Overview

What the Box Zapier integration actually does for you

The Box Zapier integration links your Box account to Zapier, so something that happens in Box (a file arrives, a comment is posted, a task lands on you) can start work in another tool, and something that happens elsewhere can create files, folders, links or users in Box without anyone clicking.

Three results people usually build first. A shareable link without the manual step: New File watches a folder, Create Shared Link on File hands back a link the next step can send on. A text file written from another app: Create Text File turns plain text from a form or a message into a .txt document stored in Box. A summary of a contract you never opened: Extract Information From File With Box AI pulls the data you describe out of a file, and the next step files it wherever you track it.

Now what this integration does not do. None of the 5 triggers is instant: Box never calls Zapier, so even the best plan waits for the next check. There is no find-or-create on any search, so a missing folder has to be handled by your own logic. And among the 29 actions you will find Delete Folder, Delete Group and Delete User, but nothing that deletes or renames a single file.

If you are weighing tools, the same app is covered on the Box n8n integration and Box Make integration pages, written with the same method.

Vocabulary

Zapier vocabulary in one minute

Eight words show up on every line of this page. Here they are once, in plain English, and then the page uses them without explaining them again.

Zap
The automation you build: one event that starts it, followed by one or more steps that run each time that event happens.
Trigger
The event that starts the Zap, such as a new file in a Box folder. Once the Zap is on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that creates, sends, moves or changes something on your behalf.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan is a monthly count of them.
Polling vs instant
A polling trigger is checked on a timer set by your plan. An instant trigger is pushed by the app the moment it happens. Box only has polling ones.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set, and quietly stops it otherwise.
Search step
A step that looks up something already in Box, like a folder by name, so later steps can use what it found.
Multi-step Zap
Anything beyond one trigger plus one action. A second action, a filter or a search makes it one, and it needs a paid plan.
Cost

What a Box Zap really costs

Zapier bills completed actions, not checks. That one rule explains most of the surprises on the invoice.

  • Trigger checksFree, whatever the frequency
  • Billed unitOne task per successful action
  • Free plan100 tasks a month, two-step Zaps only
  • Premium appNo, Box works on the free plan

The Box trigger itself is free, and so is every check Zapier makes on your folders, however often it happens. Each action that works counts as one task, and in a Zap with three actions each success counts separately. An action that fails is not billed. The free plan gives you 100 tasks a month and Zaps of exactly two steps. Box is not a premium app, so it runs on that plan, but adding a filter or a search step turns the Zap into a multi-step one and moves you to a paid plan.

Connect

Connect your Box account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. You need a Box account, plus read or write rights on any folder you do not own and want the Zap to touch.

  2. 02

    Pick Box and confirm

Type Box in the search box, select it, then click Add connection. Zapier opens a new browser tab where Box asks you to sign in with the account the Zaps should act as.

  3. 03

    Grant access

Sign in, then allow Zapier to reach your Box account. The tab closes and the connection appears in your list. Every Box step of every Zap reuses it, so you only do this once per account.

First Zap

Your first Box Zap, step by step

GoalEvery new PDF dropped in a client folder gets a shared link, and the file receives a comment saying the link exists.

  1. 01

    Build the trigger

Create a Zap, choose Box as the app and New File as the event, pick your connection, then point it at the client folder you want to watch.

  2. 02

Test it on a real file

Run the test: Zapier brings back the three most recent files of that folder. Pick one that looks like what you will receive, so the mapping uses real values.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then in Configure & test pick the file name field, a text rule and the .pdf value. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Create the link

Add Create Shared Link on File and map the file ID coming from the trigger. Test the step and check that a link comes back in the output.

  5. 05

    Comment and publish

Add Add Comment to File, write the message and drop the link into it. Test once more, then click Publish to switch the Zap on.

Triggers

Box triggers on Zapier

5 events start a Zap when something happens in Box. Zapier checks for them at the interval your plan allows.

1

New Comment

Polling trigger

In Zapier“Triggers when someone comments on a file in a folder you own/collaborate on.”

Starts your Zap as soon as Zapier spots a fresh comment on a file sitting in a folder you own or collaborate on. The comment text and the file it belongs to become data that the following steps can reuse, which is handy when feedback is buried inside Box and nobody looks there.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a reviewer leaves notes on a draft and the project lead should hear about it in the tool the team actually reads.
Watch out
folders shared with you count too, so a busy shared space can produce far more runs than you expect.
2

Event

Polling trigger

In Zapier“Triggers when a new event is performed (this is the activity stream).”

