Overview

What the Instapage Zapier integration actually does

It connects your Instapage landing pages to the rest of your tools. Someone submits a form on a page, Instapage tells Zapier right away, and Zapier hands the answers to whatever app you pick next. That is the whole deal: a lead goes in on one side and shows up somewhere useful on the other.

Three results people usually build with the single Form Submission trigger:

A contact in your CRM. The form answers become a new record in HubSpot or a similar tool, so sales never works from an export.

A ping for the team. Each submission posts a short message in a chat channel, which matters when a demo request should get a reply the same hour.

A running list. Every lead gets appended to a spreadsheet row, handy when a client wants to see raw numbers per campaign.

Now the part the app page skips. Zapier offers no action and no search for Instapage. A Zap cannot build a page, change a page, or pull up an old lead from Instapage. Data only flows out, and only for forms filled in after the Zap goes live (older submissions stay where they are).

Want to see the same app on another platform? There is an Instapage Make integration page, and the Make vs Zapier comparison lays the two side by side.

Vocabulary

Zapier words in one minute

Seven terms come back all over this page. Here they are in plain English.

Zap
The automation itself. On this page: a form gets submitted on an Instapage page, then one or more steps run, every single time.
Trigger
The event that starts the Zap, which Zapier waits for once the Zap is on. Instapage offers exactly one: a form submission.
Action
The step that does the work after the trigger: creating the CRM contact, posting the Slack message, adding the row.
Task
What Zapier bills. One task is one action that finished without error, and your plan counts those.
Polling vs instant
Polling means Zapier checks the app on a timer. Instant means the app calls Zapier itself the moment something happens.
Filter
A gate between steps. A lead goes through only if what it carries meets your condition; anything else stops there.
Connection
Your Instapage account, linked to Zapier one time. Every Zap you build afterwards reuses it instead of asking you to log in again.
Cost

What it really costs

Instapage is not a premium app, so the free plan can run it.

  • Premium appNo
  • Free plan100 tasks a month, two-step Zaps
  • Trigger cost0 tasks
  • Trigger typeInstant

The trigger itself costs nothing, however many forms come in. You pay in tasks, one per action that succeeds, and a failed action is not billed. The free plan gives you 100 tasks a month but only two-step Zaps: one trigger, one action. Add a filter or a second action and you need a paid plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not apply here: this trigger is instant.

Connect

Connect Instapage to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need an Instapage account before you start, plus access to anything you do not own yourself but want the Zap to touch.

  2. 02

    Find Instapage

Type Instapage in the search box of the dialog, select it, then click Add connection. A new tab then opens on the Instapage side for the rest of the setup.

  3. 03

    Sign in and allow access

Log in to Instapage in that tab and grant Zapier access to the account. The connection is saved once and every future Zap that uses Instapage picks it up.

First Zap

Your first Zap: demo requests to HubSpot and Slack

GoalA SaaS team sends demo requests from a landing page to HubSpot, then warns sales in Slack, but only for leads that picked a company size.

  1. 01

    Pick the trigger

Create a Zap, choose Instapage as the starting app and Form Submission as the event. Select your connection, then the Page that holds the demo form.

  2. 02

    Test with a real lead

Run the trigger test. Zapier brings back the three most recent submissions of the account, so you map fields on a real answer and spot the exact name of each form field.

  3. 03

    Add the filter

Click the plus icon, add Filter, and set the field you spotted in the test, a rule, and a value. Use a text rule on a text answer, or it never passes.

  4. 04

    Add HubSpot and Slack

Add the HubSpot step, map email and name from the form, then a Slack step with a short message. Each step that succeeds counts as one task.

  5. 05

    Test, then publish

Test each step once and read what came back. When it all looks right, click Publish to switch the Zap on. With a filter and two actions, this Zap needs a paid plan.

Triggers

The Instapage trigger

1 event starts a Zap when something happens in Instapage, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Form Submission

Instant trigger

In Zapier“Triggers when a new form is submitted.”

