Overview

What the Passport Zapier integration does for you

Passport puts a brand's card in the wallet of a customer's phone and lets you push messages to it. The Zapier integration links that account to the rest of your tools, so a pass, a location or a notification can be created or changed without anyone opening Passport by hand.

Three results come up again and again. First, a pass that knows where your shops are: Pass Created starts the Zap and Add Pass Location pins a store to it, so holders get a message when they walk nearby. Second, campaigns that leave on time: Create Scheduled Notification takes a date, an hour and a timezone, which suits a promotion planned in a spreadsheet or a calendar. Third, a log of what went out: Push Notifications Sent can feed every sent message into a report or a team chat.

Now the limits. Every Passport trigger works by checking on a timer, so nothing here reacts the instant a pass changes. There is no trigger for a customer walking past a location either: the geofenced message lives inside Passport, and Zapier only edits the location that sends it. And anything past two steps, such as a second action or a filter, needs a paid Zapier plan.

If you are still weighing tools, there is an Zapier review on the site, and a side-by-side page for n8n vs Zapier.

Vocabulary

Zapier words in plain English

Eight words cover everything on this page. Each one is explained once here and then used as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new Passport pass. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or changes something in an app for you.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by the app itself. All Passport triggers are polling.
Filter
A step that lets the Zap carry on only when what arrived matches the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, like an existing pass, so later steps can use what it found.
Connection
Your Passport account linked to Zapier once, then reused by every step that talks to Passport.
Cost

What a Passport Zap really costs

Zapier bills tasks, and only one thing makes a task: an action that works.

  • Free plan100 tasks a month
  • Steps on the free plan1 trigger + 1 action
  • Premium appNo, works on the free plan
  • Trigger type3 polling, 0 instant

The trigger costs nothing, however often Zapier checks Passport for new passes. Each action that succeeds counts once, so a Zap that adds a location and then sends a notification uses two tasks per pass. An action that fails is not counted. Passport is not a premium app, so it runs on the free plan, which gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter, a search step or a second action and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your Passport account in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need a Passport account first, plus access to any passes you do not own but want the Zap to touch.

  2. 02

    Pick Passport

Type Passport in the search box of the dialog, select it in the results, then click Add connection. A new tab opens on the Passport sign-in screen, ready for the next step.

  3. 03

    Sign in and allow access

Log in to Passport in that tab and grant Zapier access to the account. The connection is now saved, and every Passport step of every Zap can reuse it.

First Zap

Your first Passport Zap

GoalEach new pass gets your flagship store as a location, then a welcome notification goes out to its holders.

  1. 01

    Build: choose the trigger

Create a Zap, pick Passport as the app that starts it and Pass Created as the event, then choose your Passport connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent passes of the account, so you map the next steps on a real pass, not on a blank.

  3. 03

    Add the location

Add Add Pass Location as the action. Map the pass from the trigger into Select Pass, then type the store name, its coordinates and the message shown nearby.

  4. 04

    Add the notification

Add Create Notification as a second action. This makes a multi-step Zap, so it needs a paid plan. On the free plan, stop after the location step.

  5. 05

    Test each step, then publish

Test every step and read what came back before moving on. When both actions look right, publish the Zap to switch it on.

Triggers

Passport triggers

3 events start a Zap when something happens in Passport. Zapier checks for them at the interval your plan allows.

1

Pass Created

Polling trigger

In Zapier“Triggers when a new pass is created.”

Starts your Zap when a brand-new pass appears in the Passport account. It is the natural entry point for anything that must be set up once per pass: a store location, a first message, a row in a tracking sheet.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
your marketing team launches a pass for each new shop and wants the location pinned without asking anyone.
Watch out
passes created before the Zap was published are never picked up, so set up older passes by hand.
2

Pass Updated

Polling trigger

In Zapier“Triggers when a wallet pass is updated in your Unblocked Brands account.”

Reacts to changes on an existing wallet pass rather than to new ones. Use it to copy a change elsewhere, warn a colleague, or keep an outside record of what each pass currently shows to customers.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a store manager edits a pass and the head office wants a note in its team chat each time.
Watch out
never pair it with an action that edits the same pass, such as Update Pass Details, or the Zap keeps setting itself off and burns tasks.
3

Push Notifications Sent

Polling trigger

In Zapier“Triggers when a push notification is sent.”

