What the Bubble Zapier integration actually does

It lets a Bubble app talk to the more than 9,000 apps Zapier connects without a line of code. A workflow inside your app can start a Zap (an automation on Zapier), and a Zap started anywhere else can write records into your Bubble database or launch one of its API workflows.

Three typical results, named by what they produce. A record that appears by itself: a form, a sheet or a CRM feeds Create Thing, and the new entry lands in your Bubble database with no copy-paste. An app that reacts to the outside world: Trigger API Workflow runs the backend logic you already built in Bubble, so an event in another tool sets off your own rules. An app that reports back: New Workflow Trigger Event pushes what happens in Bubble (a signup, an order, a status change) out to email, chat or a spreadsheet.

What Zapier does not do here: there is no delete action, and no trigger that watches your database on its own. The trigger only fires when a Bubble workflow containing the plugin action runs, so you decide in Bubble exactly what gets sent out. Editing a record also means having its ID at hand, which is the job of the one search.

Task

Each action that goes through counts one task; one that fails is not billed. The free plan gives you 100 tasks a month, but only two-step Zaps: one trigger, one action. Add a filter, a second action or the Find a Bubble Thing search and the Zap becomes multi-step, which needs a paid plan. The interval grid below only matters for polling triggers. The Bubble trigger is instant, so on this app the grid never slows you down.

Connect your Bubble app to Zapier

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Bubble account linked once, then reused by every step that touches it.

    Pick Bubble

    Type Bubble in the search box of the dialog that just opened, select it in the results, then click Add connection. A new browser tab opens on the Bubble side to finish the job.

    Sign in and allow access

    Log in to Bubble in that tab and grant Zapier access. You need an account on the app, plus read or write rights on anything you do not own and want the Zap to touch.

First Zap

Your first Bubble Zap, step by step

    Build the trigger

    Create a Zap, pick Bubble and New Workflow Trigger Event, then run the order workflow once in Bubble so the test has a real item to map from.

  2. 02

    Add the filter

    From the plus icon, add Filter: the field to check, the rule, the value. Pick a text rule for text. From here the Zap is multi-step, so it needs a paid plan.

  3. 03

    Find the customer

    Add Find a Bubble Thing with a Search Constraint and a Search Term, for example the customer email that came with the order.

  4. 04

    Update, test, publish

    Add Modify Thing, map the ID found by the search, test each step and check the updated record in Bubble. Then click Publish.

Your Bubble app decides when this one goes off: you add the plugin action to a workflow, and every run of that workflow sends its data out to the Zap. Nothing leaves Bubble unless a workflow explicitly says so, which keeps you in control of what is shared.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a user signs up or pays in your app and the sales team should see it in their own tool straight away.
Watch out
if the workflow never includes the plugin action, nothing is ever sent and the Zap never starts.

Adds a fresh record to your Bubble database from data that arrived in another tool. In Bubble's vocabulary a record is a Thing, hence the name.

When to use it
leads from a web form or a spreadsheet row should live in your app without anyone retyping them.

Changes an existing record, identified by its ID. Handy once the record exists and its status, owner or amount moves elsewhere.

When to use it
a payment clears in your billing tool and the matching order in Bubble should flip to paid.
Watch out
without the ID, put Find a Bubble Thing before this step.

Launches one of the backend workflows you defined in Bubble, so your own logic runs instead of a single field update.

When to use it
one outside event has to set off several changes at once, and you already wrote those rules inside your app.
Watch out
the API Workflow field is required, so the workflow has to be built in Bubble first.
Searches

The Bubble search step

1 search step looks for data that already exists in Bubble, so a later step can use it.

Searches sit at the bottom of the action list in the editor, under Action event then the SEARCH heading. Some action fields also offer + Add search step, which inserts one right before and wires the result in for you. Three settings decide what happens when the lookup does not go to plan.

Find a Bubble Thing

Search

In Zapier“Search for Bubble database record.”

