Overview

What the MetaMinder Zapier integration does for you

MetaMinder is a mobile learning platform for building professional and personal skills. Zapier links it to your other apps: a Zap (the automation you build on Zapier) reacts to what students do in MetaMinder, or enrolls them in a course from another tool.

Three outcomes cover most uses. A completion record: Completed Course writes a row in your spreadsheet each time a student finishes, so progress reports stop being a manual export. A quiz alert: Completed Quiz, behind a filter, tells the right person in your team chat when a result needs a look. An enrollment from elsewhere: Enroll Student in a Course signs someone up from a form or a sheet, with first name, last name, email and course link.

All five triggers are instant, which matters: MetaMinder tells Zapier the moment the event happens, whatever your plan. Now the limits. There is no search, so a Zap cannot look up a student or a course first. There is a single action: nothing to unenroll, update or create a course. And a Zap never picks up completions from before it was switched on.

Vocabulary

The Zapier words you will meet on this page

Eight terms, in plain English. They come back below without a reminder.

Zap
The automation itself: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap, such as a student finishing a lesson. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like enrolling a student.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan is a count of those.
Polling vs instant
A polling trigger is checked on a timer. An instant one is reported by the app itself the moment it happens, as on MetaMinder.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Connection
Your MetaMinder account linked to Zapier once, then reused by every Zap and every step that needs it.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What it really costs

A MetaMinder trigger never costs a task. You pay for what follows: each action that succeeds counts once.

  • TriggerFree, never counted
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

A two-step Zap, one trigger plus one action, runs on the free plan, which gives 100 tasks a month and unlimited Zaps of two steps. Add a filter or a second action and it becomes multi-step, so a paid plan. A failed action is not counted. MetaMinder is not a premium app, so no plan tier is reserved for it. The interval grid below exists for polling triggers; it does not apply to MetaMinder, whose five triggers are all instant.

Connect

Connect MetaMinder to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a MetaMinder account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick MetaMinder

Search for MetaMinder in the dialog, select it, then click Add connection. A new tab opens where you sign in on the MetaMinder side to finish the link.

  3. 03

    Sign in and grant access

Log in to MetaMinder in that tab and let Zapier reach the account. Every Zap that uses MetaMinder then reuses this one connection, so you sign in only once.

First Zap

Your first Zap: flag quiz results in the team chat

GoalEach completed MetaMinder quiz goes through a filter, and the results that match your rule are posted in your team chat.

  1. 01

    Set the trigger

Create a Zap, choose MetaMinder as the app and Completed Quiz as the event, then select your MetaMinder connection so Zapier knows which account to listen to.

  2. 02

    Test it

Run the test: Zapier brings back the three most recent items of the connected account. Pick a real one, so the filter and the message are set on actual data.

  3. 03

    Add the filter

Click the plus icon and add Filter. Fill the three boxes: the field to look at, the rule, the value. Use a number rule on numbers and a text rule on text.

  4. 04

    Add the action

Pick your chat app and its message action, then place the student and quiz fields in the text. Test the step and read what came back before going further.

  5. 05

    Publish

Click Publish to switch the Zap on. With a filter it is a multi-step Zap, so it needs a paid plan. Quizzes finished before publishing are not picked up.

Triggers

MetaMinder triggers

5 events start a Zap when something happens in MetaMinder, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Completed Course

Instant trigger

In Zapier“Triggers when a student completes a course in your company”

Starts your Zap when a student finishes a whole course in your company, the clearest milestone MetaMinder reports, and passes the details to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
to log completions in a spreadsheet, or to send a follow-up message once a learner reaches the end.
Watch out
courses finished before the Zap is on are never sent; check at test what the trigger returns before mapping.
2

Completed Game

Instant trigger

In Zapier“Trigger when a student completes a game in your company”

Fires when a student completes a game in your company, so the playful side of your training can feed your other tools too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
to keep a tally of finished games in a sheet, or to congratulate a learner through your team chat.
Watch out
the trigger covers games only; lessons, quizzes and courses each have their own trigger and their own Zap.
3

Completed Lesson

Instant trigger

In Zapier“Triggers when a student completes a lesson in your company”

Reacts each time a student finishes a single lesson, the finest-grained progress event of the five, and hands it to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
when you follow progress lesson by lesson, for example to update a row per learner as they move forward.
Watch out
every lesson completion runs the Zap, so each action behind it costs a task each time; plan your volume.
4

Completed Quiz

Instant trigger

In Zapier“Triggers when a student completes a quiz in your company”

Picks up each quiz a student completes in your company and passes it on, so the results worth acting on can reach your other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
to route quiz completions to a reviewer, or to store them next to the learner's other records.
Watch out
sorting results needs a filter, which makes the Zap multi-step; read the fields at test before you set the rule.
5

New Student Enrollment

Instant trigger

In Zapier“Triggers when a new student is enrolled to any of your courses.”

