What the Celestory Zapier integration actually does

Celestory is a no-code tool for building interactive stories. Hooking it up to Zapier means an event on the Celestory side, a message sent from your app or a project someone shares with you, kicks off work in your other tools on its own. Traffic runs one way: Celestory starts, everything else follows.

Three setups make sense with what the app offers today.

An inbox that hears from your story. A player reaches the Zapier block in your story, Receive Message fires, and their answer lands in your email. Handy when your Celestory app doubles as an onboarding quiz for new hires.

A log you never have to update by hand. The same message can drop into a spreadsheet, one row per reply, ready to sort later.

A review queue for shared work. With New Shared Project, every project a teammate shares with you can open a card in your project tool. No digging through the app to find what is new.

What Zapier does not do for Celestory: write anything into it. There are no actions and no searches, so creating a project, editing a story or looking up existing data is off the table from Zapier.

The one tip worth remembering on a free plan: Receive Message is the only instant trigger of the two. It fires right away whatever your plan, while New Shared Project waits for the next check. Build on it first.

Triggers are free, however often Zapier checks. You pay in tasks, and a task is one action that succeeds; a failed action is not counted. That means a Zap with three actions burns three times what a one-action Zap does. The catch nobody mentions: the free plan only builds two-step Zaps, one trigger plus one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan.

    In your Zapier account, open Apps and hit + Add connection. You need a Celestory account, plus access to any project you do not own but want the Zap to touch.

    Find Celestory

    Search for Celestory in the dialog, pick it from the list, then click Add connection. A new tab opens so you can sign in to Celestory with your usual account details.

    Sign in and allow access

    Log in to Celestory in that tab and grant Zapier access to your account. From then on, every Celestory step in your Zaps reuses this connection, so you never repeat the setup.

  • No catching up on the past

    The Zap only sees what happens after it goes live. Messages sent earlier and projects shared earlier are simply ignored.
  • A sudden flood gets held back

    After a bulk import or a migration, a trigger that returns a huge batch at once can be slowed down by Zapier's flood protection.
  • Repeats are dropped on purpose

    On New Shared Project, Zapier skips items it has already seen. The same project will not fire the Zap twice, and that is by design.

Celestory Zapier integration: common questions

01Is the Celestory Zapier integration free?
Yes, it runs on Zapier's free plan because Celestory is not a premium app. The free plan gives you 100 tasks a month and as many Zaps as you like. The real limit is size: one trigger and one action per Zap. Add a filter or a second action and the Zap turns multi-step, which needs a paid plan. For a simple first Zap built on incoming messages, free is plenty.
02How many tasks does a Celestory Zap use?
The Celestory trigger itself uses no tasks, even when Zapier checks for shared projects often. Only successful actions in the other apps count. A Zap that sends one email per message costs one task per message; three actions would cost three. A failed action is not counted. A few apps take more than one task per action, so check the receiving app if your numbers look off. The trigger side never adds to the bill.
03Does Celestory trigger in real time?
Only one of its two triggers does. Receive Message is instant: the app tells Zapier right away and the Zap starts, whatever your plan. New Shared Project is a polling trigger, checked every 15 minutes on Free, every 2 minutes on Professional and every minute on Team or Enterprise. When speed matters, build around incoming messages rather than shared projects. Remember that the trigger type comes from the app itself and cannot be switched in the editor.
04What do you need to connect Celestory to Zapier?
A Celestory account, plus read or write access to any project you do not own but want the Zap to touch. In Zapier, you add the connection from the Apps page with + Add connection, sign in to Celestory in the tab that opens, and grant access. You set the connection up once, and every Zap that uses Celestory reuses it afterwards. No extra setup per Zap is needed, even across many Zaps.
05Why does the Receive Message test come back empty?
Because the trigger waits for a message sent from a Zapier block in your app. If the story has no such block, or nobody has sent anything lately, the test has nothing to show. Normally Zapier brings back the three most recent items on the account. Send a message yourself from the app before testing, so you map the fields on real data. Then run the test again and pick that fresh message.
06What if the operation you want does not exist?
That is the case for anything that writes into Celestory, since the integration has no actions and no searches. Zapier can react to Celestory but cannot change it. Creating a project or updating a story from a Zap is not possible with this version of the app. The workable route is keeping Celestory as the trigger and letting other apps handle the rest, or checking another automation tool. Plan your Zap around that from day one.