Listens to the activity stream of your Box account, the running log of what happens in it, and starts a run for each new entry Zapier finds there. It is the broadest trigger of the five, since it follows the whole stream rather than one folder.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you want an audit trail of Box activity copied into a spreadsheet or a log tool.
Watch out
because it catches everything, pair it with a filter, or the run count climbs fast.
3

New File

Polling trigger

In Zapier“Triggers when you add a new file to a folder.”

Fires when a file is added to the folder you choose while setting it up. Each new document becomes one run, so this is the natural starting point for anything that should follow an upload.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
invoices dropped into an accounting folder should be logged, linked or analyzed without someone opening them.
Watch out
if a later step writes a file back into that same folder, the Zap sets itself off again in a loop.
4

New Folder

Polling trigger

In Zapier“Triggers when you add a new folder.”

Kicks off a run whenever a new folder appears in your Box account. Teams that open one folder per client, per project or per deal can turn that habit into the starting signal for the rest of their setup work.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a new client folder should create a matching record in your CRM or a shared link for the client.
Watch out
folders that existed before you published the Zap are never picked up, only those created afterward.
5

Task Assigned to You

Polling trigger

In Zapier“Triggered when you are assigned a task.”

Reacts when someone in Box assigns you a task on a file. Box tasks often stay invisible because people live in their mail or their chat, and this trigger pulls them out to wherever you actually plan your day.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a review request on a document should become an item in your own to-do app.
Watch out
it only sees tasks assigned to the connected account, not those of your colleagues.
Actions

Box actions on Zapier

Box gives you 29 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Metadata to File

Action

In Zapier“Adds a metadata instance to a file in Box using a specified template.”

Applies a metadata template to a file and fills it with the values you pass, so the file becomes sortable by those fields.

When to use it
tag every incoming contract with client, type and status coming from your CRM.
Watch out
the metadata field expects a block of key and value pairs, the only technical format on this page.
4

Add User as Collaborator

Action

In Zapier“Adds an individual user as a collaborator on a folder.”

Invites an individual user onto a folder as a collaborator, so they can work in it without a manual invite.

When to use it
a freelancer signing up for a mission gets access to the brief folder straight away.
Watch out
access granted by a Zap is not taken back by it; plan the removal yourself.
5

Add User to Group

Action

In Zapier“Adds a user to a group in Box.”

Places an existing Box user inside a group, from the user ID and the group ID.

When to use it
a new hire recorded in your HR tool joins the right department group in Box.
Watch out
both the user ID and the group ID are required, so a search step usually comes first.
6

Ask Box AI a Question on a File

Action

In Zapier“Ask Box AI a question about the contents of a specific file in Box.”

Sends a question about one file to Box AI and returns the answer as text the next step can use.

When to use it
ask a new contract for its renewal date and post the reply where the account manager sees it.
Watch out
the file ID and the question are both required; write the question as you would to a colleague.
7

Ask Box AI a Question on a Box Hub

Action

In Zapier“Ask Box AI a question about the contents of a specific Box Hub.”

Puts a question to Box AI across the content of a Box Hub rather than a single document.

When to use it
answer a recurring internal question from the policy hub and send the reply back to whoever asked.
Watch out
it needs the hub ID, which you have to know in advance or get from an earlier step.
8

Extract Information From File With Box AI

Action

In Zapier“Extracts structured information from a file using Box AI.”

Reads a file with Box AI and returns structured information following the instructions you write in the prompt.

When to use it
pull the supplier, amount and due date out of each invoice and send them to a spreadsheet.
Watch out
the quality of the result follows the quality of the prompt, so test it on several real files.
9

Add Comment to File

Action

In Zapier“Adds a comment to a file.”

Posts a message on a Box file, visible to everyone who works on that document.

When to use it
tell collaborators, right on the file, that it has been approved, sent or processed somewhere else.
Watch out
the message is the one required field, so map it from a value that is never empty.
10

Create Group

Action

In Zapier“Creates a new group in Box.”

Opens a new group in Box under the name you give, optionally marked as managed by an outside directory.

When to use it
each new project or office gets its own access group without an admin doing it by hand.
Watch out
the group name is required; keep a naming rule so groups stay easy to find later.
11

Create User

Action

In Zapier“Creates a new managed user in Box. Only available to users and applications with the right admin permissions.”

Adds a new managed user to your Box enterprise from a name and an email address.

