Overview

What the Formify Zapier integration does for you

Formify builds online forms. Zapier links apps together without code. Put them side by side and each new submission on a form you pick can start a chain of steps in other tools: a row in a sheet, a message to a team, a contact in a CRM. Formify only sends, it never receives.

Three results come up again and again, all built on the single trigger, New Form Submission.

A clean log of every answer. Each submission becomes a new line in a spreadsheet or a database, so nobody copies answers by hand at the end of the week.

A ping to the right person. A team chat or an inbox gets the answer the moment it arrives, which matters for a quote request or a booking that goes cold fast.

A record in your sales tools. The person who filled the form becomes a contact or a deal in a CRM, with their answers already in place.

Now the part the app page skips. Zapier cannot do anything inside Formify. There is no action, so a Zap can't create a form, edit an answer or delete one. There is no search either, so a Zap can't look up an old submission. Everything flows one way, out of Formify.

If you want the same view from another platform, the Formify Make integration page covers it, and the Make vs Zapier comparison helps you weigh the two tools on your own criteria.

Vocabulary

Zapier words in one minute

Seven terms, plain English, so the rest of the page reads without a dictionary.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that event happens.
Trigger
The event in an app that starts the Zap. Here it is a new answer to a Formify form. Once the Zap is on, Zapier waits for it.
Action
The step that runs in another app once a Formify answer arrives: a new row, a message, a CRM contact. Formify itself offers none.
Task
What Zapier counts on your plan: each action that goes through. With Formify, a Zap with one action spends one task per form answer.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment it happens. Formify's is instant.
Filter
A step that lets the Zap carry on only when the incoming data meets a condition you set, and stops it otherwise.
Connection
Your Formify account linked to Zapier once, then reused by every Zap that needs it, so you never sign in twice.
Cost

What a Formify Zap really costs

Formify isn't a premium app, so it runs on the free plan. The trigger costs nothing.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Trigger costZero tasks
  • Formify triggerInstant, no waiting

You pay in tasks, and only for actions that work. A failed action isn't counted. A three-action Zap uses three times what a one-action Zap uses. The free plan gives 100 tasks a month but caps every Zap at two steps: the trigger plus one action. Add a filter, a second action or a search and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers only, so it never slows Formify down.

Connect

Connect Formify to Zapier in three steps

  1. 01

    Open your connections

Go to the Apps page of your Zapier account and click + Add connection. Have your Formify login ready: you need an account on the app before anything else.

  2. 02

    Find Formify and confirm

Type Formify in the search box of the dialog, pick it from the list, then click Add connection. A sign-in tab then opens for your own Formify account.

  3. 03

    Sign in and grant access

Log in to Formify in that tab and allow Zapier to reach the account. The connection then shows up in your list and every Formify Zap you build can reuse it.

First Zap

Your first Zap: qualified leads to a sheet and to Slack

GoalAn agency logs every Formify project request in Google Sheets, then alerts the sales channel in Slack only when the budget answer is high enough.

  1. 01

    Start with the trigger

Create a Zap, choose Formify as the app and New Form Submission as the event. Pick your connection, then the project request form.

  2. 02

    Test with a real answer

Send the form once yourself, then run the test. Zapier brings back the three most recent submissions so you map fields from a real one, not a guess.

  3. 03

    Add the filter

Click the plus icon and choose Filter. Pick the budget answer you spotted in the test, a text rule, and the exact option label. This step makes the Zap multi-step.

  4. 04

    Log, alert, publish

Add the Google Sheets row, then the Slack message, mapping the name and budget. Test each step, read what came back, then hit Publish to switch it on.

Triggers

The Formify trigger

1 event starts a Zap when something happens in Formify, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Form Submission

Instant trigger

In Zapier“Triggers when a new submission is received for the selected form.”

Someone fills in one of your Formify forms and hits send. That answer starts the Zap, with every response available to map into the next step, whether that is a spreadsheet, a chat message or a CRM record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
any time a form answer should land somewhere else without someone copying it over, such as a demo request that sales must see while the prospect is still on the site.
Watch out
the trigger watches one form, the one you select in the required Form field, so a second form needs its own Zap.
When it breaks

When a Formify Zap breaks

No help article is attached to Formify on Zapier, and no app-specific limit is documented. What breaks is the general stuff, and it still catches people.

Four cases cover almost every complaint. Read them before you go live, not after the first missing lead. For a deeper diagnosis, the Zapier troubleshooting page walks through the usual checks.

  • Old answers never show up

A Zap only reacts to submissions sent after you publish it. Answers already sitting in Formify stay there, and moving that backlog is a separate job.
  • A burst of answers is held back

When a trigger suddenly returns a huge batch, Zapier's flood protection can hold it back instead of running every Zap at once.
  • The filter never lets anything through

Filter rules are typed. A number rule on a text answer, or the wrong label spelling, means the condition never passes and nothing runs.
  • The Zap won't turn on for free

A filter or a second action makes the Zap multi-step. On the free plan you can only keep the trigger and one action.

FAQ

Formify Zapier integration: common questions

01Is the Formify Zapier integration free?
Yes, as long as the Zap stays simple. Formify is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and Zaps of two steps: the Formify trigger plus one action. The moment you add a filter, a second action or a search, the Zap becomes multi-step and Zapier asks for a paid plan. In practice, one form feeding one sheet or one inbox fits the free plan; routing answers by budget does not.
02How many tasks does a Formify Zap use?
One per successful action, per submission. The trigger itself never costs a task, and Zapier checking for new data costs nothing either. So a Zap that adds a spreadsheet row for each answer spends one task per answer. Add a chat alert after it and each answer costs two. An action that fails is not counted. A few apps and actions take more than one task when they complete, so check the action you pick if volume matters.
03Does Formify send answers to Zapier in real time?
Yes. New Form Submission is an instant trigger: Formify tells Zapier the moment a form is sent, so the Zap starts right away on every plan, free included. The 15-minute check you may read about on the free plan only concerns polling triggers, where Zapier asks the app for news on a timer. In the editor, a Zap built on an instant trigger shows a lightning bolt. The trigger type comes from the app and cannot be changed in Zapier.
04What do you need to connect Formify to Zapier?
A Formify account and at least one form inside it. The connection itself takes three moves: open the Apps page in Zapier, click + Add connection, find Formify, then sign in and grant access in the tab that opens. The form matters because the trigger has a required Form field. With no form in the account there is nothing to pick, and the Zap setup stops there. If the form belongs to someone else, you also need access to it.
05Can a Zap create or update Formify forms?
No. Formify has no action and no search on Zapier, only the New Form Submission trigger. Data goes out of Formify and never comes back in. A Zap can't build a form, change an answer, delete a submission or look up an old one. That also means a Zap can't loop on itself by writing back into Formify, which is one less thing to worry about. Edits to forms stay a manual job inside Formify.
06What if the operation you want isn't there?
Then the Zapier side of Formify won't cover it, since the catalogue is a single trigger. Two routes remain. The first is to move the work to the receiving app: if you want an answer stored, enriched or followed up, look at the actions of that other app instead. The second is to compare platforms, because another tool may expose different Formify operations. Before rebuilding anything, read what each platform lists for Formify, not what it promises in general.
07Zapier, Make or n8n for Formify?
It depends on what the page of each platform lists, not on a ranking. On Zapier, judge three things from the facts above. First, the operations: one instant trigger, so outflow only. Second, cost: free while the Zap stays at two steps, paid once you add a filter. Third, speed: answers start the Zap immediately on any plan. Then open the equivalent page on the other platforms and check the same three criteria against what you actually need.
