Overview

What the Pencil Spaces Zapier integration really covers

Pencil Spaces is a virtual classroom for educators, with video calls and a shared whiteboard. On Zapier it offers a single move: create a Space. Another app has to start the automation, and Pencil Spaces receives the order to open the room. No other operation exists.

Three results fit that single action. A room per booking: each tutoring request submitted through a form gets its own Space, titled after the student, without the tutor setting it up by hand. A room per new enrolment: when a student joins your course in another tool, Create Space opens their private classroom. A room per calendar slot: a new session in your calendar becomes a Space ready before the lesson starts.

What Zapier does not do here matters just as much. There is no Pencil Spaces trigger, so nothing that happens inside a Space (a session starting, a student joining) can start a Zap. There is no search either, and no action to edit, archive or delete a Space. The integration only creates. Cleaning up old rooms stays a manual job in Pencil Spaces.

Because the Zap starts in another app, how fast it reacts depends on that app's trigger, not on Pencil Spaces. If you would rather have someone build it with you, see the Zapier agency page; to weigh the tools first, see Make vs Zapier.

Vocabulary

Zapier vocabulary before your first Space

Six words from the editor, explained once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap. Pencil Spaces has none, so it always comes from another app, such as a form or a calendar.
Action
What the Zap does once started: it writes, sends or creates something. Here, Create Space is the Pencil Spaces action.
Task
What Zapier bills: one action that completes successfully. Each Space created by a Zap counts as one.
Instant vs polling
An instant trigger is reported by its app right away; a polling one is checked by Zapier on a timer. Your trigger app decides which.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes one, and it needs a paid plan.
Cost

What a Pencil Spaces Zap costs

One Space created, one task used.

  • Cost of one Create Space1 task
  • Free plan100 tasks a month, unlimited Zaps
  • Steps per Zap on the free plan2
  • Paid plan required for Pencil SpacesNo
  • Pencil Spaces triggers0

The trigger from your other app costs nothing, and checking for new items costs nothing either. Each successful Create Space uses one task; a Space that fails to be created is not counted. The free plan offers 100 tasks a month and unlimited Zaps, so up to 100 Spaces a month if nothing else runs, with each Zap capped at two steps: one trigger and one action. Adding a Slack message after the Space, or a filter, needs a paid plan. Pencil Spaces is open to the free plan. If your trigger app polls, the grid below sets the delay.

Connect

Connect Pencil Spaces to Zapier in 3 steps

  1. 01

    Go to Apps

Open the Apps page of your Zapier account and click + Add connection. The connection you create here is reused by every Zap that opens a Space. You only do it once.

  2. 02

    Choose Pencil Spaces

Search for Pencil Spaces in the dialog, pick it, then click Add connection. You need a Pencil Spaces account allowed to create Spaces. Check that before you build anything.

  3. 03

    Sign in and grant access

Log in to Pencil Spaces in the tab that opens and allow Zapier to use the account. The connection then appears in the Create Space step, ready to use.

First Zap

Your first Pencil Spaces Zap

GoalOpen a Space for every tutoring request and tell the tutors in Slack.

  1. 01

    Start from the form

Create a Zap and pick Google Forms with New Form Response as the trigger. Pencil Spaces cannot start a Zap, so another app always opens it.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent responses, so you map the next step on a real request rather than on placeholders.

  3. 03

    Add Create Space

Add a Pencil Spaces step with Create Space. Map the student's name into Title, then set Visibility and Notify Invitees, both mandatory.

  4. 04

    Add the Slack message

Add a Slack step that names the new Space for the tutors. That second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then publish

Test each action, check that the Space exists in Pencil Spaces with the right title and visibility, then click Publish to switch the Zap on.

Actions

The Pencil Spaces action

Pencil Spaces gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Space

Action

In Zapier“Creates a Space in Pencil Spaces”

Opens a new Space, the Pencil Spaces virtual classroom, from data sent by your trigger app. You choose its title, whether it is public or private, and whether invitees get an email about it.

