What the Meftah Zapier integration does for your invoicing

The Meftah Zapier integration connects Meftah, an invoicing tool for small businesses that creates invoices, tracks payments and keeps an eye on cash flow, to the rest of your apps. It works both ways: new invoices and customers in Meftah can start a Zap, and a Zap can write customers, products and invoices into Meftah.

Three results cover most of what teams build with it.

Invoices that leave without a second click. New Invoice followed by Send Invoice to Customer emails each new invoice to the customer and moves it from Draft to Pending. A customer file fed by your other tools. When a deal is won elsewhere, Find Customer with its find-or-create option makes sure the customer exists in Meftah before anything else happens. Invoices drafted from outside. Create Invoice builds the invoice from data captured in another app, and Send Invoice to ZATCA can submit it to the Saudi tax authority once it is final.

What Zapier does not do here. Its two triggers are polling ones: Zapier checks Meftah at your plan's interval, so a new invoice reaches the Zap on the next check, never the instant it is created. There is no trigger for payments, and no action to delete anything. An invoice submitted to ZATCA is locked, and correcting it takes a credit or debit note, not a Zap. Nothing created before your Zap went live is picked up.

Eight terms come back on this page. Here is what each one means.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new invoice in Meftah. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, like emailing an invoice.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it hasn't seen.
Instant trigger
A trigger the app reports itself, the moment the event happens. Meftah has none, so both of its triggers wait for a check.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, like a customer, so the steps after it can use what it found.

The trigger never costs a task, and neither do Zapier's checks for new invoices or customers, however often they run. Each action that succeeds counts as one task; an action that fails is not counted. A Zap with three actions uses three times as many tasks as a Zap with one. The free plan gives 100 tasks a month, unlimited Zaps and a check every 15 minutes, but each Zap stops at two steps: one trigger, one action. A filter, a search such as Find Customer, or a second action makes the Zap multi-step, and multi-step Zaps need a paid plan.

Connect your Meftah account to Zapier

    Open Apps and add a connection

    In Zapier, go to the Apps page and click + Add connection. A connection is your Meftah account linked to Zapier once, then reused by every step that works with Meftah.

    Choose Meftah

    Search for Meftah in the dialog, select it, then click Add connection. You need a Meftah account to sign in with: the one whose invoices and customers the Zap will use.

    Sign in and grant access

    Sign in to Meftah in the tab that opens and grant Zapier access. For anything you do not own yourself and want the Zap to touch, you also need read or write access to it.

First Zap

Your first Zap: email the invoices that are ready

GoalEach new Meftah invoice that passes your filter is emailed to the customer with Send Invoice to Customer. The filter makes it a multi-step Zap, so it needs a paid plan.

    Create the Zap

    Start a new Zap, pick Meftah as the app that starts it and New Invoice as the event. Then select the Meftah connection you made earlier.

  2. 02

    Test the trigger

    Run the test. Zapier brings back the three most recent invoices of the connected account, so you build the rest of the Zap from a real one.

  3. 03

    Add the filter

    Click the plus icon and add a Filter step. Fill its three boxes: the field to look at, the rule and the value. A text rule only works on text.

  4. 04

    Add Send Invoice to Customer

    Add Meftah again with Send Invoice to Customer. Its only required field is Invoice ID: fill it from the trigger test, and check at the test which value identifies the invoice.

    Test and publish

    Test the action on an invoice you are happy to send, read the result, then click Publish. Zapier now checks Meftah at your plan's interval.

How it fires

every new customer in Meftah should also appear in your contact list or your team's spreadsheet, without being typed twice.
Watch out
as a general precaution, a Zap that writes into the place its own trigger watches can set itself off again and again. Keep that in mind before a Zap creates customers in this same Meftah account.

How it fires

When to use it
a new invoice should be logged, announced to the team or sent on to the customer, with no one copying it by hand.
Watch out
it is about new invoices only, and Meftah offers no trigger for payments on Zapier. Invoices that existed before you published are not replayed either.

Action

Adds a customer to Meftah from data held in another app.

When to use it
a deal closes in your sales tool and the customer has to exist in Meftah before anyone invoices them.
Watch out
four fields are required, Customer Name, Contact Name, Contact Email and Contact Phone. Check at the test that your source fills all four, the phone included.

Create Invoice

Action

In Zapier“Creates an invoice.”

Drafts an invoice in Meftah from details coming out of another step.

When to use it
an order or a signed quote lands in another app and should turn into a Meftah invoice without retyping.
Watch out
six fields are required: Customer, Date, Due Date, Total Amount, Subtotal Amount and Currency. The customer is selected or searched among your Meftah customers, which is where Find Customer earns its place just before this step.

Create Product or Service

Action

In Zapier“Creates a product or service.”

Puts a new product or service in your Meftah catalogue, with its title and price.

When to use it
your offer list lives somewhere else and new items should reach Meftah ready to invoice.
Watch out
Product title and Product Price are required. Two optional settings, Can Be Sold and Can Be Purchased, say whether the item is for customers, suppliers or both, so set them on purpose.

Send Invoice to Customer

Action

In Zapier“Sends an invoice to the customer's email address. Updates the last-sent date and transitions the invoice status from Draft to Pending.”

Emails an invoice to the customer's address, records the send date and moves the invoice from Draft to Pending.

When to use it
invoices should go out as a step of your Zap, rather than waiting for someone to open Meftah.
Watch out
it only asks for the Invoice ID. Test it on an invoice you really mean to send, because the customer receives it.

Send Invoice to ZATCA

Action

In Zapier“Submits an invoice to ZATCA (Saudi Tax Authority). Once submitted the invoice is locked — use a credit/debit note to reverse or adjust it.”

Submits an invoice to ZATCA, the Saudi tax authority, straight from your Zap.

