What the APITemplate.io Zapier integration actually does
APITemplate.io is a document generator: you design a PDF or image template once in its editor, then feed it data. Zapier is the tool that brings that data in from your other apps, without code. Put together, an event somewhere else (a signed deal, a paid order) ends with a finished file, and nobody copies a single field by hand.
Three results people build with it. A quote or invoice PDF filled from a CRM record, through Create PDF and your own template. A social or certificate image with a name and a date stamped on it, through Create Image. An archive copy of a web page as a PDF, through Create PDF From URL, handy for receipts or public reports you want to freeze.
What it does not do: nothing on the APITemplate.io side can start a Zap. The app has no trigger, so the event always comes from another tool, and APITemplate.io only acts in the middle or at the end. It also does not design the template for you; that part happens in its own editor before Zapier sees anything.

- Zap
- The automation you build: one starting event, then one or more steps that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. APITemplate.io offers none.

- A polling trigger is checked on a timer set by your plan. An instant one is reported by the app the moment it happens.

- A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.

- A step that looks up something that already exists, so the steps after it can reuse what it found.
What it really costs to run
APITemplate.io is not a premium app on Zapier, so it works on the free plan. The catch is the shape of the Zap, not the app.

Each action that succeeds counts as one task. A Zap that creates a PDF and then deletes an older file uses two tasks per run. A failed action is not counted, and the trigger never costs anything. The free plan stops at two steps: one trigger and one action. Add a filter, a search such as List Objects or a second action, and the Zap becomes multi-step, which needs a paid plan. Budget for that before you design the Zap.
Connect APITemplate.io to Zapier in 3 steps

Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. A connection is your APITemplate.io account linked once, then reused by every step that needs it.

Pick APITemplate.io
Type APITemplate.io in the search box of the dialog, select it, then click Add connection. A new tab opens on the APITemplate.io side, where the rest happens.

Sign in and allow access
Log in with the APITemplate.io account that owns your templates and grant Zapier access. Back in Zapier, the account now appears in the list and every step can pick it.
Your first Zap: a PDF quote for every new deal

Create the Zap and pick the starting event
Start a new Zap and choose your CRM's new-deal event as the trigger. Connect that account, then test: Zapier brings back the three most recent deals so you can map a real one.

Add a filter
Click the plus icon, choose Filter, then set the field (deal value), the rule (a number rule, not a text one) and the value. Deals below it stop here. This step makes the Zap multi-step.

Add Create PDF
Add an APITemplate.io step and pick Create PDF. Choose your template, then the payload type: Auto-generate fields shows your template's sample fields so you can map each deal field into the right slot.

Test the step
Run the step once on the sample deal and read what came back before going further. Check that each deal field landed in the right slot of the template: a wrong mapping shows up here, not later.

Publish
Click Publish to switch the Zap on. From then on, each deal above the threshold costs one task, for the PDF action. The filter and the trigger cost nothing.

The APITemplate.io search
1 search step looks for data that already exists in APITemplate.io, so a later step can use it.
A search step sits at the bottom of the action list in the editor, under SEARCH. It finds files already generated, so later steps can act on them. Three settings decide what happens with the result.

The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?This box turns a search into find-or-create. APITemplate.io does not offer that variant, so List Objects never creates anything.
- If multiple search results are found?Three ways out: keep the first match (the default), stop the Zap, or pass all matches on at once.
When it breaks
Zapier lists no help article for APITemplate.io, so the usual failures come from how Zaps work in general.

No backfill of old records