When to use it
give every booked lesson or newly enrolled student a room without opening Pencil Spaces.
Watch out
Title, Visibility and Notify Invitees are all mandatory, so a blank title from the trigger stops the action.
When it breaks

When a Pencil Spaces Zap breaks

Zapier links no help article and no documented limit to Pencil Spaces.

What fails is general Zapier behaviour, seen through an app that can only create. Four cases cover it. For the rest, the Zapier troubleshooting page is the place to look.

  • Old bookings never get a Space

A Zap only reacts to what happens after it is published. Requests already in your form or calendar get no Space; creating those is a separate job.
  • A missing title stops the action

Title, Visibility and Notify Invitees are mandatory. If the trigger sends an empty value into Title, Create Space fails and no room is opened.
  • Private Spaces nobody can enter

A private Space admits only users invited by email. If your process expects students to join through the link alone, choose public instead.
  • A burst of requests can be held back

If your trigger app suddenly returns a huge batch, after an import for example, Zapier's flood protection can hold those runs instead of opening every Space.

FAQ

Pencil Spaces Zapier integration: common questions

01Is the Pencil Spaces Zapier integration free?
Yes. Zapier does not reserve Pencil Spaces for paid plans, so Create Space works on the free plan. That plan gives 100 tasks a month and unlimited Zaps, with each Zap limited to one trigger and one action. A form that opens a Space fits exactly. The moment you add a second action, such as a Slack message announcing the room, or a filter to skip some requests, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Pencil Spaces Zap use?
One per Space created. The trigger in your other app costs nothing, and only a Create Space that completes successfully is counted; a failed one is not. On the free plan, 100 tasks a month means up to 100 Spaces if this is your only Zap. Add a second action and each run costs two tasks, so a Zap that opens a Space and posts in Slack halves the number of rooms your plan can cover.
03Does a Pencil Spaces Zap run in real time?
It depends on the trigger app, because Pencil Spaces has no trigger of its own. If the app you start from has an instant trigger, it reports the event at once and the Space is created right after. If it uses a polling trigger, Zapier checks it at your plan's interval: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The editor shows a lightning bolt on Zaps built on an instant trigger.
04What does it take to connect Pencil Spaces to Zapier?
A Pencil Spaces account that can create Spaces. In Zapier, open the Apps page, click + Add connection, search for Pencil Spaces and click Add connection, then sign in to Pencil Spaces in the tab that opens and grant access. The same connection is then reused by every Zap that opens a Space. You also need a connection to the app that will start the Zap, since Pencil Spaces cannot. On the Create Space step itself, Title, Visibility and Notify Invitees must be filled in.
05Why can students not join a Space created by Zapier?
Most often because the Zap creates private Spaces. Visibility is a mandatory setting on Create Space: a public Space lets anyone with the link join, while a private one admits only users invited by email. If students receive only the link, a private Space keeps them out. Check the Visibility value in the action, and the Notify Invitees setting, which decides whether invitees get an email about the new Space.
06What if the Pencil Spaces operation you need is not there?
Then Zapier cannot do it for Pencil Spaces today. The integration has one action, Create Space, and no trigger or search: a Zap cannot react to a session, find an existing Space, edit it or delete it. Those jobs stay in Pencil Spaces itself. The workable pattern is to let another app start the Zap, create the Space, and handle anything that follows in the tools around it. Plan the clean-up of old Spaces accordingly.
07Zapier, Make or n8n for Pencil Spaces?
Decide on criteria, not on brand. On Zapier, Pencil Spaces offers one action, Create Space, with no trigger and no search, and it runs on the free plan as long as each Zap stays at two steps. If opening a room from a form or a calendar is all you need, that covers it. If you need to react to what happens inside a Space or manage existing Spaces, check what each platform offers for this app first.
