Overview

What the GrowSurf Zapier integration actually does

It wires your GrowSurf referral program into the rest of your tools. A GrowSurf event (a signup, a reward, a campaign closing) starts an automation on Zapier, which then writes or sends something in another app. It also works the other way round: one action lets another app credit a referral inside GrowSurf.

Three results come up again and again. A pipeline that fills itself: New Participant fires when someone joins or is referred into a campaign, and the Zap creates the matching contact in your CRM. A reward that someone actually delivers: New Participant Reward fires when a participant unlocks a reward, so the Zap can hand it to whoever handles payouts. A referral credited at the right moment: Trigger Referral lets a payment or a signed deal in another app award credit to the referrer, with nobody doing it by hand.

What Zapier does not do here matters just as much. There is no search step, so a Zap cannot look up an existing participant before acting. There is a single action, and it neither creates participants nor edits rewards: it credits a referral for someone already in the campaign with a referrer assigned. The third trigger, Campaign Ended, covers the end of a program and nothing in between.

Still choosing a platform? The GrowSurf Make integration covers the same app on Make, and Make vs Zapier is the next read if the tool itself is undecided.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every Zapier screen. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap. Here it is a GrowSurf event, such as a new participant or an unlocked reward.
Action
What the Zap does once it has started: the step that writes, sends or updates something for you in an app.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan counts those every month.
Instant vs polling trigger
An instant trigger is reported by the app the moment it happens. A polling one is checked by Zapier on a timer. GrowSurf only has instant ones.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Connection
Your GrowSurf account, linked to Zapier once and then reused by every step that talks to GrowSurf.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns a Zap into one, and it then needs a paid plan.
Cost

What GrowSurf costs you in Zapier tasks

GrowSurf is not a premium app, so it runs on the free plan. You pay in tasks, and only some steps use them.

  • Free plan tasks100 per month
  • Free plan Zap size2 steps: 1 trigger, 1 action
  • Premium appNo, works on Free
  • GrowSurf triggers3 instant, 0 polling

The trigger never costs a task, however many people join. Each action that succeeds counts once: a three-action Zap uses three times what a one-action Zap uses, and a failed action is not billed. The free plan gives 100 tasks a month and builds two-step Zaps only. Add a filter to keep one kind of reward and the Zap goes multi-step, which means a paid plan. The polling grid below never applies to GrowSurf, since all its triggers are instant.

Connect

Connect your GrowSurf account to Zapier

  1. 01

    Open the Apps page

In Zapier, open the Apps page of your account and click + Add connection. Have your GrowSurf login ready, with access to the campaigns the Zap is going to work on.

  2. 02

    Find GrowSurf and confirm

Type GrowSurf in the search box of the dialog, pick it from the results, then click Add connection. A new tab opens on the GrowSurf side for the sign-in.

  3. 03

    Sign in and grant access

Sign in to GrowSurf in that tab and allow Zapier to reach the account. The connection is saved, and every GrowSurf step in every Zap reuses it from then on.

First Zap

Your first Zap: unlocked rewards posted to Slack

GoalWarn the payouts team in Slack whenever a participant unlocks a reward, but only for the rewards that need a manual payout.

  1. 01

Create the Zap and set the trigger

Start a new Zap, choose GrowSurf as the app and New Participant Reward as the event. Select your GrowSurf connection, then pick the campaign the rewards belong to.

  2. 02

Test it on a real reward

Run the test. Zapier brings back the three most recent items from your account, so pick a real one and note the value that sets the manual-payout rewards apart.

  3. 03

    Add the filter

Click the plus icon and add Filter. Fill its three boxes: the field holding that value, a rule of the matching type (text or number), and the value to compare with.

  4. 04

    Add the Slack action

Add Slack with Send Channel Message, choose the payouts channel and map the participant details from the trigger into the message. Test the step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. The filter makes it a multi-step Zap, so this one runs on a paid plan, not on the free one.

Triggers

GrowSurf triggers in Zapier

3 events start a Zap when something happens in GrowSurf, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Campaign Ended

Instant trigger

In Zapier“Triggers when a campaign ends.”

A GrowSurf campaign reaches its end, and Zapier hears about it. That moment is the cue for everything that should follow a closed program: the wrap-up, the review, the handover to whoever reports on results.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
post a closing note in the marketing channel, or open a review task in your project tool so someone compares results while they are still fresh.
Watch out
the campaign is a required choice, and a campaign that ended before the Zap was published will never start it.
2

New Participant

Instant trigger

In Zapier“Triggers when a new participant is added or referred to your campaign.”

Whenever someone joins a campaign, or gets referred into it by an existing participant, GrowSurf passes the newcomer to Zapier. Both routes land in this one trigger, so direct signups and referred ones arrive side by side.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add each new participant to your CRM or newsletter list, so sales and marketing watch the program grow without exporting a file.
Watch out
pick the right campaign in the required field; people who joined before the Zap went live are not sent over.
3

New Participant Reward

Instant trigger

In Zapier“Triggers when a participant unlocks a reward (Important: If you have a double-sided reward, or if you have manual reward approval enabled, you must use a Zapier Filter).”

