Overview

What the Ordavia Zapier integration actually does

Ordavia handles inventory and orders for online shops. Plugged into Zapier, it becomes a starting point: when an order comes in, changes status or a product runs low, Ordavia tells Zapier and a Zap (an automation built on Zapier) carries the news to another app. It only goes one way, out of Ordavia.

Three outcomes cover most of what people build with it. A sales feed: every new order posts a line to your team chat or a spreadsheet, built on New Order. A customer follow-up: when an order moves to a status you care about, the Zap sends a message or opens a ticket elsewhere, built on Order Status Changed. A restock prompt: when a product drops under its minimum level, the buyer gets a heads-up, built on Product Low Stock Alert.

Now the part the app page does not spell out. Ordavia has no action and no search on Zapier. You cannot create an order, update a stock level or look up a product in Ordavia from a Zap. Every Zap on this page starts in Ordavia and ends somewhere else. If the plan was to sync stock between two systems in both directions, Zapier alone will not do it.

The good news sits on the other side. All three triggers are instant, so nothing waits on a timer, even on the free plan. That is rare enough to matter when you pick a plan. Vocabulary

The Zapier words you will meet on this page

Zapier has its own vocabulary. Here it is once, in plain words, so the rest of the page reads easily.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something in another app for you.
Task
What Zapier bills. One task is one action that completes successfully; your plan counts these and nothing else.
Instant vs polling trigger
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer instead.
Filter
A step that lets the Zap continue only when what arrived matches a condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. Ordavia offers none.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What an Ordavia Zap really costs

Short version: the Ordavia side is free. The bill comes from what happens after it.

  • Ordavia trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, 2 steps per Zap
  • Ordavia on the free planYes, all 3 triggers

The trigger never costs a task, so an order landing in Ordavia costs nothing by itself. Each action that succeeds afterwards counts as one task. A failed one? Not counted. The free plan gives 100 tasks a month and caps every Zap at two steps: one Ordavia trigger, one action. Add a filter to keep only some statuses and the Zap becomes multi-step, which means a paid plan. The interval grid below applies to polling triggers; Ordavia's three are instant, so it does not touch them. Ordavia is not reserved to paid plans.

Connect

Connect Ordavia to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Ordavia account linked to Zapier once, then reused by every Zap that needs it.

  2. 02

    Find Ordavia

Type Ordavia in the search box of the dialog, pick it, then click Add connection. You need an Ordavia account of your own; without one, there is nothing for Zapier to link to.

  3. 03

    Sign in and grant access

Sign in to Ordavia in the tab that opens and allow Zapier to reach the account. If the orders or products belong to someone else, make sure your login can read them first.

First Zap

Your first Zap: alert the team on a status change

GoalWhen an Ordavia order reaches the status you pick, post a message in the team channel.

  1. 01

    Pick the trigger

Start a new Zap, choose Ordavia as the app and Order Status Changed as the event, then select your Ordavia connection. A lightning bolt marks the Zap as instant.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from your account, so you set up the rest of the Zap on a real order rather than an empty shell.

  3. 03

    Add the filter

Click the plus icon, pick Filter, then choose the field to read, the rule and the value. Use a text rule for a status: a number rule on text never passes.

  4. 04

    Add the action

Add the message step in your chat tool and map the order details from the Ordavia step into the text. This is the only step that costs a task.

  5. 05

    Test, then publish

Test each step and read what came back before moving on. Then click Publish. With the filter in place this is a multi-step Zap, so it runs on a paid plan.

Triggers

The 3 Ordavia triggers

3 events start a Zap when something happens in Ordavia, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Order

Instant trigger

In Zapier“Triggers when a new order is created.”

Each order created in Ordavia starts the Zap once, with that order's details ready for the next step. It is the plainest way to get sales out of Ordavia and in front of people.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a shop owner who wants every sale logged in a shared spreadsheet or announced in the team chat.
Watch out
orders created before the Zap was published never come through, so plan the backlog separately.
2

Order Status Changed

Instant trigger

In Zapier“Triggers when an order status changes.”

Rather than new orders, this one watches existing ones: every time an order moves from one status to another, the Zap runs. On its own it reacts to every change, of every order.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a support lead who wants a customer message sent only when an order reaches one specific status.
Watch out
to keep one status only, you need a filter, and a filter makes the Zap multi-step, so it needs a paid plan.
3

Product Low Stock Alert

Instant trigger

In Zapier“Triggers when a product stock falls below minimum level.”

