Overview

What Authvia and Zapier do together

Authvia lets a business request and collect payments through simple text messages. Each request lives in a conversation. Zapier connects those conversations to your other tools without code: a new or changed conversation starts an automation, and Zapier can open, nudge or close conversations in Authvia.

Three results people get from it. Payment requests without typing: New Conversation sends a request to a mobile number, with the topic you set. Polite follow-ups: Conversation Reminder texts the customer again about a payment conversation still open. Clean records: Resolve Conversation closes a conversation as successful, for instance when the customer paid another way, and Fail Conversation marks one that did not work out.

What Zapier does not do here: there is no search step, so you cannot find a conversation by customer name or number. Every action except New Conversation needs a Conversation ID that has to come from an earlier step. Nothing handles refunds or customer records.

One setting deserves attention. New Conversation has a Realtime option: send the text right away, or let Authvia wait until it judges the time polite. Leave it off and the text may not go out when you expect.

Authvia also has an Authvia Make integration, and if you are still choosing a platform, our n8n vs Zapier comparison sits next to it.

Vocabulary

Zapier vocabulary in one minute

Seven words come back all over this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, such as a new Authvia conversation. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that opens, reminds or closes a conversation for you, like New Conversation.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger, like both Authvia triggers, is reported by the app the moment it happens.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and quietly stops it otherwise.
Connection
Your Authvia account linked to Zapier a single time, then reused by every trigger and step that touches Authvia.
Cost

What an Authvia Zap really costs

Zapier bills what your Zap does, not what it waits for.

  • Free plan tasks100 per month
  • Free plan Zap size2 steps: 1 trigger, 1 action
  • Authvia premium appNo
  • Authvia triggers2, both instant

The trigger never costs a task, and neither does Zapier looking out for new events. Each action that succeeds counts as one task, and in a Zap with several actions every success counts on its own. Get Conversation is an action here, so reading a conversation costs a task too. A failed action is not counted. The free plan gives you 100 tasks a month and Zaps of two steps. A filter makes the Zap multi-step, which needs a paid plan. Authvia is not a premium app.

Connect

Connect Authvia to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You do this once per Authvia account, and every Authvia step reuses the connection afterwards.

  2. 02

    Pick Authvia

Search for Authvia in the dialog, select it and click Add connection. A new tab opens on the Authvia side, where you sign in with the account your business uses.

  3. 03

    Sign in and grant access

Log in to Authvia and grant Zapier access. Use the account that owns the conversations you want to follow and that is allowed to create, remind and close them.

First Zap

Your first Authvia Zap: log payment requests

GoalWhen a conversation is created in Authvia, add a line to your job tracker, but only for the requests your filter keeps.

  1. 01

    Build the trigger

Click Build, pick Authvia and the event Conversation Created, then choose the Authvia connection you set up a moment ago.

  2. 02

    Test it

Run the Test. Zapier fetches the three most recent items of the connected account, so you map fields from a real conversation.

  3. 03

    Add the filter

From the plus icon, add a Filter: field, rule, value. Pick the field from what the test brought back, and use a text rule on text, or nothing ever passes.

  4. 04

    Log the request

Add the action of your job tracker and map what the trigger returned into its columns. This is the step that counts as a task, and it writes nothing back into Authvia.

  5. 05

    Test, then publish

Test the action, check the new line in your tracker, then click Publish. Only conversations created after that moment are handled.

Triggers

The 2 Authvia triggers

2 events start a Zap when something happens in Authvia, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Conversation Created

Instant trigger

In Zapier“Triggers when a conversation has been created, see https://developer.authvia.com/reference#conversations.”

Starts your Zap each time a new Authvia conversation appears, so the rest of your tools learn about a request the moment it exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a plumbing business wants every payment request logged in its job tracker as soon as the text goes out to the customer.
Watch out
a conversation opened by one of your own Zaps through New Conversation is a new conversation too. Never answer this trigger with New Conversation, or the Zap feeds itself.
2

Conversation Updated

Instant trigger

In Zapier“Triggers when a conversation has been updated, see https://developer.authvia.com/reference#conversations.”

Runs your Zap whenever an existing conversation changes, which is how you hear that a request moved on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a landscaping company wants its office tool to reflect the latest state of each payment request, overwriting the old one.
Watch out
it fires at every change. Never pair it with New Conversation, and never answer it with an action that changes the same conversation, or it loops.
Actions

The 5 Authvia actions

Authvia gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

New Conversation

Action

In Zapier“Use this action to create a new Conversation with Authvia. See https://developer.authvia.com/reference#conversations”

Opens a new conversation with a customer by text, built around a topic: what you need the customer to do.

When to use it
sending a payment request as soon as a job is marked done in another tool.
Watch out
the Mobile Number must be in E.164 format, and the Realtime option decides whether the text leaves now or waits for a polite hour.
2

Fail Conversation

Action

In Zapier“Will mark a conversation as failed, indicating it did not complete successfully. See https://developer.authvia.com/reference#conversations”

Marks a conversation as failed, meaning it did not end successfully.