A visitor fills in the form on one of your Instapage pages, and the Zap starts with every answer they typed ready to map into the next step. It is the only door out of Instapage on Zapier, so every Zap for this app begins here.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a paid ad campaign sends traffic to a page and each lead should hit your CRM before a rep even opens it.
Watch out
you must pick one Page per trigger, and with an A/B test running, map only fields common to both forms into required fields downstream.
When it breaks

When it breaks

No help article on Zapier covers Instapage, so nothing here is specific to the app: these are the general Zapier limits.

They still bite on a lead form. Here is what to watch.

  • Old leads never show up

Your Zap ignores every lead captured before you published it. Last month's campaign stays in Instapage; bringing it over is a separate job.
  • A sudden flood gets held back

A huge batch of submissions landing all at once, after a bulk import for example, can be held back by Zapier's flood protection.
  • Required fields left empty

On a page running an A/B test, a field that exists in one form only arrives empty from the other. Map it into a required field and that step fails.
  • The filter never passes

Filter rules are typed. A number rule on a text answer, or the reverse, blocks every lead even when the value looks right.

FAQ

Instapage Zapier integration FAQ

01Is the Instapage Zapier integration free?
Yes, you can run it on the free plan. Instapage is not a premium app, and the free plan includes 100 tasks a month. The catch is the shape of the Zap: the free plan only builds two-step Zaps, one trigger and one action. So a submission going straight into one app works for free. The moment you add a filter, a second action or a search, the Zap becomes multi-step and you need a paid plan. Prices change often, so check the current grid on Zapier before choosing.
02How many tasks does an Instapage Zap use?
The trigger uses none. Zapier only bills a task when an action finishes successfully, so a Zap with one action uses one task per form submission, and a Zap with three actions uses three. A step that fails is not counted against your plan. Waiting for new submissions costs nothing either. Do the math on lead volume: if a page brings in more submissions than your monthly task count divided by your number of actions, you will hit the ceiling before the month ends.
03Does Instapage send leads to Zapier in real time?
Yes. Form Submission is an instant trigger: Instapage itself tells Zapier the moment a form is submitted, so the Zap starts right away. The plan interval grid, 15 minutes on Free down to 1 minute on Team and Enterprise, only applies to polling triggers, and this one does not poll. That is good news on the free plan, where a polling app would make you wait. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect Instapage to Zapier?
An Instapage account, plus read or write access on anything you do not own yourself but want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for Instapage, click Add connection again, then sign in to Instapage in the tab that opens and grant access. The connection is saved once and reused by every Zap that uses Instapage. When you set up the trigger you will also have to pick a Page, which is a required field.
05Why are some fields empty when a page runs an A/B test?
Because the two variants of the page can carry different forms. When a field exists in one form but not the other, the leads from the second form arrive without it. If that field is mapped into a required field of your next step, the step fails for those leads. The fix is simple: in your action, map only the fields that both forms have in common into required fields, and keep variant-specific fields for optional ones. Test with a submission from each variant before publishing.
06What if the Instapage operation you need is not on Zapier?
Then Zapier cannot do it for now. The integration offers one trigger and nothing else: no action to create or edit a page, no search to look up an old lead. Everything has to start from a new form submission. Anything that needs to write into Instapage, or read what it already holds, has to happen in Instapage itself or through another tool. Check the app page on Zapier from time to time, since operations get added or retired, and the list on this page reflects one reading date.
07Zapier, Make or n8n for Instapage?
Compare them on criteria, not on a ranking. On Zapier, the facts are clear: one instant trigger, no actions, no searches, free to use for a two-step Zap, and billing by successful action. So ask yourself three things. Is a single trigger enough for what you want to automate? How many leads a month, times how many steps, will you run? Do you need a filter or several destinations, which means a paid Zapier plan? Then put the same questions to the other platforms before picking one.
