Overview

What the Phound Zapier integration is for

It links your Phound phone line to the other tools you use, through Zapier. Phound reports what happens on your calls (a call ending, a recording ready, a voicemail, its transcription) and Zapier reacts. In the other direction, Zapier can create a Phound contact or send a text from Phound.

Three results people build with it. A call log that fills itself: Call Finished starts a Zap that writes each ended call into a sheet or a CRM. A voicemail you can read: Voicemail Transcription hands the written version to a team chat or to Send Message to Persona, so nobody has to listen first. A follow-up text: a form or a booking tool fires, and Send Message to Contact texts the person from your Phound number.

The good news, which matters most on a free plan: all four Phound triggers are instant. Phound itself tells Zapier when the event happens, so the 15-minute check of the free plan never slows these Zaps down.

Now what Zapier does not do here. There is no search, so a Zap cannot look up an existing Phound contact before writing to it. Nothing reacts to an incoming text, and no action places a call. If you need those, the Zap has to start or finish in another app. For a wider look at what Zapier is good at, the Zapier review is a fair starting point.

Vocabulary

Zapier vocabulary in one minute

Eight words that come back on every Zapier screen, explained once in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time the starting event happens.
Trigger
The event in an app that starts the Zap, like a Phound call ending. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or changes something on your behalf.
Task
What Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap past one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a Phound Zap really costs

Phound is not reserved for paid plans, so it runs on Zapier's free plan. The catch is the number of steps.

  • Free plan100 tasks a month, two-step Zaps
  • BilledEach action that completes
  • Phound triggers4 of 4 instant, no waiting

A Phound trigger never costs a task. You pay one task each time an action completes, and an action that fails is not counted. The free plan gives 100 tasks a month and only two-step Zaps: one trigger, one action. A voicemail sent to one place fits. Add a filter to keep only some calls, or a second action, and the Zap becomes multi-step, which needs a paid plan. The interval grid below only applies to polling triggers; Phound's four are instant, so it does not touch them.

Connect

Connect your Phound account

  1. 01

    Open your connections

In Zapier, open Apps and click + Add connection. A connection is your Phound account linked to Zapier once, then reused by every Phound step you add later.

  2. 02

    Find Phound

Search for Phound in the dialog, pick it, then click Add connection. You need a working Phound account before this; Zapier links an account, it does not open one.

  3. 03

    Sign in and grant access

Log in to Phound in the tab that opens, then allow Zapier to use the account. Once it is listed, the four triggers and three actions can all rely on it.

First Zap

Your first Phound Zap

GoalWhen a call ends and meets your condition, Phound sends a note to your persona.

  1. 01

    Pick the trigger

Create a Zap, choose Phound as the app and Call Finished as the event, then select your Phound connection. The trigger is instant, so no interval to worry about.

  2. 02

Test it on a real call

Run the test: Zapier brings back the three most recent items of the connected account. Pick one real call so the next steps are set on actual data.

  3. 03

    Add a filter

Click the plus icon, choose Filter, then set the field to look at, the rule and the value. Use a text rule on text and a number rule on numbers, or it never passes.

  4. 04

    Add the action

Add Send Message to Persona and fill the required Text box, mixing your own words with details picked from the tested call. Test the step and read what came back.

  5. 05

    Publish

Click Publish to switch it on. With the filter it is a multi-step Zap, so it needs a paid plan, and only calls that end after publishing are picked up.

Triggers

Phound triggers on Zapier

4 events start a Zap when something happens in Phound, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Call Finished

Instant trigger

In Zapier“Triggers when a call is finished.”

Each call that wraps up on your Phound line starts the Zap, which makes it the natural base for a call log, a CRM activity or a short summary posted to the team. Every ended call counts, short or long, so the Zap runs once per call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a sales rep wants every finished call written into the pipeline without typing a line.
Watch out
on the free plan, adding a filter to keep only some calls turns the Zap into a paid one, since it then has more than two steps.
2

Call Recording

Instant trigger

In Zapier“Triggers when call recording is finished.”

Here the starting point is not the call itself but the moment Phound has finished preparing its recording. Pick it whenever the next step needs the recording rather than the simple fact that a call took place.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a coach who archives every recorded session in a shared drive for later review.
Watch out
it only reacts to calls that were recorded in Phound; calls without a recording never start it.
3

Voicemail

Instant trigger

In Zapier“Triggers when voicemail is received.”

A caller leaves a message on your Phound line, and this trigger hands the voicemail to whatever comes next. It suits people who are often away from the phone and want missed callers handled without opening the app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a plumber on a job site who wants each new voicemail turned into a task on the office board.
Watch out
if you need the written version, start from Voicemail Transcription instead; a Zap on each of the two would handle the same message twice.
4

Voicemail Transcription

Instant trigger

In Zapier“Triggers when voicemail transcription is received.”