When to use it
a request sent by mistake, or to a test number, should be taken out of the active list.
Watch out
it only needs a Conversation ID, so a wrong mapping fails a live request without any warning.
3

Get Conversation

Action

In Zapier“Use this action to get a conversation from Authvia. See https://developer.authvia.com/reference#conversations”

Reads one conversation from Authvia so later steps can use its details. It sits among the actions, not the searches.

When to use it
right after a trigger, to pass the full conversation to the next steps.
Watch out
it needs the Conversation ID, and since it is an action, each successful read costs a task.
4

Conversation Reminder

Action

In Zapier“Remind customer of a payment conversation through a text message. See https://developer.authvia.com/reference#conversations”

Sends the customer another text about a payment conversation that is still waiting on them.

When to use it
a follow-up on unpaid requests, without anyone writing the message by hand.
Watch out
it needs the Conversation ID, and there is no search to look it up, so the ID must come from an earlier step.
5

Resolve Conversation

Action

In Zapier“Mark a conversation resolved, indicating it was successful. In the case of payment conversation if a payment happened elsewhere, it would be appropriate to mark it resolved. See https://developer.authvia.com/reference#conversations”

Closes a conversation as successful. For a payment request, that fits when the customer paid somewhere else.

When to use it
a payment arrives by bank transfer and the matching text request should stop chasing the customer.
Watch out
the Conversation ID is required. Resolving the wrong one closes a request that was still due.
When it breaks

When an Authvia Zap breaks

Zapier attaches no help article to Authvia, so the failures to plan for are the general ones.

Four general cases are worth knowing before you publish. When a run fails and you cannot see why, the Zapier troubleshooting guide is the next stop.

  • The Zap triggers itself

A Zap on Conversation Updated that resolves, fails or reminds the same conversation changes it again, and each pass burns a task. Add a filter.
  • Duplicate payment requests

Conversation Updated fires at each change. Pair it with New Conversation and every update opens one more request to the same customer.
  • Older conversations are never picked up

A Zap reacts only to what happens after you publish it. Earlier conversations stay out, and moving that history is a separate job.
  • A big send-out is held back

Open many conversations at once and Zapier's flood protection can hold the batch back instead of firing the Zap for every single one.

FAQ

Authvia Zapier integration: your questions

01Is the Authvia Zapier integration free?
Yes, for two-step Zaps. Authvia is not a premium app, so it runs on the free Zapier plan, which gives 100 tasks a month and Zaps of one trigger plus one action. Conversation Created then Get Conversation fits. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. Since most Authvia actions need a Conversation ID from an earlier step, keep the Zap short if you want to stay free.
02How many tasks does an Authvia Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that sends a reminder after a trigger uses one task each time. Get Conversation is an action on Zapier, not a search, so reading a conversation also costs a task. Failed actions are not counted. If you send many payment requests through New Conversation, count one task per request, plus one for each reminder or resolution you automate.
03Does Authvia trigger Zaps in real time?
Yes. Both Authvia triggers are instant: Authvia tells Zapier the moment a conversation is created or updated, and the Zap starts right away. The plan intervals, 15 minutes on the free plan and down to 1 minute on Team and Enterprise, only apply to polling triggers, and Authvia has none. Note that the text to the customer is a separate matter: New Conversation may wait for a polite hour unless you turn Realtime on.
04What does it take to connect Authvia to Zapier?
An Authvia account that owns the conversations you want to automate and can create and close them. In Zapier, open Apps, click + Add connection, search Authvia, click Add connection, then sign in to Authvia in the tab that opens and grant access. The connection is saved once and reused by every Authvia step. For New Conversation, have mobile numbers ready in E.164 format, with their country code. A number without its code is the first thing to check.
05Why didn't the Authvia text go out right away?
Because of the Realtime option on New Conversation. Authvia can send the message immediately, or wait until its system decides it is polite to send it. If the option is not set to send right away, the conversation exists but the customer receives the text later. When timing matters, for instance a request sent while the customer is still at the counter, set Realtime so the message leaves at once.
06What if the Authvia operation you need is not there?
Then Zapier cannot do it for Authvia today. The integration offers two triggers on conversations and five actions: open, remind, resolve, fail and read a conversation. There is no search, no refund step and nothing to manage customer records. Check whether the Authvia Make integration covers it, or keep that part inside Authvia. Avoid stacking workarounds around a missing step, because payment flows need to stay easy to audit. A clear manual step is safer.
07Zapier, Make or n8n for Authvia?
It depends on your criteria, not on a winner. Start with the operations: on Zapier, Authvia offers two instant triggers and five actions, with no search, so check what each platform exposes for Authvia. Then look at how each one counts usage, since Zapier bills one task per successful action, reads included. Finally, think about who will maintain these payment automations and which editor they find easiest to audit. That last point often decides.
