Overview

What the Noty.ai Zapier integration does after your meetings

Noty.ai is an AI meeting assistant: it transcribes your calls, writes a summary and pulls out the tasks people agreed on. Connected to Zapier through a Zap (an automation you set up once that then runs on its own), it sends those three outputs to your other apps as soon as each one exists. It only sends; nothing goes back in.

Three results that save the most follow-up time.

To-dos that land in the task list. Todo Items Created fires when a meeting ends with action items, and the Zap turns them into tasks in your project tool. The "who does what" from the call doesn't depend on anyone's memory.

A summary in the channel. Summary Created sends the meeting summary to your team chat or your CRM, so people who missed the call read a short recap instead of watching a recording.

A full transcript archive. Conversation Finished passes the whole transcript as soon as the conversation ends, ready to file in a shared folder or a document per client.

What Zapier can't do with Noty.ai: there are no actions and no search step. A Zap can't start a recording, edit a summary, mark a to-do as done or look up an older meeting. Noty.ai only ever opens a Zap, the next steps happen in other apps. The good news is that all three triggers are instant, so no plan's polling interval delays them.

Vocabulary

Zapier vocabulary in one minute

Seven words come back across this page. One plain line each.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap, like a new summary in Noty.ai. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, in another app here.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's monthly allowance is counted in tasks.
Instant vs polling
An instant trigger is pushed by the app the moment the event happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it the rest of the time.
Connection
Your Noty.ai account linked to Zapier once, then reused by every Zap that starts from a Noty.ai meeting.
Cost

What Noty.ai Zaps cost in tasks

Noty.ai isn't a premium app, so it works on Zapier's free plan. The bill is in tasks, and only completed actions count.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap size on Free2 steps: one trigger, one action
  • Noty.ai triggers3 of 3 instant, no waiting
  • Premium appNo, Noty.ai works on Free

The Noty.ai trigger itself is free: a finished meeting, a summary or a batch of to-dos arriving costs nothing. What costs is what you do with it in other apps: each action that succeeds is one task. Posting a summary to chat is one task per meeting; posting it and filing it in a folder is two. Failed actions aren't billed. The free plan only builds two-step Zaps, one trigger and one action, so a filter or a second destination needs a paid plan. All three triggers are instant, so the polling grid below never applies.

Connect

Connect Noty.ai to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. You'll need a Noty.ai account already in use, with the meetings you want the Zap to pick up.

  2. 02

    Pick Noty.ai

Search for Noty.ai in the dialog, select it, then click Add connection. A new tab opens on the Noty.ai side, where you sign in with your usual account.

  3. 03

    Sign in and grant access

Log in to Noty.ai in that tab and allow Zapier in. The connection is stored in your list, and every Zap starting from Noty.ai reuses it without asking again.

First Zap

Your first Zap: meeting summaries in the team chat and a log

GoalWhen Noty.ai writes a meeting summary, post it in the team chat and keep a line per meeting in a shared spreadsheet.

  1. 01

    Build: start from Noty.ai

Create a Zap, pick Noty.ai and the Summary Created event, then your Noty.ai connection. The trigger is instant: the Zap starts as soon as a summary is generated.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent summaries from your account. Pick a real meeting so the next steps are mapped on actual text, not an empty sample.

  3. 03

    Post it in chat

Add your team chat as the first action and map the summary into the message, with the meeting title on top so people know which call it covers.

  4. 04

    Log it in a sheet

Add a second action that writes one row per meeting in a shared spreadsheet. This makes the Zap multi-step, which needs a paid plan, and each meeting now costs two tasks.

  5. 05

    Test, then publish

Test both actions, check the message and the row, then click Publish to switch the Zap on. Meetings summarized before that moment won't be sent.

Triggers

Noty.ai triggers in Zapier

3 events start a Zap when something happens in Noty.ai, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Conversation Finished

Instant trigger

In Zapier“Triggers when a conversation is finished and sends the conversation transcript.”

Starts the Zap when a conversation ends in Noty.ai, and hands over the full transcript of what was said. It's the raw material, before any summary.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
archive every transcript in a client folder, or send interviews to a colleague who needs the exact wording rather than a summary.
Watch out
a long call means a long transcript, so check that the app receiving it accepts that much text in one field.
2

Summary Created

Instant trigger

In Zapier“Triggers when a new conversation summary is generated.”

