What the BetterContact Zapier integration actually does

The BetterContact Zapier integration links BetterContact, a waterfall tool that queries more than 20 data sources for phone numbers and emails, to the rest of your apps. Zapier passes it a contact, BetterContact hunts for the missing details, and a later step can collect what came back.

Three results you can expect. First, an enriched lead list: each new row in a sheet goes to Enrich Contact, with a phone number, an email or both requested. Second, a CRM record that fills itself in: a new contact in your sales tool sets off the same action, so nobody copies numbers by hand. Third, a delayed pickup: Find Contact pulls up an earlier enrichment by its Request Id and passes the data along.

What Zapier does not do here: it cannot start a Zap from BetterContact, because the app exposes no trigger. No step tells you an enrichment has finished. To get the result back into a sheet, a second Zap running Find Contact has to fetch it, with the Request Id saved from the first run. Whatever kicks off the Zap lives in another tool (a form, a spreadsheet, a CRM).

Each successful Enrich Contact run counts as one task; a failed run is not counted. The free plan gives 100 tasks a month and checks polling triggers every 15 minutes. It stops at two steps, though. Add a filter or a Find Contact search and the Zap turns multi-step (anything past one trigger and one action), which needs a paid plan. BetterContact is not a premium app, so the free plan accepts it as is.

    Start a new Zap from your Zapier account. In the first step, pick Google Sheets as the app and New row as the new-row event that sets everything off.

    Test it on a real row

    Run the trigger test. Zapier brings back the three most recent rows of the connected sheet, so the mapping that follows uses a real lead rather than a blank.

    Add a filter (paid plans)

    Add a Filter step so the Zap goes on only when the email cell is empty. This makes the Zap multi-step; on the free plan, skip this step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that comes back empty halts the Zap and skips the steps after it. Switched on, the Zap keeps going with nothing in hand.
  2. Create X if it doesn't exist yet?
    Ticking it turns a search into a find-or-create. BetterContact offers no such variant on Find Contact, so this box plays no part here.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them along at once.
When it breaks

When a BetterContact Zap breaks

Zapier attaches no help article to BetterContact, and no limit specific to the app is published. The traps below come from how every Zap behaves.

Most failures come down to timing and loops, not the connection itself. If a run still fails, the Zapier troubleshooting page is the next place to look.

  • Old rows are ignored

    A Zap only reacts to what happens after you switch it on. Leads already sitting in the sheet are never sent to BetterContact; enriching that backlog is a separate job.
  • The Zap that feeds itself

    Write the enriched data back into the same sheet the trigger watches, and each write can set the Zap off again, draining your task count quickly.
  • Bulk imports get held back

    Paste a huge batch of rows at once and the trigger returns all of it in one go. Zapier's flood protection may hold that batch back instead of running it.
  • No duplicate runs

    On a polling trigger, Zapier remembers the rows it has already seen, so the same lead does not start the Zap twice or cost a second task.

01Is the BetterContact Zapier integration free?
Yes, as far as Zapier goes. BetterContact is not a premium app, so it runs on the free plan, which includes 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: the free plan only builds two steps, one trigger and one action. A form trigger plus Enrich Contact fits. Add a filter or the Find Contact search and it becomes multi-step, which requires a paid plan.
02How many tasks does a BetterContact Zap use?
One task per successful action. Each time Enrich Contact goes through, Zapier counts one task, while a run that fails costs nothing. The trigger from the other app is free, and so are Zapier's checks for new data, however often they happen. In a Zap with several actions, each successful one is counted on its own, so a three-action Zap uses three times as many tasks as a single-action one. Watch for loops too: a Zap writing into the sheet it watches burns tasks quickly.
03Does BetterContact work in real time with Zapier?
That depends on the app that starts the Zap, because BetterContact has no trigger of its own. If that app offers an instant trigger, it alerts Zapier the moment something happens, and the plan interval does not apply. If it relies on a polling trigger, Zapier checks on a timer: every 15 minutes on Free, every 2 on Professional, and every minute on Team and Enterprise. The BetterContact step only runs once that trigger has fired, so the trigger sets the pace.
04What does it take to connect BetterContact to Zapier?
An account on BetterContact, and that is the core of it. In Zapier, open the Apps page, click + Add connection, search for BetterContact and confirm with Add connection. A tab opens where you sign in to BetterContact and grant Zapier access to the account. The connection is then reused by every step that calls BetterContact. If the Zap has to touch data you do not own, read or write access to that data is also required.
05Where is the Request Id that Find Contact asks for?
In BetterContact, not in Zapier. Find Contact will not run without it, and Zapier has no way to guess it. Open the API usage page of your BetterContact account: the table listing every enrichment shows the Request Id in the task column. The other way is to click See details on the enrichment you want, where the ID sits at the top of the page. If Find Contact has to run automatically, store that ID somewhere a Zap can read it, such as a sheet column.
06What if the BetterContact operation you need is missing?
The Zapier catalog for BetterContact holds exactly two operations: Enrich Contact and Find Contact, with no trigger and no find-or-create variant. Anything beyond that, such as a notice when an enrichment finishes, is not available as a ready-made step. Three routes remain. Check whether the other app in the Zap can handle the missing part. Ask BetterContact to add the operation to its Zapier app. Or look at the same app on another automation platform, whose catalog may not match this one.
