AgencyZoom Zapier integrationAutomate AgencyZoom with Zapier.

The AgencyZoom Zapier integration gives you 6 triggers, 7 actions and 2 searches. All six triggers are instant, so a sold policy or a fresh service request starts your Zap the second it lands in the CRM, even on the free plan.

Overview

What the AgencyZoom Zapier integration really does

It links AgencyZoom, the CRM property and casualty insurance agents use to sell and to automate their routine, to the other tools your agency runs. You build a Zap (an automation with one starting event and the steps that follow), and AgencyZoom either kicks it off or receives what it writes.

Three results show up again and again on agency desks. A follow-up after every sale that nobody forgets: New Policy Sold fires, and Create Task puts a dated to-do on a producer's list. A paper trail on every lead without retyping: a call logged in another tool becomes an AgencyZoom record through Create a Note. Service tickets opened from the outside: a form answer in another app turns into a ticket through Create Service Request, with its pipeline and stage already set.

Now the limits. Zapier offers no action that deletes anything in AgencyZoom, and nothing that creates a customer or a policy directly: the writing side stops at leads, notes, tasks and service requests. Searches cover leads and service requests only.

The upside is speed. Every trigger on this app is instant, so the plan interval never slows a Zap down. If you are weighing other platforms, the Make vs Zapier and n8n vs Zapier comparisons lay out the criteria side by side.

Vocabulary

Zapier words in one minute

Seven terms carry the rest of this page. Each one gets a plain definition here, then the page uses it as is.

Zap
Your automation on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf, here or in another app.
Task
The unit Zapier bills. One task equals one action your Zap finishes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment the event happens, with no wait.
Filter
A step that lets the Zap continue only when the incoming item meets your condition, and stops it quietly otherwise.
Search step
A step that looks up a record that already exists, so later steps can reuse what it found instead of guessing.
Connection
Your AgencyZoom account linked to Zapier once, then reused by every step that touches AgencyZoom.
Cost

What it costs to run

AgencyZoom is not a premium app, so it works from the free plan. The bill depends on actions, not on triggers.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Instant triggers6 of 6
  • BilledEach successful action

The trigger never costs a task, and neither does Zapier watching for events. Each action that succeeds counts once, so a Zap with three actions uses three times more than a Zap with one. An action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a second action, a filter or a search and you have a multi-step Zap, which needs a paid plan. The interval grid below only applies to polling triggers, and AgencyZoom has none.

Connect

Connect your AgencyZoom account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an AgencyZoom login, plus access to any records you do not own but want the Zap to touch.

  2. 02

    Pick AgencyZoom

Type AgencyZoom in the search box of the dialog, select it in the results, then click Add connection. A new browser tab opens on the AgencyZoom side.

  3. 03

    Sign in and allow access

Log in to AgencyZoom in that tab and grant Zapier access to the account. The connection then appears in your list and every AgencyZoom step can reuse it.

First Zap

Your first Zap: a sold policy becomes a task and a note

GoalWhen a policy is sold, assign a follow-up task to the producer and log a note on the client record.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose AgencyZoom as the app and New Policy Sold as the event. Then select the connection you made earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent sold policies from your account, so you map fields from a real one rather than an empty shell.

  3. 03

    Add the task

Add Create Task. Fill the title, pick who it is assigned to, choose a type and a contact email, then a date such as tomorrow at noon.

  4. 04

    Add the note

Add Create a Note as a second action, with a title, the lead contact email and the note text. Two actions make this a multi-step Zap, so a paid plan is required.

  5. 05

    Test and publish

Test each step and read what came back. When both records look right in AgencyZoom, click Publish to switch the whole Zap on.

Triggers

AgencyZoom triggers

6 events start a Zap when something happens in AgencyZoom, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Lead Created

Instant trigger

In Zapier“Triggers when a new Lead is added.”

Starts your Zap whenever a new lead is added to AgencyZoom, by whoever on the team adds it. It is the entry door for anything that should happen once a prospect exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send each new prospect into a mailing list or alert the producer on duty through a chat tool.
Watch out
leads that existed before the Zap was published are never picked up, so plan a separate job for the backlog.
2

Lead Stage Change

Instant trigger

In Zapier“Triggers when the stage of a Lead changes.”

