Notyfile Zapier integrationAutomate Notyfile with Zapier.
The Notyfile Zapier integration gives you 9 triggers, 11 actions and 2 searches. All nine triggers are instant: a new order or a lost prospect in your CRM starts the Zap at once, even on the free plan, and Notyfile is not a premium app.

What the Notyfile Zapier integration does for a sales team
The Notyfile Zapier integration links your sales CRM to the other tools your team uses, without code. Zapier watches for an event in Notyfile, such as a new order or a lost deal, and then writes, creates or posts something for you, in Notyfile or in another app.
Three results come up again and again. First, no order slips through: New Order or Completed Order fires, and the Zap pushes the order to your invoicing or shipping tool. Second, leads arrive already filed: a form in another app feeds Create Customer, then Create Contact attaches the person who filled it in. Third, the team hears about wins and losses: Lost Prospect or Activated Customer fires, and Post to Feed or Create Task makes sure somebody acts on it.
The good news for anyone on a free plan: every Notyfile trigger is instant. Notyfile tells Zapier itself, so the plan's checking interval never slows these Zaps down.
What the integration does not do matters as much. There is no delete step, so nothing gets cleaned up for you. There is no trigger for a new case or a new task, only for customers, prospects, orders and meetings. And Notyfile offers no update step for orders or agreements, only Update Case. If you weigh other tools, start with the Make vs Zapier and n8n vs Zapier comparisons.
Zapier vocabulary in one minute
Eight words carry the whole page. Read them once and the rest makes sense.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap, like a new order in Notyfile. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, creates or posts something for you, here or in another app.
- Task
- The unit Zapier bills. One task equals one action that completed successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app the moment the event happens. All Notyfile triggers are instant.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
- Search step
- A step that looks up something that already exists, such as a Notyfile customer, so later steps can use what it found.
- Connection
- Your Notyfile account linked to Zapier once, then reused by every step of every Zap that touches Notyfile.
What a Notyfile Zap really costs
Zapier bills actions, never triggers. Notyfile is not a premium app, so it works from the free plan.
- Free plan100 tasks a month, two-step Zaps only
- TriggerNever costs a task
- Premium appNo, available on every plan
Each action that succeeds is one task; a failed action is not counted. Watching Notyfile costs nothing, however many orders or prospects come in. The catch: the free plan stops at two steps, one trigger and one action. A second action, a filter or a search makes it a multi-step Zap, and that needs a paid plan. The interval grid below only concerns polling triggers. Notyfile has none, so the plan you pick never changes how fast these Zaps start.
Connect Notyfile to Zapier in three steps
- 01
Open the connections page
In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box: type Notyfile and pick it from the list of results.
- 02
Sign in to Notyfile
Click Add connection. A new tab opens on Notyfile: sign in with the account the Zaps should act for. You need your own Notyfile account, plus access to any record you do not own.
- 03
Grant access and reuse it
Allow Zapier to reach the account. The connection now shows up in every Zap step that uses Notyfile, so you set it up once and pick it from a list afterwards.
Your first Notyfile Zap: a task for every promising prospect
GoalEvery new prospect in Notyfile that matches your condition gets a follow-up task, so no lead waits for someone to notice it.
- 01
Create the Zap
Start a new Zap, pick Notyfile as the app that starts it, and choose New Prospect as the event. Select the connection you added earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent prospects from your account, so you map the next steps on a real record instead of a blank one.
- 03
Add the filter
Click the plus icon and add Filter. Pick a field, a rule and a value. Choose a text rule for text: a mismatched type is why a filter never lets anything through.
- 04
Add the action
Add Notyfile again and choose Create Task. Fill the required Body with the prospect's name and source, mapped from the trigger, then test this step on its own.
- 05
Publish
Click Publish to switch the Zap on. Remember the filter makes it a multi-step Zap, so this one runs on a paid plan. On the free plan, drop the filter.
The 9 Notyfile triggers
9 events start a Zap when something happens in Notyfile, and 9 of them are instant: the app calls Zapier straight away, whatever your plan.
Activated Customer
Instant triggerIn Zapier“Triggers when a customer is activated.”
Starts your Zap the moment a customer record switches to active in Notyfile. It marks the point where a prospect becomes someone you actually serve, which is often when other teams need to hear about it.
Completed Order
Instant triggerIn Zapier“Triggers when an order is completed”
Fires when an order reaches its completed state in Notyfile. This is the end of the order's life, not the start, so it suits anything that should happen only once the deal is truly done.
Lost Prospect
Instant triggerIn Zapier“Triggers when a prospect is lost.”
Reacts when a prospect is marked as lost. Few teams look back at lost deals in time, and this trigger hands each one to a step that can do something about it.
New Customer
Instant triggerIn Zapier“Triggers when a new customer is created.”
