What the Formsite Zapier integration actually does
Connecting Formsite to Zapier turns every form result into the first step of an automation. Formsite only reports, and nothing ever flows back into it. The result it sends is picked up by the apps you chain after it, which is where the real work happens.
Three outcomes come up again and again, all built on New Form Result. First, a clean log: every submission lands as a row in a spreadsheet, so the whole team reads the same list without logging in to Formsite. Second, an alert: a message reaches a team channel the moment someone fills in a sign-up or a quote request. Third, a record: the answers open a card or an entry in the tool where the follow-up actually happens.
What Zapier does not do here matters just as much. It cannot create a form, edit a result, or look up an older submission in Formsite. There is no action and no search on this app, so Formsite is always the first step of the chain, never a later one. Results sent before the automation was switched on stay where they are.

- Zap
- A chain you set up once on Zapier: something happens in one app (the trigger), and one or more actions follow, every single time.
- Trigger
- What sets a Zap off. With Formsite it is always a freshly submitted result, which Zapier waits for as soon as the Zap is switched on.
- Action
- The work done after the start: a row added, an email sent, a card opened in another app. Formsite itself never receives one.
- Task
- What Zapier counts and bills: each action that ends successfully is one task, taken from your plan's allowance.
- Polling vs instant
- Polling: Zapier goes to ask the app at set times. Instant: the app pushes the event out as it happens. New Form Result is instant.
- Filter
- A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.

Waiting costs nothing: neither the trigger nor Zapier's watch for new results touches your allowance. What counts is each action that succeeds, one task apiece, and a failed one is free. Two actions per result means twice the tasks. The Free plan gives 100 tasks a month and unlimited Zaps, but each Zap stays at two steps; a filter or a second action makes it multi-step, and that needs a paid plan.
Connect your Formsite account to Zapier

Open the Apps page
In your Zapier account, go to Apps. That is where every linked account lives, and where Formsite will sit once it is connected. You need a Formsite account before you start.

Add Formsite
Click + Add connection, type Formsite in the search box of the dialog, pick it, then click Add connection. Zapier hands you over to Formsite to sign in.

Sign in and grant access
Log in to Formsite and allow Zapier to reach the account. Make sure that login can read the forms you plan to watch, including any you do not own yourself.

Pick the trigger
Create a Zap, choose Formsite as the app and New Form Result as the event, then select the Formsite connection made earlier.

Choose the form
In the Form field, select the post-course survey. Only results from that form will start this Zap, so give your forms clear names in Formsite.

Test the trigger
Run the test. Zapier pulls the three most recent results of that survey, so submit one real answer first and pick it in the list.

Add the filter
Click the plus icon, add Filter, pick the rating answer you spotted in the test, a text rule, and the lowest option as the value. The filter makes this a paid-plan Zap.

Add Gmail and publish
Add the Gmail step, address it to your customer lead with the comment and contact details from the result, test it once, then click Publish to switch the Zap on.

When a Formsite Zap breaks
Zapier attaches no help article to Formsite, so the pitfalls below are the general ones that hit this kind of Zap.

Old results never show up
