DropFunnels builds sales funnels, membership sites and online courses. The Zapier integration sends what happens there, leads, orders, appointments, course progress, to your other tools, and lets them act back on members and leads. That is 22 operations, and all 16 triggers are polling ones.

Start with timing, because it shapes everything else. Zapier checks DropFunnels on a timer: every 15 minutes on the free plan, every 2 on Professional, every minute on Team and Enterprise. A buyer can wait a quarter of an hour for access if you stay on Free. For course access, that delay is the first thing to decide on.

Three results people build. Course paths that run themselves: Course Completed fires, and Update Course Member puts the student into the next course. Orders that reach the right place: the order triggers split main product, upsells and subscriptions, so each can feed its own tool. A pipeline that follows the funnel: Create Lead and Move Lead in Pipeline keep the DropFunnels pipeline in line with what happens elsewhere.

The trigger never costs a task, and Zapier checking DropFunnels costs nothing either, however often it looks. Each action that succeeds counts once, so a Zap with two actions costs twice as much per order. A failed action is not counted. The free plan stops at two steps, one trigger and one action: a filter or a second action makes the Zap multi-step, and that needs a paid plan, whatever the volume.

    In Zapier, go to Apps and click + Add connection. A connection is your DropFunnels account linked once, then reused by every step of every Zap that uses DropFunnels.

First Zap

Your first Zap: move graduates to the advanced course

    Build: set the trigger

    Start a new Zap, pick DropFunnels and the event Course Completed. Choose your connection, then the Site and the beginner Course. One Zap watches one course.

    Test the trigger

    Run the Test. Zapier brings back the three most recent completions, so you map the next steps on a real student, not on made-up data.

  3. 03

    Enrol in the next course

    Add DropFunnels with Update Course Member. Pick the Site, the advanced Course and the Access Levels, then map the Email from the test. If the student is not a member yet, this action adds them.

    Close the old access

    Add DropFunnels with Deactivate Member on the beginner Course, with the same Email. Two actions make this a multi-step Zap on a paid plan, and two tasks per graduate.

Where a DropFunnels Zap breaks, and how to spot it early

Zapier attaches no help article to DropFunnels and no rate limit is documented for it. What breaks is the general mechanics, and the polling makes some of it more visible.

Four cases come back on funnel and course Zaps. If one has already cost you a morning, start with the Zapier troubleshooting page before you rebuild anything.

  • Past orders never come through

    A Zap only reacts to what happens after you publish it. Orders, leads and members from before stay out, and moving them is a separate job.
  • Access that arrives late

    On the free plan, Zapier checks every 15 minutes. A buyer can wait that long for course access, which a paid plan shortens to 2 or 1.
  • The Zap that sets itself off

    New Course Member Added on a course, Update Course Member writing into that same course: each write is a new member, and the task count drains.
  • A migration that stalls

    Importing a batch of members or leads makes a trigger return a huge batch at once. Zapier's flood protection can hold it back.

DropFunnels Zapier integration: the questions people ask

01Is the DropFunnels Zapier integration free?
Yes, DropFunnels is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and unlimited Zaps, checked every 15 minutes, but each Zap is limited to two steps: one trigger and one action. Add a filter or a second action, like Deactivate Member after Update Course Member, and the Zap becomes multi-step, which requires a paid plan. No price is quoted here because the grids change too often.
02How many tasks does a DropFunnels Zap use?
One task per action that succeeds; the trigger is free. Zapier checking DropFunnels on its timer costs nothing either, however many checks it makes. A Zap from Course Completed to Update Course Member uses one task per graduate, and two if you add Deactivate Member. Watch the Individual Events order trigger: each product of an order can start the Zap, and each of those runs costs its actions. A failed action is not counted.
03Is the DropFunnels integration real time?
No. All 16 DropFunnels triggers are polling triggers: Zapier goes and asks DropFunnels for new items on a timer. That timer is 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. On paid plans you can also run a check by hand from the editor. The type comes from the app itself and cannot be switched in Zapier, so no setting turns these triggers into instant ones.
04What does it take to connect DropFunnels to Zapier?
A DropFunnels account, plus read or write rights on any site, course or funnel you do not own and want the Zap to use. From the Apps page of Zapier, click + Add connection, pick DropFunnels, then sign in on the tab that opens and grant access. Check first that this account holds the sites you need, because every DropFunnels trigger and action asks you to pick a Site, and no step runs without one.
05Why does a DropFunnels Zap handle the same order twice?
Usually because two order triggers watch the same funnel. The Individual Events trigger and the Single Event trigger both cover all products, so running both duplicates every order. All Products and Main Product Only overlap the same way. Pick one trigger per need: Single Event for one record per order, Main Product Only and Upsell/Downsell Only to split them. Zapier itself does not start a Zap twice for an item it has already seen.
06What if the DropFunnels operation you need is not in the list?
Then it is not offered on Zapier today, and no setting will add it. There is no search step and no action to create an order or an appointment, so those paths are closed. Some needs can be covered by combining what exists, such as Update Course Member, which also adds a missing member. If a missing operation is central to your funnel, compare what other platforms offer for DropFunnels before you build.
