What the Canva Zapier integration does for your design work
Zapier lets your other tools put Canva to work. A Zap (the automation you build on Zapier) starts on an event in another app, a new row, a new form answer, then asks Canva to create, fill, export or move a design, without anyone opening the editor to repeat the same edits.
Three results people build first. Visuals that fill themselves in: Autofill Design From Brand Template drops data from a sheet or a form into a template, one design per line. Files that leave Canva on their own: Export Design turns a design into a file the next step can store or send. Folders that stay tidy: Move Folder Item files each new design where your team expects to find it. Each of these runs from a single starting event in another app, so the same design work no longer depends on someone remembering to do it.
What Zapier does not do here: Canva has no trigger. Nothing that happens inside Canva can start a Zap, not even a new design, so the first step always comes from another app. Several actions also only start a job: the result comes back through a matching search, which adds a step and makes the Zap a paid one. If you work with Make as well, our Canva Make integration page covers the same app, and the Make vs Zapier comparison lays out the criteria.
Zapier vocabulary in one minute
Seven words come back all over this page. Here they are in plain English.
- Zap
- An automation on Zapier: one event that starts it, then one or more steps that run each time that event happens.
- Trigger
- The event in an app that starts the Zap. Canva has none, so with Canva the trigger always lives in another app.
- Action
- What the Zap does once it has started: the step that creates, exports or moves something in Canva for you.
- Task
- The unit Zapier bills. One action that completes successfully is one task, and your plan counts those.
- Polling vs instant
- A polling trigger gets checked by Zapier on a timer; an instant one is pushed by the app. It depends on the app you start from.
- Filter
- A step that lets the Zap carry on only when the incoming data meets a rule you set, and stops it quietly otherwise.
- Search step
- A step that looks up something that already exists, a design or a job, so the following steps can use what it found.
What it really costs
Canva is not a premium app on Zapier, so it is available on the free plan. What you pay for is the actions, nothing else.
- Free plan100 tasks a month, unlimited Zaps, two steps per Zap
- Trigger0 task, whatever app it comes from
- Each successful action1 task
- Premium appNo, available on the free plan
The trigger, in whatever app it sits, never costs a task. Each Canva action that goes through counts as one task, and one that fails costs nothing. The catch is the free plan's two steps: a trigger plus one Canva action fits, but an export followed by its Get Design Export Job search, a filter, or a second action turns it into a multi-step Zap that needs a paid plan. With Canva that happens fast, since most of its actions only start a job whose result arrives through a search.
Connect Canva to Zapier in 3 steps
- 01
Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Canva account linked once, then reused by every step that works with Canva.
- 02
Pick Canva
Type Canva in the dialog's search box, select it and click Add connection. A new tab opens on the Canva side so you can sign in to the account that holds your designs.
- 03
Sign in and grant access
Log in to Canva and allow Zapier to access the account. Designs and folders you do not own need read or write rights for your user, otherwise the Zap cannot touch them.
Your first Zap: export a design when a row asks for it
GoalEach new row in your sheet names a Canva design, and the Zap finds it and hands the exported file to whatever comes next.
- 01
Start from your sheet
Create a Zap and pick your spreadsheet app and its new-row event as the trigger. Test it: Zapier brings back the three most recent rows, so you map from a real one.
- 02
Find the design
Add Canva with Find Design, pick your connection, and map the cell that holds the design name into the Search Query. The search hands back the Design ID the next step needs.
- 03
Export the result
Add Export Design, map the Design ID found by the search, and choose an Export Type the design supports. This step only starts the export job.
- 04
Fetch the file
Add Get Design Export Job and map the Job ID from the export step: this is the step that hands the finished file to whatever comes next.
- 05
Test, then publish
Test each step and read what came back. Then click Publish. With a search in it, this Zap is multi-step, so it needs a paid plan.
Canva actions
Canva gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Upload Asset
ActionIn Zapier“Creates an asynchronous asset upload job.”