When a participant unlocks a reward, GrowSurf tells Zapier, and the Zap can act on it: alert the person who sends gifts, log the payout, thank the referrer. Of the three triggers, this is the one closest to money.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
route each unlocked reward to the team or tool that delivers it, so nobody has to keep checking GrowSurf.
Watch out
GrowSurf states that a double-sided reward, or manual reward approval, requires a Zapier filter after this trigger, and that filter makes the Zap multi-step.
Actions

GrowSurf actions in Zapier

GrowSurf gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Trigger Referral

Action

In Zapier“Triggers a referral using an existing referred participant's email address or ID, awarding referral credit to their referrer.”

Another app tells GrowSurf that a referral has converted, and GrowSurf credits the referrer. The referred participant is identified by email address or ID.

When to use it
a referred customer pays in your billing tool or signs in your CRM, and the referrer gets the credit right then.
Watch out
the referred participant must already be in the campaign with a referrer assigned, otherwise there is nobody to credit.
When it breaks

When a GrowSurf Zap breaks

Zapier links no help article to GrowSurf. The known failures are Zapier's own limits plus what the GrowSurf operations require.

Four cases to check before blaming the connection. Three come from how Zapier works, one from GrowSurf's own rules on rewards. If none fits, the Zapier troubleshooting page is the next stop.

  • Nothing from before is picked up

A Zap reacts only to events after it is published. Participants, rewards and campaigns from earlier are never sent, and moving them over is a separate job.
  • A reward that needs a filter

GrowSurf asks for a Zapier filter on New Participant Reward with double-sided rewards or manual approval. Skipping it ignores the app's own instruction; adding it means a paid plan.
  • Trigger Referral with no referrer

The action credits a referrer. When the referred participant has no referrer assigned, there is simply nobody for GrowSurf to credit.
  • A sudden flood of participants

After a bulk import or a migration, a trigger can send a huge batch at once. Zapier's flood protection may hold that batch back rather than run every event.

FAQ

GrowSurf and Zapier: common questions

01Is the GrowSurf Zapier integration free?
Yes, on the free plan, as long as the Zap stays at two steps. GrowSurf is not a premium app, so its triggers and its action are open without paying Zapier. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap holds one trigger and one action. Add a filter, a second action or a search, and the Zap becomes multi-step, which requires a paid plan. GrowSurf's own subscription is a separate matter, and this page does not cover its pricing.
02How many Zapier tasks does a GrowSurf Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that sends each new participant to your CRM uses one task per participant. If it also posts to Slack, that becomes two tasks per participant. Failed actions are not counted, and Zapier waiting for GrowSurf events costs nothing, however busy the campaign gets. Watch a referral program that suddenly takes off, though: every new participant turns into at least one task against the 100 included on the free plan.
03Does GrowSurf work in real time on Zapier?
Yes. All three GrowSurf triggers are instant: GrowSurf calls Zapier as soon as the event happens, and the Zap starts at once. That holds on every plan, the free one included, so the 15-minute check that slows polling triggers on Free never touches a GrowSurf Zap. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it. Later steps still take their own time to run.
04What does it take to connect GrowSurf to Zapier?
A GrowSurf account and a Zapier account. From the Apps page in Zapier you add a connection, find GrowSurf, sign in on the GrowSurf side and grant access. If someone else owns the campaigns you want to automate, you need read or write access to them. Every GrowSurf operation also asks for a campaign, so at least one should exist before you build, and Trigger Referral only works on participants who already have a referrer assigned.
05Why does New Participant Reward need a Zapier filter?
Because GrowSurf says so for two setups: double-sided rewards and manual reward approval. In both cases a Zapier filter has to sit right after the trigger, so the Zap only acts on the reward events you actually want. Run the trigger test, find the value that sets your reward apart, and use it as the condition. Keep in mind that the filter turns the Zap into a multi-step one, which requires a paid Zapier plan.
06What if the GrowSurf operation you want is missing from Zapier?
Then this integration cannot do it, and no setting will make it appear. The GrowSurf app on Zapier offers three triggers and one action, with no search step, so a Zap can neither look up nor edit a participant. Check the list on this page before designing a workflow around a missing step. Another platform may expose different GrowSurf operations, so compare before committing to a Zap that cannot be finished.
07Zapier, Make or n8n for GrowSurf?
It depends on your criteria, not on a universal winner. On Zapier, GrowSurf offers three instant triggers and one action, it is not a premium app, and a two-step Zap runs on the free plan with 100 tasks a month. A filter or a second action means a paid plan. If those terms fit, Zapier is a short route. If the workflow needs something GrowSurf does not offer on Zapier, such as a search, check what the other platforms list for the same app before choosing.