Looks up a record in your Bubble database and hands its data, ID included, to the next steps. It needs both a Search Constraint and a Search Term to know what to match.

When to use it
you get an email address from a form and need the matching user record before running Modify Thing.
Watch out
how close the match must be is decided by Bubble, not by Zapier.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Bubble offers no such variant on Zapier, so you will not see it on this search.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Bubble Zap breaks

Zapier links no help article to Bubble, so the failures below are the ones every Zap shares, read through how this app works.

A broken Bubble Zap rarely announces itself. More often it does what it was told at the wrong moment, or in a loop. If one already misbehaves, the Zapier troubleshooting page walks through the usual fixes.

  • Nothing from before the Zap

    A Zap only reacts to what happens after you switch it on. Records already in Bubble are never picked up, and moving that backlog is a separate job.
  • The Zap that feeds itself

    If a workflow carrying the plugin action also runs when Modify Thing changes a record, the Zap sets itself off again and again and burns your tasks.
  • A bulk import held back

    When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back instead of running everything.
  • A search that finds nothing

    On its default setting, Find a Bubble Thing stops the Zap when no record matches, so the update after it is skipped and never runs.

Bubble Zapier integration: questions people ask

01Is the Bubble Zapier integration free?
Yes, within the limits of the free plan. Bubble is not a premium app, so a Zapier free account can use it. That plan gives you 100 tasks a month and two-step Zaps only, meaning one trigger and one action. As soon as you add a filter, a second action or the Find a Bubble Thing search, the Zap becomes multi-step and Zapier asks for a paid plan. So a simple Zap that creates a Thing from a form costs nothing, while a Zap that looks up a record before modifying it does.
02How many tasks does a Bubble Zap use?
One per action that completes. The New Workflow Trigger Event trigger never costs a task, and waiting for it costs nothing either. If your Zap runs Find a Bubble Thing, then Modify Thing, then posts a message elsewhere, every step after the trigger that succeeds is counted on its own. An action that fails is not billed. A few apps and actions take more than one task, so check the task history of your first runs before you scale a Zap up.
03Is Bubble on Zapier real time?
Yes for the trigger. New Workflow Trigger Event is an instant trigger: Bubble itself tells Zapier when the workflow runs, so the Zap starts right away on every plan, free included. The editor shows a lightning bolt on it. The polling interval grid, 15 minutes on Free and down to 1 minute on Team, only applies to polling triggers, and this app has none. Your plan changes how many steps you can chain, not the delay.
04What does it take to connect Bubble to Zapier?
An account on Bubble, and rights on the app you want the Zap to read or write. The connection itself takes three moves: open the Apps page in Zapier and click + Add connection, pick Bubble in the dialog, then sign in and grant access in the tab that opens. For the trigger, a workflow in your Bubble app must also include the plugin action, otherwise there is nothing to send.
05What must exist in Bubble before Trigger API Workflow works?
The API workflow itself. Trigger API Workflow does not create logic, it launches logic you built beforehand in Bubble's backend, and its API Workflow field is required. So create the API workflow in your Bubble app first, then set up the Zap and run a test to check that it starts. The same goes for Find a Bubble Thing: both its Search Constraint and its Search Term are required, so decide what the search should match before you build the step.
06What if the Bubble action you want is not on Zapier?
Look at whether two existing operations can be chained to get there. Find a Bubble Thing followed by Modify Thing handles an update when the ID is missing. Trigger API Workflow reaches further, since logic you write as a backend workflow in Bubble can be launched from a Zap. There is no delete action, so anything Zapier cannot do directly has to live inside an API workflow you build. If the gap remains, compare the operation lists of the same app on other automation platforms.
07Zapier, Make or n8n for Bubble?
It depends on your criteria, not on a winner. Zapier fits when the instant trigger, the three actions and the one search cover what you need, and when your team already builds Zaps. Count your steps too: anything beyond trigger plus one action needs a paid Zapier plan.
