What the Knack Zapier integration actually does

Knack is a tool for building online databases and the small apps that sit on top of them. Linking it to Zapier means a record created, edited, deleted or submitted through a form in Knack can start an automation, and that the automation can write back into Knack without anyone copying data by hand.

Three results people usually want. First, an intake desk: a client fills a Knack form, New Form Submission fires, and the next step logs the request somewhere your team already works. Second, a clean audit trail: Deleted Record notices when someone removes a row in a live app, so you can keep a copy elsewhere before it is forgotten. Third, a database that fills itself: Create Record and Update Record push data from another tool into the right Knack object, and Find Record checks first whether the row already exists.

What the integration does not do: it moves records, it does not design the app, so your objects and forms stay built in Knack. Anything outside the ready-made operations goes through API Request (Beta), which is a raw call for people comfortable with that.

Watching Knack never costs anything, however many records change. You pay in tasks only when an action succeeds, and a failed action is not counted. A Zap with three actions uses three tasks per run. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter, a search like Find Record or a second action and you have a multi-step Zap, which needs a paid plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not touch you here, since every Knack trigger is instant.

    Open your connections

    In Zapier, go to the Apps page and click + Add connection. A connection is your Knack account linked once, then reused by every Zap that touches Knack.

    Find Knack and launch the link

    Type Knack in the search box of the dialog, select it from the results, then click Add connection. A new browser tab opens on the Knack side, where the sign-in happens.

    Log in to Knack in that tab and allow Zapier to reach the account. You need a Knack account, plus read or write rights on any app you do not own but want the Zap to touch.

When to use it
before updating a member profile, find it by email so the right row gets edited.
Watch out
adding this search makes the Zap multi-step, which the free plan does not allow.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, an empty search stops the Zap and skips the steps that depend on it. Switch it on and the Zap goes on with nothing in hand.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Knack exposes no such variant on Zapier, so you will not see it on Find Record.
  3. If multiple search results are found?
    Several matches? Keep the first one (the default), stop the Zap, or pass all of them along together.
When it breaks

When a Knack Zap breaks

Zapier does not attach any help article of its own to Knack, so the traps below are the general ones that hit this app hardest.

Most Knack Zaps that fail do not fail on day one. They fail the day someone imports a file, edits the wrong object or expects old data to sync. Four cases worth knowing before you publish. For deeper fixes, see Zapier troubleshooting.

  • Old records never come through

    A Zap only reacts to what happens after you switch it on. Records already in Knack stay where they are; moving that backlog is a separate job.
  • The Zap keeps restarting itself

    Updated Record watching an object that the same Zap edits with Update Record creates a loop. Each pass eats tasks until you stop it.
  • A bulk import goes missing

    When a trigger suddenly returns a huge batch, say after a migration, Zapier's flood protection can hold it back instead of running everything.
  • API Request fails silently

    With Stop on error set to No, the step runs regardless of what Knack answers, so a broken call can slip through unnoticed. Choose Yes while testing.

01Is the Knack Zapier integration free?
Yes, Knack is not a paid-only app on Zapier, so it works on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. As soon as you add Find Record, a filter or a second action, the Zap becomes multi-step and you need a paid plan. Check the Zapier pricing page before you commit, since plan details change often.
02How many tasks does a Knack Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap that creates one Knack record per form uses one task per submission. A Zap that also updates a second record uses two. Watching Knack for new, updated or deleted records is free however busy the app is, and an action that fails is not counted against your plan. A few actions across Zapier take more than one task, so watch your task count once a Zap goes live.
03Is the Knack trigger real-time?
Yes. All four Knack triggers are instant: Knack tells Zapier the moment a record is created, updated or deleted, or a form is sent. The polling interval of your plan, 15 minutes on Free, does not apply to them. That makes Knack one of the cases where the free plan reacts as fast as a paid one. In the editor you can spot it by the lightning bolt on the trigger.
04What does it take to connect Knack to Zapier?
A Knack account, and read or write access on any app you do not own yourself but want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Knack, then sign in on the tab that opens and grant access. Have at least one object built, and one form if you plan to use the form trigger, otherwise the selection lists stay empty during setup. Once linked, every Knack step in every Zap reuses that same connection.
05Why does a Knack Zap run over and over?
Because it is probably writing into the place its own trigger watches. If Updated Record listens to an object and the same Zap uses Update Record on that object, each edit triggers the next run. The loop burns through your task count fast. Point the action at a different object, or add a filter on a field that only your team changes so the Zap's own edits do not pass. Note that a filter needs a paid plan.
06What if the Knack operation you want does not exist on Zapier?
Look at API Request (Beta) first. It sends a raw call to Knack with your existing connection, so you are not stuck with the three standard actions. It only reaches domains linked to Knack and expects some technical comfort. Set Stop on error to Yes while you test, so a failed call halts the step instead of slipping through. If raw calls are not your thing, a specialist can build the request once for you.
