Overview

What the Lanteria HR Zapier integration actually does

It links Lanteria HR, the HR suite that covers time and attendance, hiring, learning, pay and reviews, to the other tools your team runs. You build a Zap (an automation on Zapier: one event that starts it, then one or more steps that follow) and Zapier moves the employee data for you.

Three results people usually get out of it. First, a staff list that stays current elsewhere: Modified/Created Employee notices every new hire or edited record, and a step in another app copies it into a sheet, a directory or a chat channel. Second, a pay change log: Modified/Created Employee Salary Details picks up salary updates so they are recorded elsewhere without anyone asking. Third, records created from the outside: Process Employee writes an employee into Lanteria HR when a hire is confirmed in another tool, and Process Employee Salary Details updates the pay data the same way.

What Zapier does not do here matters just as much. There is no search on this app, so a Zap cannot look up an existing employee before acting. Nothing on the Lanteria HR side is instant either: both triggers are checked on a timer. And nothing covers attendance, learning or reviews, even though Lanteria HR handles them. If you weigh other platforms, start with n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words show up on every screen of the editor. Here they are in plain English, once.

Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for that event to happen.
Action
What the Zap does after it starts: the step that writes, sends or updates something in an app on your behalf.
Task
The unit Zapier bills. One task is one action your Zap finishes successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for its latest items and keeps only what it has not already seen.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens. Lanteria HR has none of these.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
Connection
Your Lanteria HR account, linked to Zapier one time, then reused by every step in every Zap that touches the app.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Lanteria HR Zap really costs

Zapier bills completed actions, not events. That changes how you read the bill.

  • Free plan100 tasks a month
  • Free plan Zap size1 trigger + 1 action
  • Premium appNo
  • Instant triggers0 of 2

The trigger never costs a task, and neither do the checks Zapier runs to find new employee changes, however often they happen. Each action that succeeds counts once, so a Zap with three actions uses three times more than a Zap with one. A failed action is not counted. Lanteria HR is not a premium app, so it works on the free plan: 100 tasks a month, as many Zaps as you like, but each Zap stops at two steps, one trigger and one action. Add a filter or a second action and you are on a paid plan.

Connect

Connect Lanteria HR to Zapier in three steps

  1. 01

    Open your apps page

In Zapier, go to Apps and click + Add connection. Before that, check you have a Lanteria HR account with access to the employee records the Zap will read or change.

  2. 02

    Find Lanteria HR

Type Lanteria HR in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Lanteria HR side. Leave it open until the sign in is done.

  3. 03

    Sign in and allow access

Log in to Lanteria HR in that tab and grant Zapier access to the account. The connection is saved once, and every Zap that uses Lanteria HR picks it up afterwards.

First Zap

Your first Zap: log every employee change in a sheet

GoalEach time an employee is created or edited in Lanteria HR, add a row to a spreadsheet the managers already read.

  1. 01

    Pick the trigger

Create a Zap, choose Lanteria HR as the app that starts it and Modified/Created Employee as the event, then select your connection.

  2. 02

    Test the trigger

Run the test. Zapier pulls the three most recent employee records from your account, so pick a real one to map fields against.

  3. 03

    Add the action

Add the spreadsheet step and map the employee fields from Lanteria HR into the columns of your sheet, one by one. Keep only the columns the managers really read.

  4. 04

    Test the action

Run the action once and open the sheet. Check the row landed where you expected before you go further. A wrong column now is easier to fix than later.

  5. 05

    Publish

Click Publish to switch the Zap on. From now on, every employee change found at the next check adds a row. Nothing before that moment is picked up.

Triggers

Lanteria HR triggers

2 events start a Zap when something happens in Lanteria HR. Zapier checks for them at the interval your plan allows.

1

Modified/Created Employee

Polling trigger

In Zapier“Triggers when an employee is created or modified.”

Starts the Zap whenever an employee record appears in Lanteria HR or gets edited, so a new hire and a corrected job title both come through as the same kind of event.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keeping a staff directory, an onboarding checklist or an IT access sheet in step with the HR record.
Watch out
creations and edits arrive together, so if your next step should only run for brand new hires, you need a filter, and a filter makes the Zap multi-step.
2

Modified/Created Employee Salary Details

Polling trigger

In Zapier“Triggers when an employee's salary details are created or modified.”