When to use it
onboarding: the moment a hire is confirmed, their Box account exists.
Watch out
only accounts and apps with the right admin permissions can run it, so connect an admin account.
12

Delete Doc Gen Template

Action

In Zapier“Deletes a Box Doc Gen template by its template ID.”

Removes a Doc Gen template from Box, identified by its template ID.

When to use it
retire an outdated template the moment its replacement is approved.
Watch out
run List All Box Doc Gen Templates first, so you delete the right template ID.
13

Delete Enterprise Metadata Template by Name

Action

In Zapier“Deletes a specific enterprise metadata template by its template name (template key).”

Removes an enterprise metadata template, picked by its template name, the key Box uses internally.

When to use it
tidy up templates created for a closed project or a test.
Watch out
a typo in the key targets nothing, or worse the wrong template; test with a throwaway one.
14

Delete Folder

Action

In Zapier“Deletes a Box folder by its ID.”

Removes a Box folder by its ID, and with the recursive option, everything stored inside it as well.

When to use it
clean up temporary project folders once a project is closed in your management tool.
Watch out
recursive deletion is off by default; switch it on only once a dry run proved the folder ID is right.
15

Delete Group

Action

In Zapier“Deletes a group in Box by its ID.”

Deletes a Box group from its ID, in one step and without a confirmation.

When to use it
a project group disappears when the project is archived elsewhere.
Watch out
a wrong ID deletes the wrong group, so test on a throwaway group before automating this.
16

Delete User

Action

In Zapier“Deletes a user in Box by their user ID. Optionally force deletion and transfer content.”

Removes a user from Box, with options to force the deletion while they still own content and to notify them by email.

When to use it
offboarding, triggered by the departure date recorded in your HR tool.
Watch out
force delete also wipes their files, so transfer what matters before you turn it on.
17

Upload File

Action

In Zapier“Copy an already-existing file from another service to Box.”

Takes a file that already lives in another service, such as an email attachment or a form upload, and copies it into Box.

When to use it
attachments received by mail should end up filed in the matching Box folder instead of sitting in an inbox.
Watch out
it copies an existing file; to write fresh content, use Create Text File instead.
18

Create Folder

Action

In Zapier“Creates a brand new folder at the path you specify.”

Makes a brand new folder at the path you give it, named from whatever the earlier steps carried in.

When to use it
a signed deal in your CRM should open a client folder in Box with the right name, every time.
Watch out
the folder name is the one required field, so map it from a value that is never empty.
19

Get Doc Gen Template

Action

In Zapier“Retrieves a Box Doc Gen template by its template ID.”

Retrieves a Box Doc Gen template, a document used to generate others, from its template ID.

When to use it
confirm a template is still in place before a document generation workflow relies on it.
Watch out
Zapier has no action here that generates a document from the template.
20

Get Enterprise Metadata Template by ID

Action

In Zapier“Retrieves a specific enterprise metadata template by its template ID.”

Reads the definition of one enterprise metadata template from its ID: which fields it carries and how they are set up.

When to use it
check a template before a later step fills it, so the mapping matches its fields.
Watch out
mostly a building block for admins; most Zaps never need it.
21

Get Enterprise Metadata Template by Name

Action

In Zapier“Retrieves a specific enterprise metadata template by its template name.”

Fetches the same template definition, this time from its name, which is easier to remember than an ID.

When to use it
your Zap knows the template by its key, for example the contract template, and needs its fields.
Watch out
the name here is the template key, which can differ from the label people see in Box.
22

Get File Information

Action

In Zapier“Retrieves information about a file in Box by its File ID.”

Retrieves the details Box holds about a file from its ID, so the Zap can use them in later steps.

When to use it
a trigger only gave you an ID and the next step needs more details about that file.
Watch out
it reads, it does not change anything, yet it still counts as a task when it succeeds.
23

Get Text Extraction

Action

In Zapier“Retrieves the text extraction results for a file in Box by its File ID.”

Fetches the text Box has already extracted from a file, so a later step can read it without opening the document.

When to use it
feed the raw text of a document into an AI step or a search index elsewhere.
Watch out
it only takes a file ID, so the file must already be identified by a trigger or a search.
24

Get User Info

Action

In Zapier“Retrieves information about a user in Box by their user ID.”

Looks up a Box user from their user ID and hands their details to the rest of the Zap.

