeding a list action on the same list, sets the Zap off again and again and drains tasks.
  • A bulk import gets held back

    After a bulk import or a migration into Affinity, a trigger can return a huge batch at once. Zapier's flood protection may then hold the runs back instead of firing them all.
  • The same record never runs twice

    On a polling trigger, Zapier remembers what it has already seen. Editing a person does not make New Person fire again for them.

Affinity Zapier integration: common questions

01Is the Affinity Zapier integration free?
Yes, on Zapier's side. Affinity is not a premium app, so it works from the free plan, which gives 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: on free, one trigger and one action. New Person followed by New Person List Entry fits, as long as the person ID can be mapped from the trigger. As soon as you need a search step to find an ID, or a filter, the Zap becomes multi-step and needs a paid plan. Affinity's own pricing is outside the scope of this page.
02How many Zapier tasks does an Affinity Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier checking Affinity for new people or opportunities costs nothing, however often it looks, and a failed action is not counted. In a Zap with several actions, each success counts separately: creating an organization, adding it to a list and writing a note is three tasks per record. A few apps and actions take more than one task, so check your usage history after the first runs on a busy list.
03Is the Affinity Zapier integration real time?
No. All 6 Affinity triggers are polling triggers: Zapier asks Affinity for new items on a timer, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The type is set by the app and cannot be changed in the editor. On paid plans, a check can also be run by hand from the editor. For a deal team, a status change can therefore take up to a full interval before anyone hears about it through the Zap.
04What do you need to connect Affinity to Zapier?
An Affinity account, with access to the lists, people and opportunities your Zaps will read or write. The connection starts from the Apps page of Zapier with + Add connection, a search for Affinity, then Add connection; you sign in on the Affinity side and grant access. Several triggers and actions also require a List chosen from a drop-down, so the lists must exist in Affinity first, and must be visible to the account you connected.
05Why do Affinity list actions ask for an ID?
Because New Person List Entry, New Organization List Entry and New Opportunity List Entry identify the record by its Affinity ID, not by a name or an email. If your trigger comes from Affinity, check its test record for that ID. If it comes from another app, add one of the find searches first, or use the search button the field offers, which inserts that step for you. Either way the Zap becomes multi-step. These actions also allow duplicate entries, so check first with Find a List Entry.
06What if the Affinity operation you need is not on Zapier?
Then work around it, because the list is fixed: 6 triggers, 9 actions and 7 searches, with no delete. Many gaps close with a combination, such as a search followed by Update an Entity, or a find-or-create search that creates the record only when it is missing. If a need still has no matching operation, check whether the other automation platforms expose it for Affinity, or keep that part inside Affinity itself rather than forcing a fragile chain of steps.

Choose by criteria, not by brand. Zapier fits when your other apps are already connected to it and your scenario stays short: one trigger and one action on the free plan, or a chain with a search on a paid one.