Fires when salary details for an employee are added or changed in Lanteria HR, which makes it the trigger to watch for a raise or a corrected salary line.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keeping a record of every pay change outside Lanteria HR, in a tool only the right people open.
Watch out
pay data is sensitive, so think twice about where the Zap sends it; a public channel or a widely shared sheet is the wrong place.
Actions

Lanteria HR actions

Lanteria HR gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Process Employee

Action

In Zapier“Creates or changes an employee”

Writes an employee into Lanteria HR: it creates the record if it is new, or changes it if it is already there.

When to use it
a candidate is marked as hired in your recruiting tool and the HR record should exist before day one.
Watch out
if this Zap is also started by Modified/Created Employee, it triggers itself in a loop and burns tasks.
2

Process Employee Salary Details

Action

In Zapier“Updates an employee's salary details”

Updates the salary details of an employee in Lanteria HR from data that arrives in an earlier step.

When to use it
a pay decision is approved in a form or a spreadsheet and HR should not retype it by hand.
Watch out
without a search on this app, the earlier step has to bring the identifier of the right employee itself.
When it breaks

When a Lanteria HR Zap breaks

Zapier lists no help article and no rate limit specific to Lanteria HR. What breaks is general Zapier behavior, and it hits HR data in predictable ways.

Four situations explain most of the surprises. Check them before blaming the connection, and if a Zap still fails, move on to Zapier troubleshooting.

  • Old records never show up

A Zap only reacts to what happens after you switch it on. Employees created before that stay where they are, and moving them is a separate job.
  • The Zap keeps firing itself

A Zap that writes employees with Process Employee and starts on Modified/Created Employee sees its own change as a new event, again and again.
  • A bulk import stalls

After a migration or a mass update, the trigger may return a huge batch at once, and Zapier's flood protection can hold it back.
  • Duplicates you did not expect

Zapier remembers what it has already seen on a polling trigger, so an item never starts the Zap twice. Repeated rows come from repeated edits.

FAQ

Lanteria HR Zapier integration: frequent questions

01Is the Lanteria HR Zapier integration free?
Yes, on the free plan, because Lanteria HR is not a premium app. The free plan gives 100 tasks a month and unlimited Zaps, with one limit nobody mentions: each Zap is one trigger and one action. A filter, a second action or a search turns it into a multi-step Zap, and that needs a paid plan. For a simple sync, such as one employee change copied into one sheet, the free plan is enough.
02How many tasks does a Lanteria HR Zap use?
One task per successful action, and nothing for the trigger. Zapier checking Lanteria HR for new employee changes costs nothing however often it runs. A Zap with one action that handles ten employee edits in a month uses ten tasks. Add two more actions and the same edits use thirty. An action that fails is not counted, so errors do not eat your quota, but they still need fixing. Count your monthly employee edits before choosing a plan.
03Does Lanteria HR trigger Zaps in real time?
No. Both Lanteria HR triggers are polling triggers: Zapier asks the app for changes on a timer. On the free plan that is every 15 minutes, on Professional every 2 minutes, on Team and Enterprise every minute. On paid plans you can also run a check by hand from the editor. A change made in Lanteria HR therefore reaches your other tools at the next check, not the second it happens.
04What does it take to connect Lanteria HR to Zapier?
A Lanteria HR account, a Zapier account, and access to the employee records the Zap will touch. If the Zap reads or writes records you do not own, your Lanteria HR account needs read or write rights on them. The connection itself is done once from the Apps page of Zapier, with a sign in to Lanteria HR in a new tab, and every Zap then reuses it. Read or write rights are the part people forget.
05Why does a Lanteria HR Zap run over and over?
Because it probably writes where it listens. If Process Employee updates a record and Modified/Created Employee starts the same Zap, Zapier sees that update as a new change and runs again, burning tasks each time. Split the work into two Zaps that do not watch each other, or make sure the action never touches the records the trigger is watching. The loop stops as soon as the action and the trigger no longer share records.
06What if the Lanteria HR operation you need is not on Zapier?
Then Zapier cannot do it with this app today. The integration covers four operations only: two triggers on employee and salary changes, two actions that write employees and their salary details. Attendance, recruiting steps, learning or reviews are not exposed, and there is no search. The way out is another tool that talks to Lanteria HR directly, or asking the vendor to extend the Zapier app. Check the operation list above before planning a project around it.
07Zapier, Make or n8n for Lanteria HR?
It depends on your criteria, not on a winner. Zapier wins on setup speed for someone who has never automated anything, and Lanteria HR works on its free plan. The constraints are the two step free Zap, the polling delay and the short list of operations. If you need to reach parts of Lanteria HR that Zapier does not expose, or to control costs at volume, compare the platforms on those points first.