When to use it
turn the ID found in an activity event into a name and an email you can notify.
Watch out
you need the ID first; List All Enterprise Users is the usual way to get it.
25

Mark Document as Doc Gen Template

Action

In Zapier“Marks a Box document as a Doc Gen template.”

Turns an existing Box document into a Doc Gen template, so Box can later produce new documents from it.

When to use it
a template approved in another tool gets registered in Box without an admin stepping in.
Watch out
it needs the file ID of the document to promote, nothing else.
26

Move/Copy File

Action

In Zapier“Moves or copies a file from one folder to another.”

Moves a file from one folder to another, or leaves the original in place and copies it, depending on how you set the step.

When to use it
once a document is signed or approved, shift it from an inbox folder to the archive.
Watch out
moving a file into a folder that another Zap watches will start that other Zap.
27

Create Text File

Action

In Zapier“Creates a brand new text (.txt) file from plain text content you specify.”

Writes a new .txt document from plain text you supply, and stores it in Box under the name you choose.

When to use it
meeting notes or form answers should be saved as a readable file next to the project documents.
Watch out
the .txt extension is always added for you, so leave it out of the name to avoid a doubled suffix.
28

Add Task to File

Action

In Zapier“Adds a task to a file.”

Attaches a task to a file in Box, so the request for work lives on the document it concerns.

When to use it
a contract arriving from a form should land with a review task already on it.
Watch out
a task nobody watches is noise; combine it with the Task Assigned to You trigger on the reviewer side.
29

API Request (Beta)

Action

In Zapier“This is an advanced action which makes a raw HTTP request that includes this integration's authentication.”

An advanced escape hatch: a raw request to Box that reuses your existing connection, for anything the listed actions do not cover.

When to use it
only once you have checked that no action or search above already does the job.
Watch out
it can only call addresses tied to Box, and the stop on error setting decides whether a failure halts the Zap.
Searches

Box searches on Zapier

10 search steps look for data that already exists in Box, so a later step can use it.

A search step finds something already in Box and hands it to the next steps. Box searches appear at the bottom of the Action event list, under SEARCH, and some action fields offer a + Add search step button that inserts one for you. Whether a search wants the exact value or something close is decided by Box, not by Zapier.

1

Find a File

Search

In Zapier“Search for a specific file by name.”

Looks a file up by its name and returns it, with the ID every other Box step asks for.

When to use it
an email mentions a contract by name and the Zap must comment on that exact document.
Watch out
two files with the same name trigger the multiple results setting, so decide which one wins.
2

Find a Folder

Search

In Zapier“Search for a specific folder by name.”

Finds a folder from its name, the usual way to know where an upload or a move should go.

When to use it
file each incoming document in the folder named after the client it comes from.
Watch out
without find-or-create, a missing client folder stops the Zap unless you allow empty results.
3

Get Classification on File

Search

In Zapier“Retrieves the classification metadata instance that has been applied to a file in Box.”

Reads the classification label applied to a file, such as a confidentiality level your admins defined.

When to use it
block a shared link with a filter when the file is classified as confidential.
Watch out
it needs the file ID, so it sits after a trigger or after Find a File.
4

Get Classification on Folder

Search

In Zapier“Retrieves the classification metadata instance that has been applied to a folder in Box.”

Returns the classification label of a folder, so the Zap knows how sensitive its content is meant to be.

When to use it
before inviting an outside collaborator, check that the folder is not restricted.
Watch out
it needs the folder ID, so it sits after a trigger or after Find a Folder.
5

Find Collaborations on Folder

Search

In Zapier“Searches for all pending and active collaborations for a Box folder.”

Lists who collaborates on a folder, pending invitations included, from the folder ID.

When to use it
an access review copies the collaborators of sensitive folders into a sheet.
Watch out
several results are normal here, so set the multiple results option to return them all.
6

Find All Classifications

Search

In Zapier“Searches for all classification labels available to the enterprise in Box.”

Brings back every classification label your Box enterprise has defined, with no input required.

When to use it
keep a reference list of labels in another tool so forms offer the same choices as Box.
Watch out
it returns the catalogue of labels, not the files that carry them.
7

List All Box Doc Gen Templates

Search

In Zapier“Lists all Box Doc Gen templates in the enterprise.”

Gathers all Doc Gen templates of your enterprise in one step.

When to use it
audit which document templates exist before cleaning up old ones with Delete Doc Gen Template.
Watch out
by default only the first result moves on, so switch to all results for an inventory.
8

List All Enterprise Metadata Templates

Search

In Zapier“Retrieves all metadata templates available to the enterprise in Box.”