Fires after a push message has gone out to pass holders, whether someone sent it from Passport or another Zap created it. That makes it the trigger for reporting and for keeping other teams in the loop.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
you log every campaign in a shared spreadsheet so sales can see which offer reached customers on which day.
Watch out
on the free plan the record can land a while after the message, so do not treat it as a live alert.
Actions

Passport actions

Passport gives you 11 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Pass Location

Action

In Zapier“Add a location to a wallet pass that can trigger notifications when users are nearby.”

Pins a place to a pass so holders get a message when they come close. You name the spot, give its latitude and longitude, write the nearby message and switch it on.

When to use it
a new branch opens and its address arrives from your store list.
Watch out
all six fields are required, coordinates included, so your source must carry them.
2

Create Notification

Action

In Zapier“Creates a push notification to send to passholders”

Sends a push message right away to everyone holding a chosen pass. Besides the message itself, it asks for an internal name that customers never see.

When to use it
a flash sale is added in your shop tool and holders should hear about it.
Watch out
each run reaches every holder of that pass, so read the mapped message once more before you publish the Zap.
3

Create Scheduled Notification

Action

In Zapier“Creates a scheduled notification”

Prepares a push message that leaves later, at the date and hour you set, in the timezone you pick.

When to use it
campaigns are planned ahead in a calendar and should go out on their own.
Watch out
the schedule field wants the exact pattern MM/DD/YYYY HH:MM AM/PM, so reformat dates from other tools first.
4

Delete Location

Action

In Zapier“Delete a location from a Pass”

Removes a place from a pass for good, along with the nearby message attached to it.

When to use it
a branch closes permanently and is marked as closed in your store list.
Watch out
Passport states the deletion cannot be undone, so consider Enable/Disable Location for anything temporary.
5

Get Notification Details

Action

In Zapier“Get notification details”

Fetches one notification of a pass, picked from a list, so later steps can reuse what it contained.

When to use it
a campaign recap pulls a specific campaign message into an email to the team.
Watch out
you choose the pass first, then the notification inside it, so the pass must be the right one.
6

Get Pass Details

Action

In Zapier“Get Pass Details using Pass Name or ID”

Reads a pass you select and hands its details to the following steps, without changing anything on it.

When to use it
a report step needs the pass's current settings before writing them to a sheet.
Watch out
it sits among the actions, so a successful run counts as a task like any other action.
7

Enable/Disable Location

Action

In Zapier“Toggle whether a location will send push notifications when users are nearby”

Turns the nearby message of a location on or off, or flips it to the opposite of its current state.

When to use it
a shop closes for a holiday and holders walking past should not be invited in.
Watch out
the Toggle option depends on the current state, so prefer Enable or Disable when the result must be certain.
8

Update Pass Backfield

Action

In Zapier“Update links and content in Pass backfields”

Edits a text or link sitting on the back of the pass, inside one of its sections: Featured, Connect or Deals.

When to use it
the link to the deals page changes and every pass should point to the new one.
Watch out
you choose a section and then an item inside it, so that item has to be created in Passport beforehand.
9

Update Pass Front Field

Action

In Zapier“Update labels and values in Pass front fields (top field and secondary fields)”

Rewrites what the customer sees first on the card: the top field, or the left or right field below it, label and value.

When to use it
a loyalty balance or a current offer should show on the face of the pass.
Watch out
you pick the field from a menu, so it must already exist on that pass.
10

Update Pass Details

Action

In Zapier“Updates Pass details”

Changes one setting of a pass: you choose which field, then give the new value. Colors take a hex code, and the status takes Draft or Published.

When to use it
a pass should go live when a launch date is approved elsewhere.
Watch out
one run changes one field, so several edits mean several actions and several tasks.
11

Update Pass Location

Action

In Zapier“Update an existing wallet pass location”

Corrects a place already pinned to a pass: its name, its nearby message, or its position.

When to use it
a shop moves across town and the store database is the place where the address gets fixed.
Watch out
to move both coordinates at once, the new value is typed as latitude, comma, longitude, in a single field.
Searches

Passport searches

3 search steps look for data that already exists in Passport, so a later step can use it.

A search looks up something that already exists in Passport and passes it on. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not the expected one. Passport has no find-or-create variant, so the second setting never shows up here.

1

Find Notifications

Search

In Zapier“Retrieve all notifications for a specific wallet pass using Pass ID or Pass Name”

Lists the notifications of one pass, which you point to by its name or its ID.

When to use it
before sending a new message, check what that pass already received.
Watch out
the pass name must match what Passport holds, so copy it rather than retyping it.
2

Find Passes

Search

In Zapier“Search and retrieve all wallet passes in your workspace”

Returns the wallet passes of your Passport workspace, so a later step can work on one without you picking it by hand.