When to use it
your invoices must be reported to ZATCA and you want that step to follow automatically once an invoice is final.
Watch out
once submitted, the invoice is locked. Fixing it means a credit or debit note, so keep this action behind a filter or after the last edit, never in a test on a draft.

Update Invoice

Action

In Zapier“Partially updates an existing invoice. Only supplied fields are changed; omitted fields keep their current values. Content edits (amounts, items, dates) require Draft status.”

Changes part of an existing invoice and leaves every field you do not fill exactly as it was.

When to use it
a detail changed in another tool and the matching Meftah invoice needs the same correction.
Watch out
it needs the Invoice ID, which Find Invoice can look up first. Edits to amounts, items or dates only go through while the invoice is still a Draft.
Searches

Meftah searches on Zapier

4 search steps look for data that already exists in Meftah, so a later step can use it.

A search step finds something already in Meftah and hands it to the steps after it. In the editor, Meftah's searches sit at the bottom of the Action event list, under SEARCH. Any search makes the Zap multi-step, so it needs a paid plan. Three settings decide what happens when the result is not a clean single match.

When to use it
just before Create Invoice, to fetch the customer the invoice belongs to.
Watch out
its Filter field is required. Tick the find-or-create box and the editor shows it as Find or Create Customer: same step, which then creates the customer when no match comes back.

Find Invoice

Search

In Zapier“Finds invoices by invoice number or keyword. Leave filter blank to list all invoices.”

Finds invoices by invoice number or by keyword, so Update Invoice or a send action can work on the right one.

When to use it
another app knows the invoice number but not Meftah's internal ID.
Watch out
leave the filter empty and it lists every invoice, so set the multiple-results setting deliberately.

Find Product or Service

Retrieves a product or service from the Meftah catalogue by its name.

When to use it
an order names an item and the next step needs the matching Meftah product.
Watch out
the Filter field is required. With the find-or-create box ticked it appears as Find or Create Product or Service, and builds the item when nothing matches.

Find Tax

Search

In Zapier“Finds a tax by name. Leave filter blank to list all taxes.”

Fetches a tax defined in Meftah by its name, ready for a step that needs it.

When to use it
a Zap prepares invoice data and must pick the right tax rather than hard-code it.
Watch out
an empty filter returns every tax, so the multiple-results setting decides which one the next step receives.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what is needed to create the missing item. Find Customer and Find Product or Service offer it.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Meftah Zap breaks

Zapier attaches no help article to Meftah and no rate limit is on record. The traps come from Meftah's own invoice rules and from how Zapier works in general.

Six cases to read before you publish. Several will not look like an error at all: the Zap simply does more, or less, than you meant. If a Zap still misbehaves after these checks, see our Zapier troubleshooting guide.

  • A submitted ZATCA invoice is locked

    After Send Invoice to ZATCA, the invoice can no longer be edited. Reversing or adjusting it takes a credit or debit note.
  • Update Invoice on a non-draft invoice

    Changes to amounts, items or dates only apply while the invoice is a Draft. Keep in mind that Send Invoice to Customer moves an invoice to Pending.
  • Create Invoice and its customer

    The Customer field links the invoice to a customer you select or search in Meftah. Put Find Customer, with find-or-create ticked if needed, before the invoice step.
  • History is not replayed

    A Zap reacts only to invoices and customers created after it goes live. Earlier records are not picked up; moving them is a separate job.
  • A Zap that feeds its own trigger

    As a general precaution: a Zap that writes into the place its trigger watches can set itself off again and again, and burn through your tasks.
  • A sudden flood is held back

    If a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items back.

Meftah and Zapier: common questions

01Is the Meftah Zapier integration free?
Yes. Meftah is not a premium app, so its triggers, actions and searches all work on Zapier's free plan. That plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. New Invoice followed by Send Invoice to Customer fits in it. Add a filter so only some invoices go out, a Find Customer step, or a second action, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Meftah Zap use?
Only actions that succeed are counted. The trigger never uses a task, and Zapier's checks for new invoices or customers are free however often they run. A Zap with one action costs one task per invoice or customer it processes, a Zap with three actions costs three. An action that fails is not counted. Some apps and some actions take more than one task when they complete, so check the other apps in your Zap as well.
03Does Meftah send new invoices to Zapier in real time?
No. New Invoice and New Customer are both polling triggers: Zapier asks Meftah for new items at a fixed interval. That is every 15 minutes on the free plan, every 2 minutes on Professional, and every minute on Team and Enterprise. On a paid plan you can change how often it checks and also run a check by hand from the editor. The trigger type comes from the app and cannot be switched in Zapier.
04What do you need to connect Meftah to Zapier?
A Meftah account, plus read or write access on anything you do not own yourself and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for Meftah, click Add connection, sign in to Meftah in the tab that opens and grant access. The same connection then serves every Meftah step, from the New Invoice trigger to Send Invoice to Customer and the four searches, so you only set it up once.
05Can a Zap correct an invoice already sent to ZATCA?
No. Once Send Invoice to ZATCA has submitted an invoice, Meftah locks it, and reversing or adjusting it takes a credit or debit note. Update Invoice will not help either: its edits to amounts, items or dates only apply to invoices still in Draft. The safe pattern is to make every change first, then submit. Keep the ZATCA step behind a filter, and never test it on a real invoice you are still working on.
06What if the Meftah operation you need is not on Zapier?
No setting will add it. Meftah's list on Zapier covers two triggers (new customer, new invoice), six actions to create, update and send, and four searches. There is no trigger for payments and no delete action. Check the Meftah page on zapier.com first, since it shows what is offered today. Then see whether the job fits what exists, for instance Find Invoice followed by Update Invoice. If the step really has to happen in Meftah and is missing, compare other automation tools.