Retrieves the full set of metadata templates available across your Box enterprise.

When to use it
find the key of the template you want before Add Metadata to File uses it.
Watch out
it lists templates, not the values stored on files.
9

List All Enterprise Users

Search

In Zapier“Lists all users in the Box enterprise.”

Returns the users of your Box enterprise, which is where the user IDs needed by several admin actions come from.

When to use it
match an email from your HR tool to its Box user before Add User to Group.
Watch out
by default only the first user moves on, so pick the right multiple results option.
10

Find All Box Sign Requests

Search

In Zapier“Searches for all Box Sign requests created by the user.”

Searches the Box Sign requests created by the connected user, so the Zap can see what is out for signature.

When to use it
a recap of pending signatures reaches the sales team.
Watch out
it only sees requests made by the connected account, not those of your colleagues.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Box offers no find-or-create variant on Zapier, so a missing folder has to be created by a separate step.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on together.
When it breaks

When a Box Zap breaks

Most Box Zaps that fail do so for a reason that has nothing to do with Box itself. Here are the cases worth knowing before you publish.

Zapier lists a Common Problems With Box article for this app, worth a look once your Zap runs. The cases below come from how Zapier works on every app, and they hit Box workflows often because files and folders are easy to write back into. When nothing seems to work, the Zapier troubleshooting page walks through a diagnosis.

  • Old files are never picked up

A Zap only reacts to what happens after you switch it on. Files already sitting in the folder stay ignored, and moving that backlog is a separate job.
  • The Zap keeps setting itself off

Watch a folder with New File and upload into that same folder, and every run creates a new trigger. The loop burns through your tasks quickly.
  • A bulk import is held back

Drop hundreds of files at once and the trigger can return a huge batch. Zapier's flood protection may then hold it back instead of running everything.
  • The same item never fires twice

Zapier remembers what it has already seen on a polling trigger, so the same item never starts the Zap twice, even if it shows up again.

FAQ

Box Zapier integration: frequent questions

01Is the Box Zapier integration free?
Yes, Box is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and Zaps made of one trigger and one action. The limit shows up quickly: as soon as you add a filter, a search step or a second action, the Zap becomes multi-step and needs a paid plan. A simple Zap such as New File followed by Create Shared Link on File stays within the free plan.
02How many tasks does a Box Zap use?
One task per action that succeeds, nothing for the trigger. Checking your Box folders for new files is free however often Zapier does it, and an action that fails is not billed either. The bill grows with the number of actions: a Zap that creates a shared link and then comments on the file uses two tasks each time a file arrives. A few actions on some apps take more than one task, so watch the task history after the first runs.
03Does Box trigger Zaps in real time?
No, none of the 5 Box triggers is instant. Zapier checks Box at regular intervals, and the interval depends on your plan: every 15 minutes on Free, 2 minutes on Professional, 1 minute on Team and Enterprise. On paid plans you can change that frequency and also run a check by hand from the editor. If your process needs an immediate reaction, Box on Zapier will always carry that delay.
04What do you need to connect Box to Zapier?
A Box account, and access to the folders the Zap will work in. Folders you do not own need read or write rights for the connected account, otherwise the steps fail. User management is stricter: Create User only runs with the right admin permissions in Box, so the connection used for onboarding Zaps should belong to an admin. The connection is made once from the Apps page and reused by every Box step.
05Can a Box Zap delete or rename a single file?
Not with the listed actions. Box on Zapier can delete a folder, a group, a user and some templates, and it can move or copy a file, but no action deletes or renames one file. The API Request (Beta) action is the escape hatch: it sends a raw request to Box through your existing connection. It is meant for people at ease with the Box API, and its stop on error setting decides what happens when Box refuses.
06What if the Box operation you need is not listed?
Check the searches first, because several lookups such as Find Collaborations on Folder or Get Classification on File sit there rather than among the actions. If nothing fits, API Request (Beta) reaches Box directly with your connection. Another option is to combine steps: a search to get an ID, then an action that uses it. When the gap is structural, comparing how n8n or Make covers Box can settle the choice.
07Zapier, Make or n8n for Box?
It depends on your criteria rather than on a winner. On Zapier, Box works on the free plan, every successful action is billed and all Box triggers wait for the next check. This page holds no facts on how Make or n8n handle Box, so read their Box pages before choosing. Compare the number of actions per run, how fast you need the reaction, and who will maintain the workflow.
