What the Altoviz Zapier integration actually does for you

Altoviz handles quotes, invoices, payments and bookkeeping for small businesses. Zapier is the layer that makes it react on its own: an event in Altoviz (a quote, a customer, a credit) starts an automation, and that automation writes back into Altoviz or into your other tools. No code, and nothing to copy by hand.

Three results people build first. A quote turns into a draft invoice: the Sales Quote trigger feeds Create Draft Sales Invoice, and you only review before finalizing. An invoice reaches the client without you opening the app: Finalize Sales Invoice then Send Sales Invoice close the loop. Supplier bills land in the right place: Upload Purchase Invoice files a supplier invoice that arrived somewhere else.

Good news if you are on the free plan: every Altoviz trigger is instant, so Zapier hears about the event the moment it happens and the polling grid of your plan never slows you down.

What it does not do: there is no trigger for purchase invoices, receipts, suppliers or colleagues. Those records can be created, changed or fetched by actions, but nothing in Altoviz will start a Zap when one of them moves. And most actions need the Altoviz ID of the record they touch, so plan where that ID comes from.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Altoviz account linked once, then reused by every Zap step that talks to Altoviz.

    Pick Altoviz

    Type Altoviz in the search box of the dialog, select it, then click Add connection. You need an Altoviz account, plus access to any records you do not own and want the Zap to touch.

    Sign in and grant access

    A tab opens on Altoviz. Sign in with the account whose quotes and invoices the Zap should handle, then grant Zapier access. From then on, every step can reuse that connection.

First Zap

Your first Zap: from accepted quote to draft invoice

  1. 01

    Build the trigger

    Start a Zap, choose Altoviz and the Sales Quote event. Fill the two required boxes, Name and Types, and pick the Altoviz connection you just made.

  2. 02

    Test it on a real quote

    Click Test. Zapier brings back the three most recent quotes of your account, so you map the next steps on a real one rather than on placeholders.

  3. 03

    Add the filter

    Click the plus icon, add Filter, then set the field to look at, the rule and the value. Only quotes that pass go on. This step makes the Zap multi-step.

  4. 04

    Create the draft invoice

    Add the Create Draft Sales Invoice action and map the fields you need from the quote. Leave it as a draft so someone checks before it goes out.

    Test, then Publish

    Run the action test once and open Altoviz to read the draft it made. If it looks right, click Publish: the Zap is now on and reacts to new quotes only.

A search step looks up a record that already exists in Altoviz and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. That is often how you get the ID most actions ask for. Five of them also come as find-or-create: same search, one box ticked.

When to use it
just before Update Colleague or Delete Colleague, when your HR tool only knows the person's email.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there. Switched on, the Zap carries on without the record.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into find-or-create: it asks for the fields needed to create the missing record, and the setting above disappears.
  3. If multiple search results are found?
    Three ways out: keep the first match (the default), stop the Zap, or pass all the matches on at once.
When it breaks

When an Altoviz Zap breaks

Zapier links no help article to Altoviz and no rate limit is documented for it. What breaks is the general mechanics, and invoicing makes it costly.

  • The Zap writes where it listens

    A Zap that writes into the very records its trigger watches, such as invoices on Sales Invoice, can set itself off again and again and burn tasks fast.
  • Nothing before the Zap was on

    A Zap only reacts to what happens after you publish it. Last month's quotes and invoices are not picked up; moving them is a separate job.
  • Deletions fire too

    Every Altoviz trigger reacts to deletions as well as creations and edits. Without a filter, a deleted customer can start a welcome flow.
  • Bulk imports get held back

    Import hundreds of products or customers at once and the trigger sends a huge batch; Zapier's flood protection can hold it back.

02How many tasks does an Altoviz Zap use?
One task per action that succeeds, per run. The trigger never counts, and neither does Zapier listening to Altoviz. A Zap that creates a draft invoice uses one task each time a quote fires it; a Zap that creates, finalizes and sends uses three. An action that fails is not counted. Watch the edits: since each trigger also fires on updates, a document changed several times can run the Zap several times, and each run bills its actions.
03Does Altoviz trigger Zaps in real time?
Yes. All six Altoviz triggers are instant: Altoviz tells Zapier the moment a contact, customer, product, credit, invoice or quote is created, updated or deleted. That means the interval grid of the plans, from 15 minutes on Free down to 1 on Team and Enterprise, does not apply here. A free account gets the same speed as an Enterprise one. In the editor, a Zap built on one of these triggers shows a lightning bolt.
04What does it take to connect Altoviz to Zapier?
An Altoviz account, and access to the records you want the Zap to touch if you do not own them. The connection itself happens from the Apps page of Zapier: click + Add connection, pick Altoviz, sign in on the tab that opens and grant access. Then every Zap reuses that connection. Each trigger also asks for two required settings, Name and Types, when you set it up. Pick a clear Name, since it labels the trigger inside Altoviz.
05Why do Altoviz actions ask for an ID?
Because most Altoviz actions act on an existing record and identify it by its Altoviz ID: Id, Invoice Id, Credit Id or Quote Id depending on the action. If the trigger already carries that record, map the ID from it. If not, add a search such as Find Customer or Find Sales Quote just before the action to fetch it. That search makes the Zap multi-step, so it needs a paid plan.
06What if the Altoviz operation you want is not listed?
Then it is not in the integration today, and the editor will not show it. The visible set is 6 triggers, 40 actions and 11 searches; purchase invoices, receipts, suppliers and colleagues have actions and some searches, but no trigger. The usual workaround is to start the Zap from another tool that sees the event first, then use Altoviz actions. If none of that fits, Make or n8n may expose a different set of Altoviz operations, worth checking on their own pages.
07Zapier, Make or n8n for Altoviz?
It depends on your criteria, not on a winner. Compare three things before choosing. First, which Altoviz operations each tool exposes: on Zapier you get 57, with triggers on contacts, customers, products, credits, invoices and quotes. Second, how each one counts a run: on Zapier only successful actions cost a task, and many Altoviz flows need a search, which means a paid plan.
