What the Callingly Zapier integration does

Callingly puts your sales reps on the phone with leads that come in online. Through Zapier, it can start automations when a lead is created, tagged or called, and it can take orders from your other tools to ring your team, book a call for later, or tag a lead without anyone opening Callingly.

Speed is the whole point, and here it is free. Every Callingly trigger is instant: Callingly tells Zapier as soon as something happens, so even on the free plan nothing waits for a timer.

Three results teams build first. A rep on the line within moments of a form fill: Call Lead rings your team and connects the first person who picks up to the lead. A callback booked at the right hour: Schedule Call sets a call from your team for a date and time you choose. A pipeline that stays clean: Call Completed and Lead Updated or Tagged feed your CRM, while Update or Tag Lead stops calls to anyone who has already booked.

What it does not do: there is no operation to delete a lead, and only one search, by phone number. Both call actions also create or update the lead behind the scenes, which matters when a Zap watches lead changes.

Zap

None of the three Callingly triggers costs a task. Each action that works costs one: a Zap that calls every new lead uses one task per lead, and one that calls then tags uses two. A failed action is not counted. Callingly is not a premium app, so it runs on the free plan, with 100 tasks a month and Zaps limited to one trigger plus one action. Because the triggers are instant, the polling grid below never slows them down. A filter or a search makes the Zap multi-step, which requires a paid plan.

First Zap

    Under Build, choose Callingly and Lead Created, then your connection. It is instant, so the Zap will start the moment Callingly reports a lead.

    Test with real leads

    Run the Test. Zapier brings back the three most recent leads of the account. Pick one with a phone number so every later field can be mapped from real data.

  3. 03

    Hold back leads with no number

    Add a Filter from the plus icon: the phone number field, the rule that it exists. Leads without one stop here and never reach the call step.

    Add Call Lead

    Pick Callingly, then Call Lead. Choose the team that should take the call and map the phone number from the trigger. Any format works, local or international.

    Test and publish

Sends the lead to Zapier whenever its status changes or a tag is added. It fires on every such change, not once per lead, so the same person can start the Zap several times.

Watch out

Fires when a call placed to a lead has ended, so the Zap can deal with what happens after the conversation rather than before it.

When to use it
a prospect picks a callback slot in your booking tool and you want Callingly to dial at exactly that time.
Watch out
Scheduled Time is mandatory, so the earlier step has to carry a real date and time, not just a day.

Update or Tag Lead

Action

Changes or tags an existing lead, found by its phone number. Two switches matter: Stop Calls halts any planned calls, Resume Calls allows them again.

When to use it
a lead books a meeting in your calendar app and you want the automatic calls to that person to stop.
Watch out
tagging sets off Lead Updated or Tagged, so keep this action out of Zaps started by that trigger.

1 search step looks for data that already exists in Callingly, so a later step can use it.

A search step looks up something already in Callingly and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result surprises you.

Find Lead

Search

In Zapier“Finds an existing lead.”

Looks up an existing Callingly lead from a phone number, the only field it asks for, and passes the lead on.

When to use it
a payment arrives in your billing tool and the Zap checks whether that customer is still a Callingly lead before tagging them as won.
Watch out
left on its default, a number that matches no lead stops the Zap there, which is often what you want.

The three settings every search exposes

  1. Successful if no search results are found?
    On its default, a search that finds nothing stops the Zap and skips the steps that depend on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Callingly offers no such variant for Find Lead, so the box does not apply.
  3. If multiple search results are found?
    Three ways out when several leads match: keep the first one, the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Callingly Zap breaks

Callingly publishes no specific limit through Zapier. The traps come from how its triggers and actions interact.

Four cases cover most of the surprises, and none of them shows during the build. They appear once calls start flowing. If a run fails for another reason, the Zapier troubleshooting page lists the checks to run.

  • Leads from before the Zap are ignored

    A Zap only reacts to what happens after you publish it. Leads already sitting in Callingly will not be called or synced; handling that backlog is a separate job.
  • The Zap that tags itself in circles

    Update or Tag Lead behind Lead Updated or Tagged changes the lead, which fires the trigger again. Each lap costs a task until the monthly count is gone.
  • One lead, five CRM records

    Lead Updated or Tagged fires on every status change and every tag. A Zap that creates a record each time ends up with one duplicate per change.
  • A bulk import pauses everything

    If thousands of leads arrive at once, after a migration for example, Zapier's flood protection can hold the runs back instead of ringing your team nonstop.

01Is the Callingly Zapier integration free?
Yes, as long as each Zap has two steps. Callingly is not a premium app, so it works on the free Zapier plan, which includes 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger followed by one action. Calling each new lead fits. Adding a filter, a search step or a second action makes it a multi-step Zap, and that needs a paid plan. The instant triggers stay instant on every plan.
02How many tasks does a Callingly Zap use?
One task per action that completes. The three Callingly triggers cost nothing, however many leads come in. A Zap that calls each new lead uses one task per lead; one that calls and then tags uses two. Failed actions are not billed. The real risk is a loop: a Zap that tags leads from the Lead Updated or Tagged trigger restarts itself on every tag and can burn the monthly allowance quickly.
03Does Callingly work in real time with Zapier?
Yes. All three Callingly triggers are instant: Callingly reports the event to Zapier itself, so the Zap starts right away instead of waiting for a scheduled check. That holds on every plan, the free one included, because the polling grid only applies to polling triggers. In the editor, a Zap built on an instant trigger shows a lightning bolt. The actions then run as soon as the Zap reaches them.
04What does it take to connect Callingly to Zapier?
A Callingly account, plus rights over any teams and leads you do not own if the Zap has to touch them. Start on the Apps page of Zapier with + Add connection, search for Callingly, click Add connection, sign in on the tab that opens and grant access. Before building a calling Zap, make sure at least one team exists in Callingly, since both call actions require you to pick one.
05Why does a Callingly Zap keep firing for the same lead?
Because Lead Updated or Tagged fires on every change, not once per lead. Each new status and each new tag sends the lead to Zapier again. That is fine for keeping a CRM record in sync, but wrong for anything that creates: a new record, a new task or a scheduled call per change ends up duplicated. If the Zap itself tags the lead, it also restarts on its own tag. Update existing records and add a filter on the change that matters.
06What if the Callingly operation you need is not on Zapier?
Then Zapier cannot do it with Callingly today. The editor offers three triggers, three actions and one search for this app, and nothing else: there is no lead deletion, and leads can only be looked up by phone number. Changing a setting will not reveal more. Check whether another automation platform covers the operation, or ask Callingly whether it is planned for its Zapier app before building a fragile workaround.