Watches the pipeline position of each lead. Moving a card from one stage to the next is enough to wake the Zap, which makes this the trigger for quoting and handoff routines.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
once a lead reaches the stage where a quote goes out, create a reminder task for the account manager.
Watch out
pairing it with Update Lead on the same record can move the lead again and set the Zap off in a loop.
3

Lead Status Change

Instant trigger

In Zapier“Triggers when the status of a Lead changes.”

Reacts to a different field from the stage: the status of the lead. Use it when the status your team sets on a lead has to reach other tools without a manual export.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push leads whose status changes into a nurture sequence in your email tool without anyone exporting a list.
Watch out
it fires on every status change, so add a filter if only one status matters, which makes the Zap multi-step.
4

New Policy Sold

Instant trigger

In Zapier“Triggers when a new policy is sold.”

Fires as soon as a policy is recorded as sold. For most agencies this is the moment that matters most, because onboarding, commission tracking and the welcome message all hang on it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add a row to a production spreadsheet for every new sale and trigger a thank-you email.
Watch out
a bulk import of past sales can arrive as one large batch that Zapier holds back with its flood protection.
5

Service Request Created

Instant trigger

In Zapier“Triggers when a new Service Request is created.”

Kicks in when a new service request appears in AgencyZoom and lands in your service team's queue.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
post a heads-up in the service team channel so the request is picked up within the same shift.
Watch out
if the same Zap also runs Create Service Request, every new ticket spawns another one and burns your tasks fast.
6

Service Request Status Change

Instant trigger

In Zapier“Triggers when the status of a Service Request changes.”

Follows a ticket through its life: each time a service request switches status, the Zap gets the news. That suits anything the client should hear about without a phone call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
text the policyholder when their request moves to completed.
Watch out
Update Service Request in the same Zap can flip the status again and restart it, so keep those two apart.
Actions

AgencyZoom actions

AgencyZoom gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Note

Action

In Zapier“Create a note for a lead or a customer.”

Writes a note onto a lead or customer record. Title, the contact email of the lead and the note body are mandatory, which keeps every entry tied to the right person.

When to use it
copy a call summary from your phone system into the client history.
2

Create Business Lead

Action

In Zapier“Create a business lead in Agencyzoom.”

Opens a commercial lines lead, where the business name is the one field you cannot skip. It keeps business prospects apart from personal ones from the very first record.

When to use it
a contractor books a call through a scheduling app and appears as a business lead.
3

Create Personal Lead

Action

In Zapier“Create a personal lines lead in Agencyzoom.”

Adds a personal lines prospect to AgencyZoom from any form, landing page or quote tool. Only the name is mandatory, so even a thin web form can feed the pipeline.

When to use it
a homeowner fills a quote request on your site and lands in AgencyZoom instead of an inbox.
4

Update Lead

Action

In Zapier“Update a lead in Agencyzoom.”

Changes an existing lead rather than creating a duplicate. The only required input is which lead to edit, often supplied by Find a Lead placed just before it.

When to use it
fill in a phone number collected later by a chatbot.
Watch out
do not combine it with a lead trigger on the same record.
5

Create Service Request

Action

In Zapier“Create a service request in Agencyzoom.”

Opens a ticket on an existing customer. It is the most demanding action here: customer name and email, summary, category, priority, pipeline, stage, a due-after delay in days and a description are all required.

When to use it
a change request sent through a web form becomes a tracked ticket.
Watch out
the customer is looked up by name and email, so a typo means no match.
6

Update Service Request

Action

In Zapier“Update a service request in Agencyzoom.”

Edits a ticket already open. Beyond picking the request, Zapier asks again for summary, category, priority, pipeline, stage and the CSR in charge, so prepare those values even when only one changes.

When to use it
reassign a ticket to another CSR when a shared inbox flags it.
7

Create Task

Action

In Zapier“Create a task in Agencyzoom.”

Puts a to-do on someone's AgencyZoom list. You give it a title, an assignee, a type, the email of the lead or customer, and a date that accepts plain phrases like tomorrow at noon.

When to use it
schedule a check-in call a day after a quote goes out.
Searches

AgencyZoom searches

2 search steps look for data that already exists in AgencyZoom, so a later step can use it.

A search step finds a record that already exists and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not a clean single match.

1

Find a Lead

Search

In Zapier“Search for Lead by id, email, phone, or name.”

