Overview

What the OrbitAI Zapier integration is for

The OrbitAI Zapier integration lets your other tools drop customer feedback into OrbitAI, where your product team sorts it. On Zapier you build a Zap, an automation that starts with an event in one app and then runs steps in others. Here OrbitAI is always the destination, never the starting point.

Three outcomes cover most uses. A survey answer turned into a note: each new response in your form tool becomes a feedback note, so product sees the raw words without an export. A support conversation kept for research: a tagged ticket in your help desk files its summary into OrbitAI, so the pattern behind repeated requests does not get lost. A sales remark that reaches product: a field filled in your CRM after a call becomes a note, and the person deciding the roadmap reads it.

The limits matter as much. OrbitAI has no trigger on Zapier, so nothing that happens inside OrbitAI can start a Zap. It also has a single action, Create Feedback Note, and no search: Zapier cannot edit a note, delete one or look one up. Each run adds a new note, nothing more, so sorting and follow-up stay in OrbitAI.

If you are still weighing Zapier for your team, the Zapier review is a reasonable first read.

Vocabulary

Zapier vocabulary in one minute

Seven words come back across this page. Here they are, without jargon.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. With OrbitAI, it always comes from another app, such as a form or a help desk.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you. Here, it files a note.
Task
The unit Zapier bills: one action your Zap completes successfully. The quota on your plan is a count of those.
Instant vs polling
An instant trigger is reported by its app when the event happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and quietly stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes it one, and it needs a paid plan.
Cost

What OrbitAI costs you on Zapier

OrbitAI is not restricted to paid plans: it works on the free plan. The trigger, whichever app it comes from, never costs a task.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • OrbitAI operations0 triggers, 1 action, 0 searches
  • Paid-only appNo

Each Create Feedback Note that succeeds counts as one task, and a failed one is not billed. One note per survey answer means one task per answer. The free plan builds two-step Zaps: one trigger, one action, which is exactly the shape of most OrbitAI Zaps. Add a filter and the Zap becomes multi-step, which needs a paid plan. How fast a note arrives depends on the trigger app: if that trigger polls, the grid below applies.

Connect

Connect OrbitAI to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your OrbitAI account linked once, then reused by every Zap that files notes into it.

  2. 02

    Choose OrbitAI

Search for OrbitAI in the dialog, select it, then click Add connection. You need an OrbitAI account, plus write access to anything you do not own yourself that the Zap should touch.

  3. 03

    Sign in and grant access

Sign in to OrbitAI in the tab that opens, then allow Zapier to reach the account. The connection now appears in the list whenever you add a Create Feedback Note step.

First Zap

GoalSurvey answers that matter to the product team become feedback notes in OrbitAI, with no copy-paste.

  1. 01

    Build: pick another app's trigger

Create a Zap and choose the app where feedback first appears, such as your form tool, with its new-response event. OrbitAI has no trigger, so the Zap always starts elsewhere.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of that connected account, so you build the next steps on a real answer.

  3. 03

    Add a filter

Click the plus icon, choose Filter, then set the field to read, the rule and the value. A text rule works on text, a number rule on numbers; mixing them blocks everything.

  4. 04

    Add Create Feedback Note

Add OrbitAI with Create Feedback Note. Map a field that is always filled into Title, then test the step and check the note in OrbitAI.

  5. 05

    Publish

Click Publish to switch the Zap on. With the filter it has three steps and needs a paid plan; without it, the Zap stays on the free one.

Actions

The OrbitAI action on Zapier

OrbitAI gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Feedback Note

Action

In Zapier“Create a new feedack note in Orbit”

Files a new feedback note in OrbitAI from whatever the trigger brought in, so customer words land where your product team already works. It needs a Title every time.

When to use it
a product manager wants each low score from the satisfaction survey filed as feedback, with the comment attached.
Watch out
every run adds a new note; Zapier cannot update or remove one afterwards.
When it breaks

When your OrbitAI Zap breaks

Zapier lists no help article and no rate limit specific to OrbitAI. What goes wrong comes from Zapier's general behavior, plus the one required field.

  • The note step fails without a title

Create Feedback Note requires a Title. When the mapped field arrives empty, the step stops; a failed action is not billed, but the feedback is not filed either.
  • Old feedback never arrives

A Zap only reacts to what happens after it is switched on. Answers collected before that stay in the source app; moving the backlog is a separate job.
  • A big batch is held back

When the trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back instead of running everything.
  • The filter Zap will not run for free

The free plan builds two-step Zaps only. A filter or a second action makes the Zap multi-step, and it then needs a paid plan.

FAQ

OrbitAI and Zapier: frequent questions

01Is the OrbitAI Zapier integration free?
Yes. Zapier does not reserve OrbitAI for paid plans, so it runs on the free plan. That plan gives 100 tasks per month and unlimited Zaps, with one limit: a Zap has two steps, one trigger and one action. A trigger in your form tool followed by Create Feedback Note fits exactly. Add a filter or a second action and the Zap becomes multi-step, which requires a paid plan. Each successful note counts as one task against the monthly quota.
02How many tasks does an OrbitAI Zap use?
One task per feedback note created successfully. The trigger in the other app costs nothing, and neither does Zapier checking that app for new data. A Zap that files one note per survey answer uses one task per answer; 100 answers in a month fill the free quota. A note that fails, for instance because the Title arrived empty, is not counted. If you add another action after the note, each run then costs two tasks.
03Does OrbitAI work in real time with Zapier?
That depends on the trigger app, because OrbitAI has no trigger of its own. The Zap starts on an event in another tool, and OrbitAI only receives the note. If that trigger is instant, the app reports the event to Zapier and the note follows right away. If it polls, Zapier checks on a timer: 15 minutes on Free, 2 on Professional, 1 on Team or Enterprise. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect OrbitAI to Zapier?
An OrbitAI account, plus write access to anything you do not own yourself that the Zap should touch. The connection takes three moves. Open Apps in Zapier and click + Add connection. Search for OrbitAI and click Add connection. Then sign in to OrbitAI in the tab that opens and grant Zapier access. You also need a connection to the app that holds the trigger, set up the same way, since the Zap starts there.
05Why does Create Feedback Note fail on some runs?
Most often because the Title is empty. Create Feedback Note requires a Title, and when the field you mapped from the trigger arrives blank, the step cannot run. That happens with optional form questions or with records where a value is sometimes missing. Map a field that is always filled, or add a filter before the note so the Zap only goes on when that field has content. The failed run is not billed, but the feedback is not saved.
06What if the OrbitAI step you need is not on Zapier?
Then it has to happen in OrbitAI itself. On Zapier, OrbitAI offers one action, Create Feedback Note, and no trigger or search. Zapier can add a note, but it cannot edit one, remove one, find one or react to something done inside OrbitAI. Any flow that needs those steps falls outside this integration. The practical answer is to keep Zapier for the intake of feedback and handle sorting and follow-up in OrbitAI.
07Zapier, Make or n8n for OrbitAI?
Choose on criteria, not on a ranking. Coverage first: on Zapier, OrbitAI gives a single action that creates feedback notes, so check that intake is all you need. Shape next: one trigger plus one note runs on the free plan, while a filter or extra action needs a paid plan. Timing last: speed depends on the trigger app, instant or polling. Compare those three points on any other platform before choosing.
