What the Chatmax Zapier integration actually does
Chatmax is a platform where a team handles customer conversations and automated messages in one inbox. Connected to Zapier, it gets exactly one move: an event somewhere else in your tools tells Chatmax to send one of your saved message templates to a given phone number. Nothing more, nothing hidden.
Three results people build with that single action. A booking confirmation: someone books in your scheduling tool, and Send a Message Template fires your confirmation template to the number they typed. A welcome message: a new row lands in the spreadsheet where sales logs fresh customers, and the same action sends the onboarding template. A status ping: an order or a ticket changes state in another app, and the customer receives the matching template without anyone opening Chatmax.
Now the limits, because they shape every Zap you'll build. Zapier can't start anything from Chatmax: there is no trigger, so a reply, a new conversation or a closed chat in Chatmax will never set off a Zap. It can't look anything up in Chatmax either (no search), and it can't write a free-form message. It sends a template that already exists in your account, picked by name and language, to one number per run. If your plan was to route incoming Chatmax chats into a CRM, this integration won't do it.

- Task
- The unit Zapier bills you for: one action that completes successfully. The number on your plan counts those, nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets a condition you set, and quietly stops it otherwise.
- Connection
- Your Chatmax account linked to Zapier one time, then reused by every step in every Zap that sends through Chatmax.
What a Chatmax Zap really costs
Short answer: one task per message that actually goes out. The trigger in the other app is free, and so is all the checking Zapier does in the background.

Each successful Send a Message Template counts as one task. A send that fails isn't counted. The free plan gives you 100 tasks a month and unlimited Zaps, and Chatmax isn't a premium app, so it works there. The catch: free Zaps stop at two steps. Trigger plus Chatmax is fine. Add a filter, a second action or a search step and you have a multi-step Zap, which needs a paid plan. If the starting app uses a polling trigger, the plan sets how often Zapier checks it.
Connect Chatmax to Zapier in three steps

Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. A dialog opens with a search box. Type Chatmax and pick it from the list of results.

Sign in to Chatmax
Click Add connection. A new browser tab opens on Chatmax. Log in with the account that owns the templates you plan to send, since that's the account every Zap will speak for.

Grant access
Allow Zapier to use the account. The tab closes and the connection shows up in your list, ready for any Zap. If the templates live in a workspace you don't own, you'll need write access to it first.

Pick the starting app
Create a Zap and choose the app whose event should start it, here a new form response. Chatmax can't be the first step, because it has no trigger.

Test the trigger
Run the test. Zapier brings back the three most recent items from that account, so pick a real answer that includes a phone number.

Add the filter
From the plus icon, add a Filter that only continues when the phone field isn't empty. This makes the Zap multi-step, so it needs a paid plan. Skip it on the free plan.

Add the Chatmax action
Choose Chatmax and Send a Message Template. Map the phone number from the form, then type the template name and its language exactly as they appear in Chatmax.

Test and publish
Test the action with your own phone number first, so a mistake only reaches you. Read what came back, check the template arrived, then click Publish to switch the Zap on.

When a Chatmax Zap breaks
Zapier links no help article to Chatmax, so the failures below come from how every Zap behaves. They still bite here.

Old records are never sent
A Zap only reacts to events that happen after you publish it. Customers already in your form or spreadsheet won't get a template; moving that backlog is a separate job.A loop drains your tasks
