What the AI21 Labs Zapier integration actually does

It links your AI21 Labs account to the rest of your tools without code. One app does something, AI21 Labs answers. In practice that means two moves: Zapier notices when a file shows up in your AI21 Labs library, and it can hand a piece of text to an AI21 Labs model and bring the written reply back into the next step.

Three results people usually build. A draft reply: a form answer or a support message goes to Send Prompt, and the generated text lands in your inbox tool or a spreadsheet row. A library alert: New File spots each new document in your AI21 Labs library and posts a note to your team chat, so nobody has to check by hand. A custom call: when the menu has no ready-made step for what you want, API Request (Beta) lets someone comfortable with APIs talk to AI21 Labs directly, reusing the account you already linked.

Now the honest part. Zapier does not search anything inside AI21 Labs for you (there is no search step on this app), and it has no step to delete, rename or move library files. It will not process files that were in the library before your Zap went live either. And chaining a prompt, a filter and a second action means a paid plan, because that goes past two steps.

The New File trigger costs nothing, however often Zapier looks. Every Send Prompt that succeeds counts as one task; one that fails counts for nothing. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a second action and you need a paid plan. A few apps and actions take more than one task per run, so watch the counter during your first week.

Connect your AI21 Labs account

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your AI21 Labs account linked once, then reused by every step that touches AI21 Labs.

    Pick AI21 Labs

    Type AI21 Labs in the search box of the dialog that appears, select it in the results, then click Add connection. A new tab opens on the AI21 Labs side so you can sign in with your own account.

    Sign in and allow access

    Log in to your AI21 Labs account in that tab and grant Zapier access. You need an existing AI21 Labs account, plus rights on anything you do not own that the Zap should touch.

First Zap

Your first Zap: a draft for every new library file

    From your Zapier dashboard, start a new Zap. Choose AI21 Labs as the app that starts it and New File as the event. Give it a name you will recognize later.

    Run the test. Zapier brings back the three most recent files of your library, so you can pick a real one to map from. Check the fields that came back.

    Add Send Prompt

    Add AI21 Labs again as the action with Send Prompt. Pick a model, then write the prompt and insert the file details the trigger brought back.

    Send it to your chat

    Add the chat step and map the generated reply into the message. Anything beyond one trigger and one action is a multi-step Zap, so this one needs a paid plan.

    Test, then publish

Zapier help has a getting-started article for AI21 Labs, but it lists no error or rate limit specific to this app. What breaks comes from how Zapier itself works.

Four cases come back again and again. Most of them show up in the first days, so read the Zap history after publishing. If one keeps returning, the Zapier troubleshooting page goes deeper.

  • Old files never show up

    Publishing the Zap does not reach back: documents uploaded to the AI21 Labs library before that moment never reach Send Prompt, and handling them is a separate job.
  • The Zap keeps firing itself

    If an API Request (Beta) step adds a file to the very library New File watches, the Zap starts again and again and burns through your tasks fast.
  • A bulk upload gets held back

    Dropping a large batch of files into the library at once can trip Zapier's flood protection, which pauses the trigger instead of running it on everything.
  • Wrong choice on Stop on error

    On API Request (Beta), picking No lets the step carry on even when AI21 Labs returns an error, so a broken call can pass unnoticed down the Zap.

01Is the AI21 Labs Zapier integration free?
Yes, it works on the free plan because AI21 Labs is not a premium app. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. A Zap with a filter, a second action or a search becomes a multi-step Zap and requires a paid plan. In practice, a trigger plus Send Prompt fits the free plan as long as the monthly volume stays under that ceiling.
02How many tasks does an AI21 Labs Zap use?
One task per action that completes successfully. The New File trigger never costs anything, however often Zapier checks the library. A Zap made of the trigger plus Send Prompt therefore uses one task per new file. Add a second action and each run uses two. An action that fails is not counted against your plan, so a broken prompt does not drain the monthly allowance. That is why a test run on a real file is a cheap way to check the wording before going live.
03Does the New File trigger work in real time?
No. New File is a polling trigger: Zapier asks AI21 Labs for new files at a fixed interval set by your plan. That is every 15 minutes on Free, every 2 minutes on Professional and every minute on Team or Enterprise. On paid plans the interval can be changed, and a check can be run by hand from the editor. AI21 Labs has no instant trigger on Zapier. If speed matters, keep that delay in mind when promising a reply time to anyone downstream.
04What does it take to connect AI21 Labs to Zapier?
An AI21 Labs account and a Zapier account. From the Apps page in Zapier, click + Add connection, search for AI21 Labs, then sign in to AI21 Labs in the tab that opens and grant access. If the Zap must touch content you do not own, you also need read or write rights on it. The connection is made once and reused by every AI21 Labs step. Nothing else is required on the Zapier side, and the free plan is enough to make the connection.
05Why can Send Prompt not run without a model?
Because the Model field is mandatory, just like the Prompt field. The step needs to know which AI21 Labs model should write the answer before it can send anything. Pick the model once in the step settings and every run reuses it, with the prompt filled from earlier steps. The other fields of the step stay optional. Test the step once after choosing, so you see a real reply before publishing.
06What if the AI21 Labs action needed is not in the list?
API Request (Beta) is the fallback. It sends a custom request to AI21 Labs using the connection already in place, so no extra login is needed. It is meant for people at ease with APIs: the method and address are required, and only AI21 Labs addresses are accepted. Stop on error is mandatory too: Yes halts the step when AI21 Labs returns an error, No lets it run regardless. Keep Stop on error set to Yes at first, so a failed call stops the Zap instead of slipping through.
07Zapier, Make or n8n for AI21 Labs?
It depends on the criterion that matters most to the team. On Zapier, AI21 Labs works on the free plan, billing is per task and that plan stops at two steps. On Make and n8n, the questions to ask are the same: how a run is billed, which AI21 Labs operations are exposed, and whether a free tier covers the volume.
