What the GPT-trainer Zapier integration does

Plugging GPT-trainer into Zapier gives you two moves, and only two. A visitor fills in the form inside your chatbot, and a Zap starts on its own. Or another app hands a question to your chatbot, and the Zap carries the answer wherever it should go. A Zap is simply the automation you build on Zapier.

A lead in your sales tool. Form Submission starts the Zap as soon as someone completes the chat form, and the next step files that submission where your sales people already work. Nobody copies anything out of the chatbot dashboard.

A first answer written from your own content. Send Message hands your chatbot a question coming from anywhere in the Zap, an email, a ticket, a row, and returns its reply for the next step to file or forward.

A short summary beside each form. Chain the two operations: the form arrives, Send Message asks the bot to restate it in plain words, and the team reads the short version first.

What Zapier does not do for this app: it cannot train the chatbot, change its data sources or fetch past conversations. It also ignores forms sent before your Zap was switched on.     Open Apps and add a connection

    In your Zapier account, go to the Apps page and click + Add connection. A dialog appears: type GPT-trainer in its search box and pick the app from the results.

    Confirm and sign in

    Click Add connection, then sign in to GPT-trainer in the tab that opens. Use the account that owns the chatbot, or one with read or write access to it, or the Zap will never reach that bot.

    Create a new Zap with GPT-trainer and Form Submission as the event. Select your connection and paste the Chatbot UUID of the bot that shows the form on your site.

Zapier ties no help article to GPT-trainer and lists no limit specific to it. The cases below come from how Zapier behaves in general.

    A Zap only reacts to what happens after you switch it on. Forms your chatbot collected earlier stay where they are; moving that backlog is a separate job.
  • A sudden wave of forms gets held back

    When a trigger suddenly returns a huge batch at once, Zapier's flood protection can hold those runs back rather than fire them all in one go.
  • The filter lets nothing through

    Filter rules are typed. A number rule set on a text value never passes, so the Zap looks dead while forms keep arriving. Match the rule to the value.
  • Forms from another bot are ignored

    The trigger watches the chatbot whose UUID you pasted, and no other. A typo, or the UUID of a test bot, means real forms never reach the Zap.

So the free plan works for a simple handoff, not for a filtered or chained flow.
02How many tasks does a GPT-trainer Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that starts on Form Submission and posts to one other app costs one task per form received. Insert Send Message to summarize each form first and every submission now costs two tasks, since each successful action is counted on its own. A failed action is not billed. Because a Zap only reacts to events that happen after it is published. Every form your GPT-trainer chatbot collected before that moment is left out. The trigger test does bring back the three most recent submissions, but only so you can map fields on a real example, not to import them. If those earlier forms matter, moving them is a separate job outside this Zap. Once the Zap is on, each new submission reaches Zapier instantly, provided the Chatbot UUID points to the bot that actually shows the form.
06What if the GPT-trainer operation you want is missing?
Then this integration does not offer it today. Zapier lists exactly two GPT-trainer operations, the Form Submission trigger and the Send Message action, and no search. Training the bot, editing its sources or pulling conversation history are not on that list. The practical route is to build around what exists.