This one waits until Phound has turned the voicemail into text, then starts the Zap with that written version. It is the trigger to choose whenever the next step needs words rather than audio, like a chat post or an email.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an office manager who wants missed-call messages readable in the team channel, no headphones needed.
Watch out
it reacts to the transcription arriving, not to the voicemail itself, so pair it with Voicemail only if you really want two separate Zaps.
Actions

Phound actions on Zapier

Phound gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates contact for your persona”

Adds a new contact to your Phound persona, so the person is stored with a name instead of a bare number.

When to use it
a new lead fills in a web form and you want them in your phone before they ring.
Watch out
a name and a phone number are both required; a form that leaves either one empty makes the step fail.
2

Send Message to Persona

Action

In Zapier“Send Message to Persona.”

Posts a message to your own Phound persona rather than to an outside contact, which turns Phound into a place to collect alerts.

When to use it
a voicemail transcript or a form entry you want to read right where you take your calls.
Watch out
the Text box is required, so map at least one value or type a fixed line.
3

Send Message to Contact

Action

In Zapier“Send message to contact.”

Texts a person from your Phound line, with the wording you set in the Zap and details pulled from earlier steps.

When to use it
a booking is confirmed in your calendar tool and the client gets a short confirmation text.
Watch out
the recipient must be an E.164 phone number, a subscription ID starting with s, or a chat ID starting with c.
When it breaks

When a Phound Zap breaks

Zapier attaches no help article to Phound, so what follows comes from Zapier's general limits plus the required inputs of the actions.

When a Phound Zap stops, look first at the input of the failing step, then at what the trigger actually sent. The Zapier troubleshooting guide walks through that check.

  • Past calls are not replayed

A Zap only reacts to what happens after it is switched on. Calls and voicemails from before publishing are never picked up; moving that history is a separate job.
  • The recipient is refused

Send Message to Contact wants an E.164 number, an s-prefixed subscription ID or a c-prefixed chat ID. A local-format number from a form does not fit.
  • A contact misses a field

Create Contact needs both a name and a phone number. When the step before leaves one of them empty, the action fails and no contact is created.
  • A sudden flood is held back

If a trigger suddenly sends a huge batch, after an import or a migration, Zapier's flood protection can hold it back instead of running every Zap.

FAQ

Phound Zapier integration: questions

01Is the Phound Zapier integration free?
Yes, Phound works on Zapier's free plan, since Zapier does not reserve it for paid plans. The free plan has two limits worth knowing. It gives 100 tasks a month, and it only builds two-step Zaps: one trigger and one action. A voicemail transcript sent to one chat fits. A Zap that also filters calls, or sends to two places, becomes multi-step and needs a paid plan. Plan names on the paid side are Professional, Team and Enterprise.
02How many tasks does a Phound Zap use?
One task for each action that completes, and nothing for the trigger. So a Zap where Call Finished feeds one sheet uses one task per call. A Zap with three actions uses three per call. An action that fails is not billed. Since Call Finished reacts to every ended call, a busy line can use up the 100 monthly tasks of the free plan faster than a voicemail Zap would, which is worth checking before you publish.
03Is Phound on Zapier real time?
Yes, for all four triggers. Call Finished, Call Recording, Voicemail and Voicemail Transcription are instant triggers: Phound itself reports the event to Zapier, so the Zap starts without waiting for a scheduled check. That means the polling interval of your plan, 15 minutes on Free, does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it.
04What does it take to connect Phound to Zapier?
A Phound account that already works. In Zapier you open the Apps page, add a connection, search for Phound and pick it, then log in to Phound in the tab that opens and grant Zapier access. The connection is created once and shared by every Phound trigger and action. If a Zap touches records you do not own, in another app, your account there also needs read or write access to them.
05Why does Send Message to Contact reject the number?
Because the recipient has to come in one of three accepted shapes. Send Message to Contact takes an E.164 phone number, which is the international format, a subscription ID starting with the letter s, or a chat ID starting with c. A number collected by a form in local format, with spaces or without the country part, does not match. Fix the format in the step that collects it, then test the action with a real value before you publish.
06What if the Phound operation you need is missing?
Then Zapier does not offer it for Phound today. The integration has four triggers, all about calls and voicemail, and three actions: create a contact, text a contact, message your persona. There is no search, nothing reacts to an incoming text, and no action places a call. The usual workaround is to let another app do the missing part, in a step before or after Phound, and keep Phound for what it covers.
07Zapier, Make or n8n for Phound?
Decide on criteria rather than by name. On Zapier, Phound offers four instant triggers, so speed does not depend on your plan, and three actions; it works on the free plan, within two-step Zaps and 100 tasks a month. Check whether the other platforms list Phound at all, which operations they expose, and how each counts a run. Then weigh which tool your team already uses for the CRM or chat the calls feed into.
