What the Dropbox Zapier integration actually does
It connects your Dropbox to the rest of your apps, without code. Zapier watches folders for new or changed files and new folders, then hands what it finds to another tool. It also works the other way: it uploads, copies, moves, renames, shares and deletes files in Dropbox on behalf of your other apps.
Three results cover most real uses. Attachments that file themselves: an invoice from an email or a form upload goes straight into the right client folder through Upload File, sometimes into a folder that Create Folder made in an earlier step. A link sent without anyone asking: New File in Folder spots a fresh deliverable and Create Shared Link produces the link your client receives by email. Shared access kept under control: the four shared-link settings actions add a password, an expiry date or a download ban, and Add Folder Member invites people to a shared folder.
Now the limits. All four Dropbox triggers are polling triggers: nothing is instant, even on a paid plan. Three of the triggers and several searches ask that the watched folder hold no more than 6000 files and folders. Files bigger than 500 MB cause errors when their contents travel through the Zap. And some searches depend on your Dropbox plan, not on Zapier.

- Polling vs instant
- A polling trigger is checked on a timer by Zapier. An instant one is reported by the app the moment it happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and stops it quietly otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.

The trigger never costs a task, and neither does Zapier checking your folders, however often it looks. You pay per action that succeeds: upload a file then create its link, and that run costs two tasks. A failed action is not counted. The free plan gives 100 tasks a month and builds two-step Zaps only. A filter, a Find File search or a second action turns the Zap into a multi-step Zap, which needs a paid plan.
Connect your Dropbox account to Zapier

Open the connections page
In Zapier, go to Apps and click + Add connection. A connection is your Dropbox account linked once, then reused by every step that touches Dropbox, so you only do this one time.

Find Dropbox and start the link
Type Dropbox in the search box of the dialog, pick it, then click Add connection. A Dropbox tab opens, where you sign in with the account whose files the Zaps will read and write.

Grant access and check the rights
Allow Zapier to reach the account. From then on, it sees and changes exactly what that account can. For folders someone else owns and shared with you, the account needs read rights to watch them and write rights to add files.

Create the Zap
Open the Zap editor and start a new Zap. The first card is always the trigger: a Zap starts with a trigger, never with an action, so that is what you set first.

Set the Dropbox trigger
Choose Dropbox, then
New File in Folder, then your connection. Pick the Deliverables folder, and set file contents to no: the link step only needs the path, and big files would cause errors. - 03
Test, then filter
Run the test: Zapier brings back the three most recent files of that folder. Then click the plus icon, add a Filter on the file name, and choose a text rule.

Create the link
Add
Create Shared Linkand map the file path from the trigger into its Path field. Test it once and open the link it returns to check it works. - 05
Protect the link
Add
Set or Remove Shared Link Password, map the link URL from the previous step, and choose to set a password. Test this step too before going further. - 06
Publish
Click Publish to switch the Zap on. From then on, it costs two tasks per PDF that passes the filter, and nothing for the files the filter stops.
The 4 Dropbox triggers
4 events start a Zap when something happens in Dropbox. Zapier checks for them at the interval your plan allows.
New Folder

Starts the Zap when a folder is created inside the folder you point it at. Handy when one folder equals one project or one client, and its birth should set off the rest of the setup.
Shared Folders

Reacts when a shared folder is added to the connected Dropbox. It watches sharing, not files.
New File in Folder

Fires when a file is added to the folder you choose. It is the classic start for anything that should happen to a document once it arrives: send it, link it, file it elsewhere.
New or Updated File

Catches new files and also new versions of existing ones in the folder you pick. Saving over a contract or re-exporting a spreadsheet counts, which a plain new-file trigger would miss.

Add Folder Member

Copy File

Create Text File

Create or Append to Text File

Rename File

Create Shared Link

Set Shared Link Download Permission

The 6 Dropbox searches
6 search steps look for data that already exists in Dropbox, so a later step can use it.
A search step changes nothing: it finds a file, a folder or a link so the next steps can use it. In the editor, searches sit at the bottom of the action list, under the SEARCH heading. Dropbox has no find-or-create variant, so each one only looks.
Advanced Search

Find Shared Links

List Folder Contents

Returns everything a folder holds, files and folders, optionally with its subfolders, deleted items and photo or video details.
The three settings every search exposes
- Successful if no search results are found?Left at its default, a search that comes back empty stops the Zap there and skips the steps that needed it. Switch it on and the Zap carries on with nothing found.
- Create X if it doesn't exist yet?On apps that offer it, this box turns a search into a find-or-create. None of the six Dropbox searches has it, so a missing file is never created for you.
- If multiple search results are found?When several items match, keep the first one (the default), stop the Zap, or pass all of them on to the next steps at once.
When a Dropbox Zap breaks

The folder holds too many items
Triggers and several searches ask that the watched folder stays under 6000 files and folders. Past that, split the folder or point the step at a narrower one.A big file stops the run
