What the HeyGen Zapier integration does for your video pipeline

Zapier connects apps without code. The HeyGen Zapier integration lets HeyGen report what happens to your videos (rendered, failed, translated) and lets other steps order new videos, translations, voices and avatars from your HeyGen account. You set it up once, and every new video follows the same path.

Three uses stand out in the list of operations.

Videos that ship without a human in the loop. Create a Video From Template fills a template you designed in HeyGen, and New Avatar Video Event (Success) tells the next step when the file is ready. Think course modules, onboarding clips for new SaaS users, or a personal hello for each sales lead.

The same video, in more languages. Translate a Video sends one source file out to one or several target languages, and New Video Translate Event (Success) picks up each finished version.

Failures you hear about. New Avatar Video Event (Fail) and New Video Translate Event (Fail) turn a silent rendering error into an alert, before a customer asks where their video went.

What Zapier does not do here: it offers no search step for HeyGen, so finding an existing video goes through read actions such as List Videos, and each one that succeeds counts as a task. Long jobs like a lipsync are also started by one action and checked by another; the Zap does not sit and wait. A Zap never reaches back for videos made before it was switched on.

The trigger never costs a task, and Zapier listening for new events costs nothing either. Each action that completes is counted on its own: a Zap that fetches a status and then a link uses two tasks per video. An action that fails is not counted. The free plan stops at two steps, one trigger and one action, so a filter or a second action calls for a paid plan. The interval grid below applies to polling triggers only; every HeyGen trigger is instant, so it does not apply here.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You only need a HeyGen account, plus access to anything in it you do not own but want the Zap to use.

    Type HeyGen in the search box of the dialog that opens, select it in the results, then click Add connection. A new tab opens on the HeyGen side for the next step.

When the HeyGen Zap breaks

With HeyGen, most traps come from timing.

Rendering, translating and lipsyncing take time on HeyGen, and Zapier steps run one after the other without waiting. Here are the cases to plan for. For a Zap already misbehaving, our Zapier troubleshooting page is the next stop.

  • A link for a video that is not ready

    Retrieve Shareable Link for a Video needs a fully processed video. Start that Zap from the Success trigger, never right after a create action.
  • Lipsync looks stuck

    Create Lipsync only starts the job. Get Lipsync reads its state at that moment, so a check that runs too early simply reports that it is not completed yet.
  • The Zap that feeds itself

    A Zap started by a finished video that then creates another video will fire again on that one, and burn through your tasks fast.
  • Old videos are ignored

    A Zap only reacts to events after it is switched on. Videos rendered before that are never picked up; moving the backlog is a separate job.
  • Upload refused

    Upload an Asset accepts files up to 32 MB in a short list of formats. A larger file or another format will not go through.
  • A sudden flood of events

    A huge batch at once, after a large batch of renders for instance, can be held back by Zapier flood protection instead of running straight through.

HeyGen and Zapier: your questions

01Is the HeyGen Zapier integration free?
Yes, HeyGen is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks per month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. The moment you add a filter or a second action, for example a status check before a link, the Zap becomes multi-step and needs a paid plan. On the HeyGen side, rendering uses credits; the test mode of the template action skips them but adds a watermark.
02How many tasks does a HeyGen Zap use?
One task per action that completes, and nothing for the trigger. A Zap that reacts to a finished video and fetches its shareable link uses one task per video. Add a status check in between and it becomes two. Actions that fail are not counted. Read actions such as List Videos or Get Lipsync count like any other action, so a flow that checks a job several times pays for each check. Zapier listening for HeyGen events costs nothing.
03Does HeyGen trigger Zaps in real time?
Yes. All six HeyGen triggers are instant: HeyGen tells Zapier the moment a video renders, fails or finishes translating, and the Zap starts right away whatever your plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) only concerns apps that Zapier has to check on a timer, so it does not apply here. In the editor, an instant trigger shows a lightning bolt. When you test one of them, Zapier brings back the three most recent items of your account so you map on a real video.
04What does it take to connect HeyGen to Zapier?
A HeyGen account, and access to any content in it that you do not own but want the Zap to use. On Zapier, open Apps, click + Add connection, pick HeyGen, then sign in to HeyGen in the tab that opens and grant access. Some actions need things ready beforehand: a template for Create a Video From Template, a public HTTPS link for translation and lipsync, and a completed motion look for upscaling or sound effects.
05Why does the HeyGen shareable link step fail?
A likely cause: the video was not finished yet. Retrieve Shareable Link for a Video only works on a video that HeyGen has fully processed and that belongs to your account. Placed right after a create action in the same Zap, nothing guarantees the render is done when the step runs. Split the flow in two: one Zap creates the video, a second Zap starts on New Avatar Video Event (Success) and fetches the link. Both Zaps stay within the free two-step limit.
06What if the HeyGen action you want is not in the list?
Check the 32 actions first, since they cover video creation, templates, translation, lipsync, avatars, voices, uploads and status reads. There is no search step for HeyGen, so looking up an existing video goes through List Videos, filtered by folder or title. If a capability is truly missing from that list, the flow is worth scoping with someone who builds these automations for a living. Keep in mind that each successful List Videos run counts as a task, like any other action.

It depends on your criteria rather than on a winner. Zapier gives you six instant HeyGen triggers and 32 ready-made actions with no code, and its free plan is enough for two-step Zaps.