When to use it
a Zap starts in another app and needs to know which pass to update.
Watch out
with several passes found, the default keeps only the first one.
3

Find Pass Locations

Search

In Zapier“List all locations or locations for a specific pass”

Brings back the places pinned to your passes, all of them or those of one pass.

When to use it
look up a location before editing or switching it off with an action.
Watch out
a search makes the Zap multi-step, so it needs a paid plan.

The three settings every search exposes

  1. Successful if no search results are found?
Left as is, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Turns a search into a find-or-create. No Passport search offers it, so you will not see this box.
  3. If multiple search results are found?
Keep the first match, which is the default, stop the Zap, or pass all matches on at once.
When it breaks

When a Passport Zap breaks

Zapier lists no help article or rate limit specific to Passport. What breaks is the general behavior of Zaps, and four cases explain most of it.

None of these show up as an error in Passport itself, which is why they go unnoticed. The Zapier troubleshooting page is there when a case is not on this list.

  • Older passes are ignored

A Zap only sees what happens after you publish it. Passes and notifications that existed before are never picked up, so handle the backlog separately.
  • The Zap that sets itself off

Pass Updated plus an action that edits the same pass, such as Update Pass Details, retriggers the Zap on every run and eats through your tasks.
  • A bulk import gets held back

When a trigger suddenly returns a large batch, after an import of many passes for example, Zapier's flood protection can hold those items back.
  • No duplicates, by design

Zapier remembers which passes it has already seen on a polling trigger, so the same pass never starts the Zap twice, even if it shows up again.

FAQ

Passport and Zapier: common questions

01Is the Passport Zapier integration free?
Yes. Passport is not a premium app, so it works on Zapier's free plan. That plan gives 100 tasks a month and checks triggers every 15 minutes. The catch is the size of the Zap: the free plan allows two steps, one trigger and one action. A Zap that adds a location and then sends a notification has two actions, so it needs a paid plan. The same goes for any filter or search step. For a single trigger and a single Passport action, the free plan is enough.
02How many tasks does a Passport Zap use?
One task per action that succeeds, and nothing else. The trigger is free, however often Zapier checks Passport for new passes or new notifications. A Zap that runs Add Pass Location once uses one task. Add Create Notification after it and each new pass costs two tasks. An action that fails is not counted. The read actions, Get Pass Details and Get Notification Details, sit among the actions, so they count as a task when they run, like any other action on this list.
03Is the Passport integration real time?
No. All three Passport triggers are polling triggers: Zapier asks Passport for new items on a timer rather than being told the moment something happens. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can also run a check by hand from the editor. The actions themselves run when the Zap reaches them, so a scheduled notification still leaves at the exact time you set in Create Scheduled Notification.
04What does it take to connect Passport to Zapier?
A Passport account, and access to any passes you did not create yourself but want the Zap to change. The connection is made once from the Apps page of Zapier with + Add connection, then a sign-in to Passport in a new tab where you grant access. In practice, also create at least one pass before building the Zap. Nearly every Passport action begins with a required Select Pass menu, and that menu stays empty on an account with no pass in it.
05Why does a Passport Zap keep running on its own?
Most likely it writes where its own trigger looks. Pass Updated watches for changes on passes. If the same Zap then runs Update Pass Details, Update Pass Front Field or Update Pass Backfield on that pass, the change counts as a fresh update, and the Zap starts again. Each round uses tasks, so a loop like this drains the monthly count quickly. Start the Zap from a trigger in another app, or use Pass Created, and keep Pass Updated for Zaps that only write elsewhere.
06What if the Passport operation you need is not there?
Then Zapier cannot do it for Passport today, and no setting will add it. The list on this page is the full set offered in the editor: 3 triggers, 11 actions and 3 searches. For example, nothing reacts to a customer walking near a location; that message is sent inside Passport, and Zapier can only add, edit, switch or delete the location behind it. A workaround is often to chain what exists, such as a search step that finds a pass before an update action. That makes a multi-step Zap on a paid plan.
07Zapier, Make or n8n for Passport?
Decide on criteria rather than on a ranking. On Zapier, Passport offers 3 polling triggers, 11 actions and 3 searches, and it is not a premium app, so a two-step Zap runs on the free plan. Its triggers wait for the next check, 15 minutes on Free. Anything with a filter, a search or a second action needs a paid plan. Put those points next to what Make and n8n offer for Passport: which operations exist there, how a new pass is detected, and how runs are billed. The best fit is the tool whose answers match your Zap.
