Formcrafts Zapier integrationAutomate Formcrafts with Zapier.
The Formcrafts Zapier integration does one thing: it starts a Zap the moment someone submits one of your forms. 2 triggers, 0 actions, 0 searches. Pick the right trigger and the free plan is enough for a simple two-step Zap that alerts your team.

What the Formcrafts Zapier integration actually does
Connecting Formcrafts to Zapier means each submitted form becomes the starting point of an automation. Formcrafts only speaks, it never listens: Zapier can read new responses, but it cannot create, edit or delete anything inside Formcrafts. Everything useful happens in the apps that come after.
Three things people build with it. A team alert: New Response (Recommended) fires and a message lands in the channel where sales or support already work, with the answers attached. A clean record: the same response becomes a row or a contact in the tool where you keep track of people, so nobody retypes a form by hand. A follow-up: the answers feed an email or a task assigned to whoever owns the request.
The second trigger, New Response, catches the same event but on a timer. That difference matters more than anything else on this page, and the trigger notes below explain which one to choose.
What Zapier does not do here: it cannot build a form, change a form or touch past submissions. It has no search step for Formcrafts either, so a Zap cannot go looking for an older response. And a Zap only sees what arrives after you switch it on (no backfill of the responses you already have).
If you are weighing tools, the Formcrafts Make integration covers the same app on Make, and Make vs Zapier puts the two side by side.
Zapier vocabulary in one minute
Seven words come back on every line of this page. Here they are in plain English.
- Zap
- What you build on Zapier: one trigger and the actions hooked to it, replayed every time that trigger event happens.
- Trigger
- The event that starts the Zap. For Formcrafts, it is always a submitted form. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
- Task
- The unit Zapier bills. One task is one action that completes successfully, and your plan counts those.
- Polling vs instant
- Formcrafts has one of each. A polling trigger waits for Zapier to check on a timer; an instant one is pushed by the app as the event happens.
- Filter
- A step that checks each response against your condition: the Zap goes on when it matches and stops right there when it does not.
- Connection
- Your Formcrafts account linked to Zapier once, then reused by every Zap that needs that account.
What a Formcrafts Zap really costs
Formcrafts is not a premium app, so it works on the free plan.
- Free plan100 tasks a month, two-step Zaps only
- TriggerNever billed
- Premium appNo
The trigger never costs a task, and neither does Zapier checking for new responses, however often it looks. You pay one task per action that succeeds; a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps: one trigger, one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan on Zapier.
Connect Formcrafts to Zapier in three steps
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box, the place where every app you link to Zapier starts.
- 02
Pick Formcrafts
Type Formcrafts in the dialog, select it, then click Add connection. The account you are about to link must already exist on Formcrafts, with the forms you plan to automate inside it.
- 03
Sign in and grant access
Sign in to Formcrafts in the tab that opens and allow Zapier to reach the account. If the forms belong to someone else, make sure you have access to them first.
Your first Formcrafts Zap: qualified leads straight to Slack
GoalEach time a prospect fills in your quote request form, post a message in the sales channel, but only for requests that match what your team handles.
- 01
Build: choose the trigger
Create a Zap, pick Formcrafts and the event New Response (Recommended), then select your Formcrafts connection and the quote request form.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent responses of that form, so you map fields on a real submission instead of a guess.
- 03
Add the filter
Click the plus icon, choose Filter, pick an answer you spotted in the test, a rule and a value. This step makes the Zap multi-step, so it needs a paid plan.
- 04
Add the Slack action
Pick Slack, choose the channel, and drop the answers of the form into the message. Test it: one real message should appear in the channel.
- 05
Publish
Click Publish to switch the Zap on. From now on, each new submission that passes the filter reaches Slack. Older responses stay where they are.
The 2 Formcrafts triggers
2 events start a Zap when something happens in Formcrafts, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Response
Polling triggerIn Zapier“Triggers when a form is submitted by a user”
This one starts your Zap when somebody submits the form you picked, but Zapier has to come and look for it. Each check asks Formcrafts for its latest responses and keeps only the ones it has not seen yet, so a submission never fires the Zap twice.
New Response (Recommended)
Instant triggerIn Zapier“Triggers when a form is submitted by a user”
Same event, delivered differently: Formcrafts itself warns Zapier as soon as a form is submitted, and the editor shows a lightning bolt on the Zap. Of the two triggers, it is the only instant one, so even a free account reacts straight away instead of waiting for the next check.
When a Formcrafts Zap breaks
Formcrafts has no help article of its own on Zapier and no app-specific limit on record.
So the failures you will meet are the general ones. Four come up with form Zaps.
Old responses never show up
A Zap only reacts to submissions made after it is switched on. The responses already in Formcrafts are not picked up; moving that backlog is a separate job.A sudden pile of responses waits
Should Formcrafts suddenly hand over a huge batch of responses in one go, Zapier's flood protection may pause them rather than push every item through. The same response did not fire twice
On New Response, Zapier remembers what it has already seen. That is intended: a submission it already processed will not start the Zap again.A filter means a paid plan
Formcrafts works on the free plan, but only for one trigger and one action. Drop a filter or a second action into the Zap and it turns multi-step, which Zapier keeps for paid plans.
