Overview

What the Bind ERP Zapier integration actually does

Bind ERP is a management system for small and mid-sized businesses: invoices, quotes, products, stock, prospects and a calendar of activities. The Zapier integration lets other tools react when one of those records appears or changes, and lets a Zap add prospects and calendar activities for you, without code.

Three results come up most. A follow-up that never gets forgotten: pair New Quote with Create Activity and every quote gets a call or a meeting on the calendar. Sales and accounting in step: New Invoice tells your other tools the moment a bill is issued. Stock you hear about: Update Inventory fires when a product's quantity changes, so a low level does not wait for the next stock count.

All six triggers are instant. Bind ERP calls Zapier as the event happens, so the 15-minute wait of the free plan never applies here. On most apps that is not the case, which makes Bind ERP a comfortable start on a free account.

What Zapier does not do for Bind ERP: there is no search step, so a Zap cannot look up an existing customer or product. The only writes are prospects and activities; nothing creates an invoice, a quote or a product, and nothing deletes. The Bind ERP Make integration covers the same app on the other platform.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the page. Each one is explained once, here, then used without a reminder.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The Bind ERP event that starts the Zap, like a new invoice. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: here, the step that creates a prospect or a calendar activity for you.
Task
The unit Zapier bills: one action that completes successfully. Your plan's allowance is a count of those.
Polling trigger
A trigger Zapier checks on a timer, asking for new items and keeping what it has not seen. Bind ERP has none.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens. All six Bind ERP triggers work this way.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes one, and it then needs a paid plan.
Cost

What it really costs you

Bind ERP is not a premium app, so it runs from the free plan. Zapier bills in tasks, and only completed actions are counted.

  • Free plan100 tasks a month
  • Free plan ZapsTwo steps: one trigger, one action
  • Bind ERP triggersAll instant, no interval
  • Premium appNo

The trigger never costs a task: a stock update that starts a Zap with no action behind it costs nothing. Each action that succeeds counts once, so two actions mean two tasks per run. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, limited to two steps. Add a filter, for instance to act only on large invoices, and the Zap becomes multi-step and needs a paid plan.

Connect

Connect your Bind ERP account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Bind ERP account linked once, then reused by every step that touches Bind ERP.

  2. 02

    Find Bind ERP

Type Bind ERP in the search box of the dialog, select it, then click Add connection. You need an existing Bind ERP account, with access to the records you do not own yourself.

  3. 03

    Sign in and grant access

Sign in to Bind ERP in the tab that opens and grant Zapier access to the account. Every Bind ERP step in your Zaps can then reuse that same connection.

First Zap

Your first Zap: a payment reminder for the invoices that matter

GoalWhen Bind ERP issues an invoice that meets your condition, Zapier puts a payment follow-up activity on the calendar.

  1. 01

    Build: pick the trigger

Create a Zap, choose Bind ERP, then New Invoice. It is instant, so the Zap starts as soon as the invoice is created, even on a free plan.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real invoice, not a blank sample.

  3. 03

    Add the filter

Add a Filter from the plus icon: the field, the rule, the value. Use a number rule for amounts, or the filter never passes. This makes the Zap multi-step, on a paid plan.

  4. 04

    Add Create Activity, then publish

Add Create Activity and fill the seven required fields, with Is Repeatable on no to keep it simple. Test the step, then Publish.

Triggers

Bind ERP triggers on Zapier

6 events start a Zap when something happens in Bind ERP, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Invoice

Instant trigger

In Zapier“Triggers when a new Invoice is created.”

Starts a Zap whenever an invoice is created in Bind ERP. Whatever needs to know about billed work, from a shared sheet to a sales tool, hears about it without anyone retyping the figures.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a wholesale distributor wants each new invoice logged in the collections tracker its finance team works from.
Watch out
invoices issued before the Zap was switched on never come through; only new ones do.
2

New Product

Instant trigger

In Zapier“Triggers when a new product is added.”

Fires each time a product is added to the Bind ERP catalogue. It is the moment to push that new item wherever else your catalogue lives.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a hardware store that adds a product in the ERP and wants the purchasing team told straight away.
Watch out
a bulk import of products sends a burst of events at once, which Zapier's flood protection can hold back.
3

New Activity

Instant trigger

In Zapier“Triggers when a new activity is scheduled on the calendar.”

Runs when a new activity is scheduled on the Bind ERP calendar, such as a call or a visit. Your other tools learn about the appointment the moment it is booked.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a field service company copies each scheduled visit to the technicians' team chat.
Watch out
activities your own Zap creates with Create Activity fire it too, so never chain it into Create Activity.
4

New Prospect

Instant trigger

In Zapier“Triggers when a new prospect is created.”

