Overview

What the Pathmonk Zapier integration does

Pathmonk personalizes your website for each visitor and records who becomes a lead or reaches a goal. The Zapier integration sends those moments to the rest of your tools, and lets other tools tell Pathmonk about leads they captured, so both sides count the same people.

Three results come up most. A sales alert: New B2B Prospect fires when a business visitor lands on your site, and a message in the sales channel tells someone to look. A clean lead list: New Lead copies every lead Pathmonk captures into a spreadsheet or a CRM. A closed loop: Add Lead lets a booking tool or a CRM tell Pathmonk that a visitor became a lead elsewhere, such as through a meeting booked in Calendly, so Pathmonk's figures include it.

Here is what the integration does not do. There is no search step, so a Zap cannot look up an existing lead in Pathmonk. The single action only adds leads; nothing edits or deletes them. And watch the pairing of New Lead with Add Lead: a Zap that adds a lead to Pathmonk can set off its own trigger again.

The good news is speed. Every Pathmonk trigger is instant, which matters most on the free plan, where triggers that are checked on a timer wait for the next check. If you are comparing tools, there is an Zapier review and a page on n8n vs Zapier.

Vocabulary

Zapier words in plain English

Seven words cover this page. Each is explained once here, then used as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new lead in Pathmonk. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or adds something for you, like a new lead in Pathmonk.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's count is a count of those.
Instant vs polling
An instant trigger is reported by the app itself. A polling one is checked by Zapier on a timer. All three Pathmonk triggers are instant.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it otherwise.
Connection
Your Pathmonk account linked to Zapier once, then reused by every step that talks to Pathmonk.
Cost

What a Pathmonk Zap costs

Zapier bills tasks, and a task is an action that worked. Nothing else counts.

  • Free plan100 tasks a month
  • Steps on the free plan1 trigger + 1 action
  • Premium appNo
  • Trigger type3 instant, no waiting

The trigger itself never costs a task, whether it reports one lead or many. Each action that succeeds counts once: a Zap that sends each new lead to a spreadsheet uses one task per lead. Failed actions are not counted. Pathmonk is not a premium app, so the free plan covers it, with 100 tasks a month and Zaps of two steps. A second action or a filter makes a multi-step Zap, which needs a paid plan. The interval grid below applies to polling triggers only; Pathmonk's instant triggers skip it on every plan.

Connect

Connect your Pathmonk account in three steps

  1. 01

    Open your connections

Go to the Apps page of your Zapier account and click + Add connection. You need a Pathmonk account, and access to any site or goal you did not set up yourself.

  2. 02

    Select Pathmonk

Search for Pathmonk in the dialog, pick it from the results and click Add connection. A new tab opens on Pathmonk so you can sign in to the right account.

  3. 03

    Sign in and allow access

Log in to Pathmonk in that tab and grant Zapier access to the account. The connection is saved, and every Pathmonk step in every Zap can use it from now on.

First Zap

Your first Pathmonk Zap

GoalEach conversion on a chosen Pathmonk goal is logged in a spreadsheet, then announced in the sales team's chat channel.

  1. 01

    Build: pick the trigger

Create a Zap, choose Pathmonk as the starting app and New Conversion as the event, select your connection, then enter the Goal ID of the goal to follow.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the account, so you map the next steps on a real conversion rather than a blank.

  3. 03

    Add the spreadsheet row

Add the spreadsheet action and map the conversion details into your columns. This one action fits the free plan on its own.

  4. 04

    Add the chat message

Add the chat action as a second step. Two actions make a multi-step Zap, so this version needs a paid plan; on the free plan, keep one action.

  5. 05

    Test each step, then publish

Test every step and read what came back before going on. When both actions are right, publish the Zap to switch it on for good.

Triggers

Pathmonk triggers

3 events start a Zap when something happens in Pathmonk, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New B2B Prospect

Instant trigger

In Zapier“Triggers when a new Business prospect visits a website.”

Starts your Zap when Pathmonk spots a business visiting your website. It is the earliest signal the integration offers, and it suits teams that want a salesperson to look at an account while the visit is still fresh.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your account managers want a chat ping each time a company lands on the site.
Watch out
a prospect is a visit, not a contact, so route it to people, not to an email sequence.
2

New Conversion

Instant trigger

In Zapier“When a new conversion is”

Fires when a visitor completes one of the conversion goals you track in Pathmonk. Because you point it at a single goal, each Zap stays focused: one for demo requests, another for sign-ups, and so on, each with its own follow-up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a finance team wants every completed trial goal recorded in its revenue sheet.
Watch out
the Goal ID setting is required, so the goal must exist in Pathmonk before you build the Zap.
3

New Lead

Instant trigger

In Zapier“Triggers when a new lead is captured in Pathmonk.”