Looks up a lead by id, email, phone or name, with name used when you leave the choice empty. It also asks you to answer Create Agencyzoom lead if it doesn't exist yet? before going on.

When to use it
grab the right lead before Update Lead rewrites it.
2

Find Service Request

Search

In Zapier“Search for Service Request by customerName, pipeline, stage, create date range”

Locates a ticket by customer name, pipeline, stage or a creation date range. Handy when an outside event refers to a request but carries no AgencyZoom reference.

When to use it
find the open ticket of a client who just replied by email, then update it.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, an empty search stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on with nothing.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the previous setting disappears and Zapier asks for the fields needed to create the missing record.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them along.
When it breaks

When an AgencyZoom Zap breaks

Zapier links no help article to AgencyZoom, so the risks below are the general ones that apply to every app, read through an agency workflow.

Most failures come from timing and loops, not from the connection itself. For a structured way to diagnose a stuck Zap, the Zapier troubleshooting guide walks through it.

  • Old leads are never picked up

A Zap only reacts to what happens after you publish it. Leads and policies already in AgencyZoom stay untouched, and moving that backlog is a separate job.
  • The Zap keeps restarting itself

Updating a lead or a ticket from a Zap triggered by that same lead or ticket writes into the place it watches, sets it off again and drains your tasks.
  • A bulk import is held back

When a trigger suddenly returns a large batch, after an import or a data migration, Zapier's flood protection can hold it back instead of running every item.
  • Required fields left blank

Service request and task actions demand many fields. If an earlier step brings an empty value for one of them, the action fails and nothing is created.

FAQ

AgencyZoom and Zapier: frequent questions

01Is the AgencyZoom Zapier integration free?
Yes, AgencyZoom is not a premium app, so it runs on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps, one trigger and one action. A Zap that sends a sold policy to a spreadsheet fits. One that also creates a task, or adds a filter, becomes multi-step and needs a paid plan. No price is quoted here because plan grids change often, so check the current figures on Zapier before you commit.
02How many tasks does an AgencyZoom Zap use?
One task per action that succeeds, nothing for the trigger. If New Policy Sold starts a Zap that creates a task and then writes a note, each sale costs two tasks. Watching for new events never costs anything, however busy the agency is. Failed actions are not billed either. The free allowance of 100 tasks a month goes quickly when a Zap with several actions runs on every lead, so count your actions per run before you pick a plan.
03Do AgencyZoom triggers run in real time?
Yes. All six AgencyZoom triggers are instant: AgencyZoom calls Zapier the moment a lead is created, changes stage or status, a policy is sold, or a service request is created or changes status. The polling interval of your plan, 15 minutes on the free one, does not apply. That is the main reason this integration works well on a free account, since a new lead can reach your producer's phone without the usual wait between checks.
04What does it take to connect AgencyZoom to Zapier?
An AgencyZoom login and a Zapier account are enough to start. You open the Apps page in Zapier, add a connection, pick AgencyZoom, sign in on the tab that opens and grant access. If the Zap must touch leads or tickets owned by colleagues, your AgencyZoom user also needs read or write rights on them. For actions such as Create Task, the people and pipelines you plan to pick must already exist in AgencyZoom.
05Why does an AgencyZoom Zap run over and over?
Because it writes into the very thing that started it. A Zap triggered by Lead Stage Change that then runs Update Lead on the same lead can move it again and wake itself up. The same goes for Service Request Status Change combined with Update Service Request. Each loop uses tasks, so the monthly count disappears fast. Split the work into two Zaps, or add a filter that only lets through the change you expect.
06What if the AgencyZoom action you need is not listed?
Then Zapier cannot do it with this app today. The visible operations stop at leads, notes, tasks and service requests: there is no action to delete a record or to create a customer or a policy directly. The usual workaround is to chain what exists, for instance Find a Lead followed by Update Lead. If that still falls short, it is worth comparing what other automation platforms offer for AgencyZoom before building around the gap.
07Zapier, Make or n8n for AgencyZoom?
It depends on your criteria, not on a single winner. Zapier offers six instant AgencyZoom triggers that work on the free plan and a guided editor, which suits an agency without a developer. For Make and n8n, check how each one bills and whether it connects to AgencyZoom natively before assuming it does. On Zapier, every AgencyZoom trigger is free to watch and only completed actions are billed. Weigh task volume, budget and who will maintain the Zaps over time.