Picks up every new student enrolled in any of your courses, the starting point of every learner journey on MetaMinder.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
to send a welcome email, or to add the new learner to your CRM the moment they join.
Watch out
it covers any of your courses; if only one course matters, add a filter and check at test which field names it.
Actions

The MetaMinder action

MetaMinder gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Enroll Student in a Course

Action

In Zapier“Enrolls student in a particular course”

Signs a person up for a specific MetaMinder course, using details that come from another app, so nobody retypes enrollments by hand.

When to use it
when a form, a sheet or another tool decides who should follow which course.
Watch out
First Name, Last Name, Email and Course Link are all required; map each one and check the result at test.
When it breaks

When it breaks

Zapier lists no error specific to MetaMinder. What goes wrong comes from how Zapier works in general.

These three cases cover the general limits on this integration. For anything else, see our Zapier troubleshooting guide.

  • Past completions never show up

A Zap only reacts to what happens after it is switched on. Enrollments and completions from before stay in MetaMinder; moving that history is a separate job.
  • A Zap that keeps restarting itself

A Zap that writes into the very place its own trigger watches can set itself off again and again and burn through tasks.
  • A sudden wave gets held back

When a trigger suddenly returns a huge batch, after a bulk import for instance, Zapier's flood protection can hold those runs back instead of firing them all.

FAQ

MetaMinder and Zapier: frequent questions

01Is the MetaMinder Zapier integration free?
Yes, as long as each Zap stays at two steps. MetaMinder is not a premium app, so it works on Zapier's free plan, which gives 100 tasks a month and unlimited Zaps of two steps: one trigger and one action. Logging every completed course in a spreadsheet fits that frame. The moment you add a filter, for example to keep only some quiz results, or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a MetaMinder Zap use?
One task per action that succeeds, per event. The triggers are free, so a Zap that writes a row for each completed course costs one task per completion. Lesson-level Zaps add up faster, since every finished lesson runs them. An enrollment through Enroll Student in a Course counts as one task when it works. A failed action is not counted, and a filter that stops the Zap means nothing after it runs. A few apps and actions take more than one task.
03Does MetaMinder send events to Zapier in real time?
Yes. All five MetaMinder triggers are instant: MetaMinder tells Zapier the moment a student enrolls or completes a course, lesson, quiz or game, and the Zap starts right away whatever your plan. The polling interval of each plan does not apply to them at all. In the editor, a Zap built on an instant trigger shows a lightning bolt, an easy way to confirm it before you publish your first flow.
04What do you need to connect MetaMinder to Zapier?
An account on MetaMinder, plus read or write access on anything you do not own yourself and want the Zap to touch. You connect it once from the Apps page of your Zapier account: click + Add connection, search for MetaMinder, click Add connection, sign in in the tab that opens and grant access. Every Zap that uses MetaMinder then reuses that connection, triggers and the enrollment action alike, with nothing to redo.
05What does Enroll Student in a Course need to work?
Four required fields: First Name, Last Name, Email and Course Link. The first three can come from the app that starts the Zap, such as a form or a sheet; the Course Link points at a course that must already exist in your MetaMinder account. Map each field from an earlier step, then test the step and read what came back before you publish the Zap. If the trigger is Completed Course, the pair can chain one course into the next in two steps.
06What if the MetaMinder operation you need is missing?
Then Zapier cannot do it for MetaMinder today. The app currently offers five triggers and one action, Enroll Student in a Course, with no search: a Zap cannot look up a student, unenroll one or create a course. The MetaMinder page on Zapier shows the current list of operations, worth checking before you plan. Inside that frame, the five triggers can still feed any action of your other apps, from a sheet row to a chat message.
07Zapier, Make or n8n for MetaMinder?
Decide on criteria rather than a ranking. On Zapier, all five MetaMinder triggers are instant, so the plan interval does not apply to them, and a two-step Zap runs on the free plan. You pay per successful action, and lesson-level flows can run often, so volume is the number to watch; any filter means a paid plan. Whether Make or n8n carry a MetaMinder connector is not covered here: check their catalogues, then compare billing for the same flow.