Triggers when a prospect is created in Bind ERP. It is the earliest point in the sales cycle the integration can see, before any quote exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a software reseller wants every new prospect to get a first-call activity booked by default.
Watch out
prospects added by Create Prospect also start it, so a Zap linking the two on one account loops.
5

New Quote

Instant trigger

In Zapier“Triggers when a new quote is created.”

Fires when a quote is created. A quote is the step where a deal gets a price, and the right moment to plan what happens next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a print shop that wants each quote followed by a call a few days later on its calendar.
Watch out
it only covers creation; a quote that is later accepted or edited does not start the Zap again.
6

Update Inventory

Instant trigger

In Zapier“Triggers when a product's Inventory is updated.”

Watches stock levels: the Zap starts when a product's inventory changes, up or down. It is the only Bind ERP trigger that reacts to a change rather than to a new record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a cosmetics brand alerts its buyer when stock of a bestseller moves, with a filter in front.
Watch out
it fires on every change, so never use it to create a new record, or each movement adds a duplicate.
Actions

Bind ERP actions on Zapier

Bind ERP gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Activity

Action

In Zapier“Creates a new activity.”

Books an activity on the Bind ERP calendar. Title, comment, start and end dates, event type, Is Public and Is Repeatable are all required.

When to use it
scheduling a follow-up call each time a quote or an invoice is created.
Watch out
setting Is Repeatable to yes makes three further fields required.
2

Create Prospect

Action

In Zapier“Creates a new prospect.”

Adds a prospect to Bind ERP from a single required value: the name. Is Public is optional and stays on no unless you change it.

When to use it
turning each contact form lead on your site into a prospect your sales team sees in the ERP.
When it breaks

When a Bind ERP Zap breaks

Zapier attaches no help article to Bind ERP and the source lists no limit specific to the app. What breaks is what breaks on any Zap.

  • Past invoices never come through

A Zap only reacts to what happens after you switch it on. Invoices, quotes and products already in Bind ERP stay out; moving that history is a separate job.
  • A Zap that keeps setting itself off

New Activity feeding Create Activity, or New Prospect feeding Create Prospect: each record created is new, the trigger fires again and the tasks drain fast.
  • A bulk import held back

Load a large product list or a stock count in one go and a trigger suddenly sends a flood of events. Zapier's flood protection can hold that batch back.
  • Stock updates that pile up duplicates

Update Inventory fires on every movement. Behind it, any step that creates a record, such as an activity, adds one per movement, not one per product.

FAQ

Bind ERP Zapier integration: questions

01Is the Bind ERP Zapier integration free?
Yes. Bind ERP is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap stays at two steps: one trigger and one action. As soon as you add a filter, for example to act only on some invoices, or a second action, the Zap becomes multi-step and needs a paid plan. A simple Zap such as New Quote to Create Activity stays free within the monthly allowance.
02How many tasks does a Bind ERP Zap use?
One task per action that succeeds, nothing for the trigger. A Zap from New Quote to Create Activity costs one task per quote. Watch Update Inventory: it fires on every stock movement, so a busy product can start the Zap many times in a day, and each action behind it costs a task per run. An action that fails is not counted. Count the events you expect in a month, multiply by the actions, and compare with your plan.
03Is Bind ERP on Zapier real time?
Yes, for all six triggers. New Invoice, New Product, New Activity, New Prospect, New Quote and Update Inventory are instant: Bind ERP tells Zapier the moment the event happens, whatever your plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt, which lets you check this yourself before you publish.
04What do you need to connect Bind ERP to Zapier?
A Bind ERP account, plus access to any records you do not own but want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Bind ERP, then click Add connection. Sign in to Bind ERP in the tab that opens and grant Zapier access. That connection is then reused by every Bind ERP step in your Zaps, so you set it up once per account and pick it from the list in each step.
05Why does Create Activity refuse to run?
Usually because one of its seven required fields is empty: title, comment, start date, end date, event type, Is Public or Is Repeatable. Each one must receive a value, typed in or mapped from an earlier step. If Is Repeatable is set to yes, three more fields become required, and leaving them blank stops the step. Fill every required box, keep Is Repeatable on no for a one-off activity, then test the step again and read what came back before you publish.
06What if the Bind ERP operation you need is not there?
Then the integration does not do it today. There is no search step, so a Zap cannot find an existing customer or product, and the only things it can create are prospects and activities. Nothing creates an invoice, a quote or a product, and nothing deletes. The workable route is to start from a trigger that already carries the record you need. If that is not enough, a Zapier agency can tell you whether another route covers the gap.
07Zapier, Make or n8n for Bind ERP?
It depends on your criteria, not on a ranking. On Zapier, Bind ERP gives you six instant triggers and two actions, billed per successful action, in an editor built for quick setups. The useful criteria are whether these eight operations cover your process, how many runs stock movements will cost you in tasks, and which tool your team already uses. This page says nothing about how Make or n8n handle Bind ERP: check their own operation lists before you choose.
