It links Kizeo Forms, the mobile forms app your technicians fill in on site, to the rest of your tools through Zapier. When something happens to a form entry, Zapier can react on the spot, fetch the report, or push new data to a user's phone. No export by hand, no forwarding.

Zapier ties no help article to Kizeo Forms, so the known failure points are the general ones.

  • Old entries are ignored

    A Zap only reacts to what happens after you switch it on. Reports filled in last month will not go through; moving that backlog is a separate job.
  • The Zap feeds itself

    Push Data into the same form that Event on Data watches, and the Zap can set itself off again and again, eating tasks fast.
  • A bulk import gets held back

    After a mass import or a migration, a sudden flood of events can be held back by Zapier's flood protection instead of running at once.
  • The dropdowns stay empty

    Form, entry or user lists come from the connected account. If that account lacks rights on a form, Zapier simply cannot offer it.

01Is the Kizeo Forms Zapier integration free?
Yes, it runs on the free plan, because Zapier does not class Kizeo Forms as a premium app. The free plan gives you 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: free means two steps only, one trigger and one action. A form event that downloads a PDF fits. A form event that downloads a PDF and then posts it somewhere does not, and that second action pushes you to a paid plan.
02How many tasks does a Kizeo Forms Zap use?
One task per action that succeeds, and nothing for the trigger. If Event on Data fires and your Zap runs Download Standard PDF, that is one task. Add a step that shares the file and it becomes two tasks for each entry. Failed actions are not billed. Adding a filter or Get Data makes the Zap multi-step, which needs a paid plan. So the real driver is the number of entries that start the Zap, multiplied by the number of actions after the trigger.
03Does Kizeo Forms trigger Zapier in real time?
Yes. Event on Data is an instant trigger: Kizeo Forms tells Zapier as soon as the event happens, so the Zap starts right away. The interval grid that slows polling triggers on the free plan (every 15 minutes) does not apply here. That is useful for teams on a free plan, because a report can reach the office within the same visit rather than waiting for the next check. A lightning bolt in the editor confirms it.
04What does it take to connect Kizeo Forms to Zapier?
A Kizeo Forms account, and access rights on every form or user the Zap should touch. The connection itself is quick: open Apps in Zapier, click + Add connection, choose Kizeo Forms, sign in and allow access. If the forms belong to a colleague, make sure your account can read them, or write to them for Push Data. Otherwise the form dropdown in each step will come up empty. The whole thing fits in one sitting.
05Why can't Get Data find an entry by customer name?
Because Get Data works from a known form and a known entry, both required. It reads an entry you can already point at, it does not search by content. In practice the entry reference comes from the trigger or from an earlier step. If you only have a customer name, the lookup has to happen in another tool first, or the Zap has to start from the Kizeo Forms event itself.
06What if the Kizeo Forms operation you want is not on Zapier?
Then the Zapier integration cannot do it today. The editor offers one trigger, three actions and one search, and nothing about creating forms or managing users. The usual fallback is to start from the operation that does exist, such as Event on Data, and handle the rest in the next app. Another option is to check whether a different automation platform exposes that operation for Kizeo Forms. Either way, check before promising it to the team.

It depends on your criteria, not on a single winner.
