What the GoTo Webinar Zapier integration does

It connects your GoTo Webinar account to Zapier, so registrations, attendance and newly scheduled webinars can start automations, and so other tools can register people or create sessions for you. One condition up front: GoTo Webinar is a premium app on Zapier, reserved for paid plans and the free trial.

Three results people set up first. A registration list that fills itself: Create Registrant signs up anyone your form or CRM hands it, without a manual import. A follow-up that knows who showed up: New Attendee passes on only the people who completed the session, so the replay email goes to the right crowd. A series that schedules itself: Create Webinar sets up a single-session webinar from a date and a title kept elsewhere.

Now what it does not do. Every trigger here is checked on a timer, so nothing arrives the instant someone registers. There is no trigger for a cancelled webinar, no action to edit or delete one, and Create Webinar makes single sessions only. And a Zap never looks back: registrants from before you switched it on stay where they are.

You need a paid plan, or the free trial to test. On top of that, the usual rules apply. The trigger never costs a task, and neither do Zapier's checks on your webinars. Each action that completes costs one task, so a Zap that registers each person for two sessions uses two for every person who comes through. Failed actions are not billed. A filter or a search step makes the Zap multi-step, which every paid plan allows.

    In Zapier, open the Apps page of your account and click + Add connection. A connection is your GoTo Webinar account linked once, then reused by every Zap that needs it.

First Zap

Your first Zap: carry part one attendees into part two

    Create the Zap

    From your Zapier dashboard, start a new Zap. The editor opens on the first step, the trigger, which is always where a Zap starts.

    Pick New Attendee

    Choose GoTo Webinar and New Attendee, your connection, then the first session in the Webinar field. Only people who complete it will come through.

  3. 03

    Test on a past session

    Run the test. Zapier brings back the three most recent attendees of that webinar, so pick a session that already took place and choose a real person.

    Register for part two

    Add Create Registrant, select the second session in the Webinar field, and map into the registration fields what the attendee test brought back.

    Add the Q&A session

    Add a second Create Registrant on the Q&A webinar, mapped the same way. Two actions make the Zap multi-step, and each attendee now costs two tasks.

    Test and publish

your calendar knows when a session starts but not which webinar it is in GoTo.
Watch out
the start time must be the exact one; an approximate time will not match.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create if it doesn't exist yet?
    This box turns a search into a find-or-create on apps that offer it. GoTo Webinar offers no find-or-create on Zapier, so its searches only ever find.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first, which is the default, stop the Zap, or pass every match along at once.

GoTo Webinar and Zapier: common questions

01Is the GoTo Webinar Zapier integration free?
No. GoTo Webinar is a premium app on Zapier, which means it is reserved for paid plans and the free trial. The free plan, with its 100 tasks a month and two-step Zaps, cannot use it at all. The trial is a good way to build and test your Zaps first. Once you are on a paid plan, filters and search steps become available too, which matters here since Remove Registrant needs the registrant, and a Find Registrant step is how a Zap looks one up.
02How many tasks does a GoTo Webinar Zap use?
One task for each action that completes, nothing for the trigger. Zapier's checks for new registrants or attendees are free, however often they run. A Zap that registers each new lead uses one task per lead. A Zap that registers each attendee for two sessions uses two per attendee. Failed actions are not counted. For a large webinar, multiply your expected registrants by the number of actions to estimate the bill.
03Does GoTo Webinar trigger Zaps in real time?
No. All three GoTo Webinar triggers are polling triggers: Zapier checks your account for new items on a timer rather than being told the moment they happen. The interval depends on your plan: every 2 minutes on Professional, every minute on Team and Enterprise. The free plan's 15-minute interval does not apply here, since the app is premium. On paid plans you can also trigger a check by hand from the editor.
04What does it take to connect GoTo Webinar to Zapier?
A GoTo Webinar account that organises the webinars you want to automate, and a Zapier account on a paid plan or trial. You add the connection once from the Apps page, sign in to GoTo in the tab that opens and grant access. Several steps then ask you to pick a webinar from a list, and that list only shows what the connected account can see, so connect the organiser account rather than a guest's.
05Why does New Attendee miss people who registered?
Because registering is not attending. New Attendee only passes on people who completed the webinar, which is the moment GoTo Webinar counts them as attendees. Someone who signed up and never joined, or who has not finished the session yet, will not appear. If what you need is everyone who signed up, use New Registrant instead. And as with every trigger, a Zap only sees people from sessions that ended after it was switched on.
06What if the GoTo Webinar action you need is missing?
Start from the list on this page: it covers every visible trigger, action and search for GoTo Webinar on Zapier. There is no action to edit or delete a webinar, no recurring sessions from Create Webinar, and no generic API request step for this app. If the operation you are after is not listed, Zapier cannot do it here.