Reacts each time Pathmonk captures a lead on your site. This is the trigger for keeping a CRM, a newsletter tool or a shared sheet in step with what Pathmonk collects, without exporting anything by hand at the end of a campaign.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
marketing wants each new lead created in the CRM, not pasted in by hand after the campaign.
Watch out
do not follow it with Add Lead in the same Zap, or the lead you add can start the Zap again.
Actions

Pathmonk action

Pathmonk gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Lead

Action

In Zapier“With this action other external tools can notify Pathmonk when a new lead capture for example, booking a meeting in calendly, hubspot, salesforce....”

Tells Pathmonk about a lead captured in another tool, such as a meeting booked in Calendly or a contact added in HubSpot or Salesforce, so its reports include leads it did not collect itself.

When to use it
demos are booked outside your site and Pathmonk should still count them.
Watch out
External ID is required; pass a stable value such as the email or the record's ID.
When it breaks

When a Pathmonk Zap breaks

Zapier lists no help article or rate limit specific to Pathmonk. The problems come from how Zaps behave in general, and three cases cover them.

None of them shows up as an error in Pathmonk, which is why they catch people out. The Zapier troubleshooting page helps with cases outside this list.

  • Older leads are not sent

A Zap only reacts to what happens after you publish it. Leads and conversions Pathmonk recorded before that never reach your tools; export the backlog separately.
  • New Lead plus Add Lead loops

A Zap that adds a lead to Pathmonk while starting from New Lead can set itself off again and again, and burns through your monthly tasks fast.
  • A traffic spike held back

When a trigger suddenly delivers a large batch, after a campaign brings a rush of visitors for example, Zapier's flood protection can hold some of it back.

FAQ

Pathmonk and Zapier: common questions

01Is the Pathmonk Zapier integration free?
Yes. Pathmonk is not a premium app, so it works on Zapier's free plan, which includes 100 tasks a month. The free plan limits the Zap to two steps: one trigger and one action. Sending each new lead to a spreadsheet fits. Sending it to a spreadsheet and a chat channel, or adding a filter to keep only some leads, makes a multi-step Zap that needs a paid plan. Since all Pathmonk triggers are instant, the free plan does not slow them down.
02How many tasks does a Pathmonk Zap use?
One task for each action that succeeds, and none for the trigger. A Zap that sends each new conversion to a spreadsheet uses one task per conversion. Add a chat message after it and each conversion costs two tasks. An action that fails is not counted. On a busy site, the number of tasks follows the number of leads or conversions, so check your monthly count against your traffic before turning on a Zap built on New B2B Prospect.
03Is the Pathmonk integration real time?
Yes. New B2B Prospect, New Conversion and New Lead are all instant triggers: Pathmonk reports each event to Zapier itself, and the Zap starts right away. The interval grid that slows polling triggers, 15 minutes on the free plan, does not apply here on any plan. That makes Pathmonk a good fit for alerts where timing matters, like telling a salesperson that a business is on the site. The editor shows a lightning bolt on Zaps built on instant triggers.
04What does it take to connect Pathmonk to Zapier?
A Pathmonk account, and access to anything in it you did not set up yourself but want a Zap to use. The connection is made once from the Apps page of Zapier with + Add connection, then a sign-in to Pathmonk in a new tab where you grant access. For New Conversion, also have the Goal ID of the conversion goal ready; that goal must already exist in Pathmonk, in the account you connected.
05Why does a Pathmonk Zap keep starting itself?
Most often because it writes where its own trigger looks. New Lead fires on every lead Pathmonk captures, and Add Lead creates leads in Pathmonk. Put both in one Zap and each lead added can fire the trigger again, which uses tasks every round. Start Add Lead Zaps from the outside tool instead, such as a new booking, and keep New Lead for Zaps that only send data out of Pathmonk.
06What if the Pathmonk operation you need is not there?
Then Zapier cannot do it for Pathmonk today, and no setting will add it. The full list is three triggers, New B2B Prospect, New Conversion and New Lead, plus one action, Add Lead. There is no search, so a Zap cannot look up an existing lead, and nothing edits or deletes one. A workaround is often to keep that logic in the next app: the lead goes to your CRM, and updates happen there.
07Zapier, Make or n8n for Pathmonk?
Choose on criteria, not on a ranking. On Zapier, Pathmonk offers three instant triggers and one action, it is not a premium app, and a two-step Zap runs on the free plan without waiting for a check. Anything with a filter or a second action needs a paid plan. Set those points against what Make and n8n offer for Pathmonk: which events and actions exist there, whether new leads arrive instantly, and how each run is billed.
