What the Discord Zapier integration does for your community
The Discord Zapier integration links your Discord server to Zapier, a no-code tool that passes data between apps. A Zap (one automation on Zapier) watches for something on your server, such as a new forum post or a role being assigned, then acts in another app, or posts, tags and messages people on Discord for you.
Three results come up again and again. A support forum that feeds your backlog: New Forum Post sends each question to your task tool, and Send message in Forum Post can reply once it is handled. A welcome that runs itself: New User Added spots each newcomer, Add Role gives them the member role and Send Direct Message explains the house rules. Announcements from your other tools: Send Channel Message posts a release note or a new blog article to the right channel.
One thing to know before you start: all seven Discord triggers are polling triggers. Zapier checks the server at a fixed interval, every 15 minutes on the free plan, so a Discord Zap is not built for live moderation.

Zapier vocabulary in one minute
Eight words cover the whole editor. Here they are once, in plain English.
- Zap
- An automation you build on Zapier: one trigger, then one or more actions that run each time that event occurs.
- Trigger
- The event that starts the Zap, like a new message in a Discord channel. Once the Zap is on, Zapier waits for it.
- Action
- The step that does the work after the trigger: it posts, sends or changes something in an app on your behalf.
- Task
- The unit Zapier bills: one action that completes successfully. Your plan allowance is a count of tasks.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant one is pushed by the app as soon as it happens. Every Discord trigger is polling.
- Filter
- A step that lets the Zap go on only when the incoming data meets your condition, and stops it there otherwise.
- Search step
- A step that looks up something that already exists, like a Discord channel, so later steps can reuse what it found.
- Connection
- Your Discord account linked to Zapier once, then reused by every step in every Zap that works with Discord.

The trigger never costs a task, and neither does Zapier checking your server, however often it looks. An action that fails is not counted. Each successful action counts on its own, so a welcome Zap that adds a role and sends a DM costs two tasks per newcomer. The free plan gives 100 tasks a month, two-step Zaps only, and a check every 15 minutes. A filter, a search like Find Channel or a second action makes the Zap multi-step, so it needs a paid plan, which also checks more often.
Connect your Discord server to Zapier

Open the Apps page
In your Zapier account, open Apps and click + Add connection. You need a Discord account with access to the server, channels and roles the Zap will read or change.

Pick Discord
Type Discord in the search box of the dialog, select it, then click Add connection. A new tab opens on Discord so you can sign in and choose what Zapier may access.

Sign in and authorise
Log in to Discord in that tab and grant Zapier access to the account. The connection then appears in your list, and every Zap that talks to Discord reuses it from there.
Your first Discord Zap: welcome each new member

Create the Zap
Start a new Zap, choose Discord as the app that starts it and pick New User Added as the event. Then select your Discord connection.

Test the trigger
Run the test: Zapier brings back the three most recent members of the server. Pick a real one, since every later field will be mapped from it.

Assign the role
Add Add Role, map the user from the trigger and pick the member role. On the free plan, stop here: one trigger and one action is the limit.

Send the welcome
Add Send Direct Message, map the same user and write the message under 2000 characters. This second action makes the Zap multi-step, so it needs a paid plan.

Test, then publish
Test each step once and check the DM on a spare account. Click Publish: from then on, each new member is picked up at the next check.

Fires when someone opens a new post in a forum channel. For servers that use forums for support or ideas, it is the cleanest way to turn each topic into a ticket.
New Mention

Catches every message that mentions a given user or role. It is how a team makes sure a ping on Discord is not lost when nobody has the app open.
Role Assigned to User

Starts when a member receives a role. Roles often mean something outside Discord too, such as a paid tier, a cohort or a moderator badge, and this trigger carries that change to your other tools.

Discord searches: find a channel or a member first
2 search steps look for data that already exists in Discord, so a later step can use it.
A search step finds something that already exists on your server and hands it to the next step. In the editor, the searches sit at the bottom of the Action event list under SEARCH. Discord offers no find-or-create variant, so a search never creates a missing channel or member.

Looks up a channel from its name and returns it, so a later step can post or rename without a fixed choice.
Find User

Finds a member of the server from their username, so actions such as Add Role or Send Direct Message know who to target.
The three settings every search exposes
- Successful if no search results are found?Left as is, a search that finds nothing stops the Zap and skips the steps that needed it. Switched on, the Zap continues with empty values.
- Create X if it doesn't exist yet?Turns a search into find-or-create on apps that offer it. Neither Discord search does, so this box does not appear here.
- If multiple search results are found?When several items match: keep the first one (the default), stop the Zap, or pass every match on to the next steps.
When a Discord Zap breaks
Zapier links two help articles to Discord, one on getting started and one with tips for formatting Discord messages. No Discord-specific rate limit appears in the material, so the cases below come from Zapier's general behaviour and the limits shown in the fields.
Six cases cover most of the trouble. Most of them never show a red error: the Zap posts later, less or far more than you expected. If one already cost you an afternoon, the Zapier troubleshooting page goes through the fixes.
Messages arrive late
Every Discord trigger is polled. On the free plan Zapier checks every 15 minutes, so a mention or a forum post can wait that long before the Zap even starts.Long messages fail
