What the involve.me Zapier integration actually does

The involve.me Zapier integration links your involve.me funnels (quizzes, forms, calculators, assessments) to the other tools you use. When someone gets to the end of a funnel, Zapier hears about it straight away and can pass the submission on to another app, or update the contact list inside involve.me itself. No code, and a two-step version runs on the free plan.

Three results come up again and again. First, a row or a record for every finished funnel: New Completed Submission starts the Zap, and the action of another app (your CRM, a sheet, a chat tool) writes it down. Second, a contact list that stays complete: Create or Update Contact brings in people captured somewhere else, so involve.me holds everyone and not only quiz takers. Third, segments that move with your leads: Add Contact Tag and Remove Contact Tag put a label on a contact or take it off, for instance when a deal closes in another tool.

Now the limits, because they decide whether this is the right tool. The integration has no search, so a Zap can't look up an involve.me contact and reuse what it finds. There's one trigger only: a new contact or a changed tag won't start anything. Nothing creates or edits a funnel, and nothing deletes a contact. If your plan relies on one of those, you'll be working around the integration rather than with it.

The trigger costs nothing, however many funnels get completed. Each action that succeeds counts one task, and one that fails counts nothing, so a two-action Zap uses twice what a one-action Zap does. The free plan gives 100 tasks a month and as many Zaps as you like, but each one stops at two steps. Add a second action or a filter and you need a paid plan. involve.me isn't a premium app, so the free plan accepts it. The interval grid concerns polling triggers only, and this app's trigger is instant.

    Open Apps and add a connection

    In your Zapier account, go to the Apps page and click + Add connection. You do this once: every Zap that talks to involve.me afterwards picks the same connection from a list.

    In the dialog that opens, type involve.me in the search box and select it from the results. Then click Add connection, and a new browser tab opens on the involve.me side.

    Pick the funnel in the involve.me Funnel field and run the test. Zapier brings back the three most recent submissions of the account, so you map the next steps on real data.

    Create the contact

    Add Create or Update Contact, choose the Organization and map the email from the submission. Every finished funnel now lands in your involve.me contacts.

    Insert a filter

    Click the plus icon, choose Filter, then fill the three boxes: the field to look at, the rule and the value. Use a number rule for a score, a text rule for text. From here the Zap is multi-step.

  • Old submissions never come through

    The Zap only reacts to funnels completed after you publish it. Submissions already sitting in involve.me stay there; moving that backlog is a separate job.
  • A Zap that feeds itself

    A Zap that writes into the very place its own trigger watches sets itself off again and again, and eats your task count fast. Keep the trigger and the actions pointed at different things.
  • A sudden burst gets held back

    After a big campaign or an import, a trigger that suddenly sends a huge batch can be held back by Zapier's flood protection instead of running straight through.
  • The email comes up empty

    All three actions require an Email. If the funnel doesn't collect one, or the mapping points to the wrong field, the action can't go through. At least a failed action costs no task.

Add a second action, for example Create or Update Contact followed by Add Contact Tag, or slip a filter in between, and the Zap becomes multi-step. That version needs a paid plan. A single action fed by a completed submission stays free.
02How many Zapier tasks does involve.me use?
One per action that succeeds, and nothing for the trigger. New Completed Submission never costs a task, so a Zap with a single action uses one task per completed funnel. Chain two actions and each submission costs two. An action that fails, for instance because the email was empty, isn't counted. 04What does it take to connect involve.me to Zapier?
An involve.me account and a Zapier account. From the Apps page in Zapier, you add a connection, pick involve.me, sign in in the tab that opens and grant access. Beyond that, the operations ask for two things: a funnel for the trigger and an organization for the actions. Both must be reachable from the login you connect, so if a colleague owns them, get read or write access first. The whole setup happens once, and every later Zap reuses the same connection.
05Why don't past involve.me submissions reach Zapier?
Because a Zap only reacts to what happens after it's switched on. Funnels completed before you clicked Publish stay in involve.me and never start the Zap. The test step does show the three most recent submissions, but only so you can map the fields on real data; it doesn't send them anywhere. Moving older submissions into another tool is a separate job, done outside the Zap. Plan for that before you switch the Zap on.
06What if the involve.me operation you need isn't on Zapier?
Then the integration won't do it, because it stops at four operations: one trigger and three contact actions. There's no search, no contact deletion and no way to create or edit a funnel. The usual workaround is to let involve.me start the Zap and hand the rest to another app that has the missing step. When that still falls short, a different automation tool or a custom build by the team are the remaining options.
07Zapier, Make or n8n for involve.me?
It depends on criteria, not on a winner. Look at how many steps the workflow needs, who will maintain it, and how often it runs. On Zapier, involve.me offers an instant trigger, billing per successful action, and a free tier limited to two-step Zaps.