Runs each time a customer record is created in Notyfile, whoever created it. It is the broadest customer trigger of the set, so it catches records added by hand and by other automations alike.
New Meeting
Instant triggerIn Zapier“Triggers when a new meeting is created”
Kicks off when someone books a new meeting in Notyfile. Sales meetings are the moments a team prepares for, and this trigger gives you a hook right when one lands in the calendar.
New Order
Instant triggerIn Zapier“Triggers when a new order is created.”
Goes off as soon as an order is created in Notyfile, before anyone processes it. Use it when speed matters most, since it fires before Processed Order and Completed Order.
New Prospect
Instant triggerIn Zapier“Triggers when a new support prospect is created.”
Catches every prospect added to Notyfile. For a sales team this is the top of the pipeline, and the faster someone reacts to a fresh lead, the better the odds of a reply.
Processed Order
Instant triggerIn Zapier“Triggers when an order is processing”
Signals the middle stage of an order: Notyfile has moved it into processing. It sits between New Order and Completed Order, which makes it the right moment for work that must start before delivery ends.
Updated Customer
Instant triggerIn Zapier“Triggers when an customer is updated.”
Responds to any change on an existing customer record in Notyfile. It keeps other tools in step with the CRM after the record already exists, which New Customer cannot do.
The 11 Notyfile actions
Notyfile gives you 11 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Agreement
ActionIn Zapier“Creates Agreement / Prospect”
Opens an agreement in Notyfile, which also serves as a prospect record. It turns an outside signal, a signed form or a booked demo, into a deal your team can follow.
Create Agreement Note
ActionIn Zapier“Creates a note on an agreement”
Adds a written note to an existing agreement, so the history of a deal stays in one place instead of scattered across inboxes.
Create Case
ActionIn Zapier“Creates a case!”
Opens a case in Notyfile from whatever happened elsewhere. Only a description is required, so it is one of the easiest actions to wire up.
Create Contact
ActionIn Zapier“Creates a contact”
Attaches a person to a customer that already exists in Notyfile. The customer comes first, the contact second.
Create Customer
ActionIn Zapier“Creates / Activates a customer”
Creates a customer in Notyfile, or activates one that is already there. That double role makes it the usual entry point for companies arriving from other tools.
Create Customer Note
ActionIn Zapier“Creates a customer note”
Writes a note on a customer record, keeping context visible to anyone who opens the account.
Create Document Draft
ActionIn Zapier“Creates a document draft from a template”
Builds a draft document from one of your Notyfile templates, for a given customer. Someone still reviews it, but the blank-page work is done.
Create Order
ActionIn Zapier“Creates an order”
Places an order on a customer in Notyfile, from a sale recorded somewhere else.
Create Task
ActionIn Zapier“Creates a task”
Puts a to-do in Notyfile, so a person picks up what the Zap cannot finish alone.
Post to Feed
ActionIn Zapier“Post something to feed”
Publishes a message in the Notyfile feed, where the whole team sees it without opening another app.
Update Case
ActionIn Zapier“Updates an case”
Changes a case that already exists in Notyfile, the only update action the app offers.
The 2 Notyfile searches
2 search steps look for data that already exists in Notyfile, so a later step can use it.
A search step finds a record that already exists so the next steps can use it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Notyfile offers no find-or-create variant, so a missing record is never created for you. Three settings decide what happens next.
Find Customer
SearchIn Zapier“Finds a customer by email”
Looks up a Notyfile customer from an email address and hands the record to the steps that follow, so nobody retypes customer details.
Find User
SearchIn Zapier“Finds a specific user”
Finds a member of your Notyfile account by email, so a later step can assign work to the right colleague.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking it turns a search into find-or-create. Notyfile does not offer this variant, so the box does not apply to these two searches.
- If multiple search results are found?Keep the first match, which is the default, stop the Zap, or pass every match on at once.
When a Notyfile Zap breaks
Zapier links no help article to Notyfile, so the traps below are the general ones that hit a CRM integration hardest.
Most broken Notyfile Zaps fail for one of these four reasons. Each comes with a fix you can apply in the editor. If one keeps resisting, head to the Zapier troubleshooting page.
Old records are never picked up
A Zap only reacts to what happens after you publish it. Customers and orders already in Notyfile stay where they are; moving them is a separate job.The Zap triggers itself in a loop
Write to a customer from a Zap built on Updated Customer and the change fires the trigger again. Tasks drain fast. Add a filter or point the action elsewhere.A bulk import gets held back
Import hundreds of customers at once and Zapier's flood protection can hold the batch instead of running one Zap per record. Plan imports outside your live Zaps.Find Customer finds nobody
By default a search that comes back empty stops the Zap there, and the steps after it are skipped. Switch on the setting if the Zap should continue anyway.