Fires each time Noty.ai generates a new summary of a conversation, so your Zap gets the short version that most people will actually read.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post the recap in the team channel after a team meeting, or attach it to the client record in your CRM.
Watch out
only summaries generated after you publish the Zap are sent; earlier meetings stay in Noty.ai.
3

Todo Items Created

Instant trigger

In Zapier“Triggers when a conversation is finished and todo items are created.”

Goes off when a conversation is over and Noty.ai has listed the to-do items that came out of it, ready to turn into real tasks.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
create tasks in your project tool after a client kickoff, so commitments made on the call get an owner.
Watch out
a meeting with no agreed actions produces nothing to send, so don't read a quiet Zap as a broken one.
When it breaks

When it breaks

Zapier links no help article to Noty.ai, and no Noty.ai-specific limit is documented. The cases below are the general ones that apply to any Zap, seen through meeting notes.

Three situations account for most surprises. When a run fails, the Zapier troubleshooting guide shows how to read the Zap history and find the step that broke.

  • Past meetings stay behind

A Zap only reacts to what happens after it's published. Transcripts, summaries and to-dos from earlier meetings are never sent; moving them is a separate job.
  • Two destinations on Free

The free plan stops at one trigger and one action. Sending a summary to chat and to a spreadsheet at once makes the Zap multi-step, so it needs a paid plan.
  • A big batch held back

When a huge batch arrives at once, after importing a backlog of recordings for example, Zapier's flood protection can hold the runs back instead of processing them all.

FAQ

Noty.ai Zapier integration: common questions

01Is the Noty.ai Zapier integration free?
Yes. Noty.ai isn't a premium app on Zapier, so it works on the free plan, which gives 100 tasks a month and unlimited Zaps. Each free Zap is limited to two steps: one Noty.ai trigger and one action in another app. Sending each summary to your team chat fits. As soon as you add a filter, a second destination or any extra step, the Zap becomes multi-step and needs a paid plan. You also need your own Noty.ai account.
02How many tasks does a Noty.ai Zap use?
One task per action that completes in the apps you send data to. The Noty.ai triggers themselves cost nothing, and neither does Zapier waiting for them. A Zap that posts each summary to chat uses one task per meeting. Turning to-dos into tasks in a project tool costs one task per action that runs. Failed actions aren't counted. A team with many daily calls should estimate meetings per month against the 100 free tasks.
03Are Noty.ai triggers real time?
Yes. Conversation Finished, Summary Created and Todo Items Created are all instant: Noty.ai tells Zapier as soon as the event happens, and the Zap starts right away whatever your plan. The polling intervals, from 15 minutes on Free down to one minute on Team and Enterprise, don't apply. In the editor, an instant trigger shows a lightning bolt. The summary and to-dos still depend on Noty.ai finishing its own processing after the call.
04What do you need to connect a Noty.ai account?
A Noty.ai account and a Zapier account. In Zapier, open Apps, click + Add connection, search for Noty.ai, then click Add connection. Sign in to Noty.ai in the tab that opens and grant access. Before building, make sure the account has at least one recorded meeting: testing a trigger brings back the three most recent items, and an empty account leaves you nothing to map from. The connection is reused by every Zap.
05Why can't a Zap send anything back to Noty.ai?
Because Noty.ai offers no actions on Zapier, only three triggers. A Zap can start from a finished conversation, a new summary or new to-dos, but it can't create a meeting, edit a summary or tick off a to-do inside Noty.ai. Everything after the trigger happens in other apps. If you need changes to flow back, plan to make them by hand in Noty.ai, or keep the follow-up in your task manager instead.
06What if the Noty.ai operation you need isn't there?
On Zapier, Noty.ai has 3 triggers and no actions or searches. A Zap can't look up an older meeting, start a recording or change anything inside Noty.ai. When the move you want is missing, check whether another app in your Zap can do the job, or handle that part manually. If your meeting workflow spans several tools and teams, a Zapier agency can help map what's realistic to automate. Start small.
07Zapier, Make or n8n for Noty.ai?
Decide by criterion, not by brand. Zapier gives Noty.ai 3 instant triggers and a guided setup, which suits a team that wants summaries and to-dos flowing into other tools quickly. If one meeting should feed several apps, the free plan's two-step limit means a paid plan, so compare that cost with the same setup on Make, and weigh n8n on the same criteria: how many apps each meeting feeds and what each step costs.