Sends a file into your Canva library as an asset, so your team finds it there when building the next design. It runs as an asynchronous job, checked through its own search.
Create Design
ActionIn Zapier“Creates a new design.”
Creates a new design in your Canva account, of the type you choose in the required Type field. It gives your designer a design ready to work on the moment something happens elsewhere.
Autofill Design From Brand Template
ActionIn Zapier“Creates a new design by autofilling a brand template with provided data.”
Builds a new design by pouring your data into a brand template: the values the template expects, mapped from earlier steps. It starts a job, and the finished design comes back later.
Export Design
ActionIn Zapier“Creates an asynchronous job to export a design from Canva.”
Starts the export of a design out of Canva. You give it the Design ID and an Export Type, and the formats on offer depend on the kind of design you export.
Import Design
ActionIn Zapier“Create an asynchronous job to import a design created in another application.”
Brings into Canva a design that was made in another application, so your team can carry on editing it there. Like the other jobs, it starts the import and reports back through a search.
Move Folder Item
ActionIn Zapier“Move an item (design, asset, etc.) from one folder to another.”
Moves a design or an asset from one folder to another. It needs the source folder ID, the destination folder ID and the item ID, which a previous step can usually pass along.
root means the top level.API Request (Beta)
ActionIn Zapier“This is an advanced action which makes a raw HTTP request that includes this integration's authentication.”
The advanced door: it sends a raw request to Canva using the connection you already set up, for the cases no ready-made action covers. You choose the HTTP Method, the URL and whether the step stops on error.
Canva searches
5 search steps look for data that already exists in Canva, so a later step can use it.
A search step looks up something that already exists, here a design or a job, so the following steps can reuse it. Searches sit at the bottom of the event list in the editor, under SEARCH. For Canva, four of them are how you collect the result of a job, and each adds a step, which means a paid plan.
Find Design
SearchFind or createIn Zapier“Finds an existing design.”
Looks for an existing design from one or more search terms you type in the Search Query. Useful when a later step needs a Design ID you do not have yet.
Get Asset Upload Job
SearchIn Zapier“Gets an asset upload job by ID.”
Checks on an asset upload started by Upload Asset, from the Job ID that step returned. It is how the Zap learns the upload is done and gets the new asset.
Get Design Autofill Job
SearchIn Zapier“Gets a design autofill job by ID.”
Reads the outcome of a job launched by Autofill Design From Brand Template, using its Job ID. This is the step that hands the finished design to the rest of the Zap.
Get Design Export Job
SearchIn Zapier“Gets a design export job by ID.”
Collects the result of an export started by Export Design, from that step's Job ID. Without it, your Zap has asked for a file but never picks it up.
Get Design Import Job
SearchIn Zapier“Gets a design import job by ID.”
Follows up on an import started by Import Design, using the Job ID it returned, and passes on what Canva produced from the imported file.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap, and the steps that needed it are skipped. Switched on, the Zap carries on without the data.
- Create Design if it doesn't exist yet?Only on Find Design. Ticking it turns the search into Find or Create Design: the setting above goes away and Zapier asks for what it needs to create the design.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When the Canva Zap breaks
Zapier ties no help article to Canva, so what follows are the limits that hit every Zap, read through a design workflow.
Most broken Canva Zaps come down to a few situations. Know them before you publish. For a deeper diagnosis, see our Zapier troubleshooting guide.
Old rows never become designs
A Zap only reacts to what happens after you switch it on. Rows, answers or files that already existed are never processed; catching up is a separate job.The export that never arrives
Export Design only starts a job. If the Zap has no Get Design Export Job step after it, nothing downstream ever receives the file. The loop that eats tasks
If a Zap writes into the very place its own trigger watches, such as the sheet that started it, it sets itself off again and again and burns tasks.Bulk imports get held back
When the starting app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can pause it instead of running every item.