Stock, not sales, drives this trigger. When a product's quantity dips under the minimum you set for it in Ordavia, the Zap starts and hands that product on to the next step.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a purchasing manager who wants a reorder reminder in their inbox or task list instead of checking stock screens by hand.
Watch out
the Zap can warn someone, but it cannot reorder or adjust the stock in Ordavia, since the app has no action on Zapier.
When it breaks

When an Ordavia Zap breaks

Zapier ties no help article to Ordavia, so the known failures are the ones every Zap shares.

None of these is specific to Ordavia, and that is the point: they hit people who assume the integration will cover more than it does. When a Zap behaves oddly, our Zapier troubleshooting page is the next stop.

  • Old orders never show up

A Zap only reacts to what happens after it is switched on. Orders, status changes and stock alerts from before that are not picked up.
  • A bulk import gets held back

When a trigger suddenly sends a huge batch, after an import or a migration, Zapier's flood protection can hold the batch back instead of running it.
  • The filter never lets anything through

Filter rules are typed. A number rule on a status, which is text, never passes, and the Zap stops at the filter every time.
  • A filter pushes the Zap off Free

The free plan stops at one trigger and one action. A filter or a second action turns the Zap multi-step, and that needs a paid plan.

FAQ

Ordavia and Zapier: common questions

01Is the Ordavia Zapier integration free?
Yes. Ordavia is not reserved to paid plans, so it works on the Zapier free plan. That plan gives 100 tasks a month and Zaps of two steps: one trigger, one action. A Zap that sends a message for each new Ordavia order fits that shape, as long as the month stays under 100 successful actions. The moment you add a filter, a second action or a search, the Zap becomes multi-step and needs a paid plan. No price is quoted here, because Zapier changes its grids too often for a fixed figure to stay right.
02How many tasks does an Ordavia Zap use?
Only the actions count. The Ordavia trigger itself never costs a task, whichever of the three you use. Each action that succeeds afterwards counts as one task, and one that fails is not counted. A Zap with one action uses one task per order, status change or stock alert. A Zap with three actions uses three. So the volume of orders flowing through Ordavia is what drives the bill, multiplied by the number of actions in the Zap.
03Does Ordavia trigger Zaps in real time?
Yes, all three triggers are instant. Ordavia reports the event to Zapier itself, rather than Zapier checking on a timer. New Order, Order Status Changed and Product Low Stock Alert all work this way. The interval grid of the plans, 15 minutes on Free down to 1 on Team and Enterprise, applies to polling triggers only, so it does not slow these down. In the editor, a lightning bolt confirms the Zap is instant.
04What does connecting Ordavia to Zapier take?
An Ordavia account, plus read access to any orders or products you do not own yourself. On Zapier, open the Apps page, click + Add connection, search for Ordavia and confirm. Sign in to Ordavia in the tab that opens and grant Zapier access. The connection is then reused by every Zap that uses Ordavia, so this happens once. If the login you use cannot see some orders, the Zap will not see them either.
05Can Zapier update stock or create orders in Ordavia?
No. Ordavia offers no action and no search on Zapier, only three triggers. A Zap can carry an order, a status change or a low stock alert out of Ordavia to another tool, but it cannot write anything back. That rules out restocking automatically, editing an order from a form, or keeping stock in sync between Ordavia and another system through Zapier alone. Plan those flows on the Ordavia side, or with a different setup.
06What if the Ordavia event you need is missing?
The Zapier editor only offers what Ordavia has published: New Order, Order Status Changed and Product Low Stock Alert. If the event you have in mind is a variation of these, a filter after the trigger often gets you there, on a paid plan. If it is something else, such as a new customer or a returned item, Zapier has nothing to start from today. In that case the team at Hack'celeration can look at the case and suggest another route.
07Zapier, Make or n8n for Ordavia?
It depends on what you expect from the integration, and this page only covers Zapier. Three criteria help. Direction: on Zapier, Ordavia only sends events out, so a two-way sync needs a tool that can write into Ordavia. Speed: here all three triggers are instant on every plan. Budget: a simple one-action Zap fits the free plan, while filters push you to a paid one. Check those three points against each tool before choosing, rather than picking a winner in general.
