Overview

What the kvCORE Zapier integration is for

kvCORE is a platform that brokerages, agents and real estate teams use to run their business in one place, leads and marketing campaigns included. The Zapier integration opens it to your other tools both ways: kvCORE events start automations, and contacts from elsewhere enter kvCORE or get updated there.

Three results teams usually build. A lead alert outside the platform: New Lead starts the Zap and the contact reaches a team sheet, a chat channel or the agent's email. A campaign that talks to other tools: a step in one of your kvCORE campaigns fires Campaign Action, and the Zap does something kvCORE cannot, like logging the moment in a spreadsheet or pinging a colleague. A contact list fed from everywhere: web forms and ad forms create people with Create Contact (Post), and Update Contact keeps their details current.

What Zapier does not do here. There is no search, so a Zap cannot check whether a contact already exists before creating one, or find the contact it should update. Transferred leads do not start New Lead. And a Zap only sees what happens after it is published, so your existing database stays where it is.

If you need help wiring this into a brokerage, our Zapier agency can build them with you, and the Make vs Zapier comparison is worth a read before you choose.

Vocabulary

Zapier vocabulary in one minute

Seven words come back all over this page. Plain-English versions below.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, like a new lead in kvCORE. Once the Zap is switched on, Zapier waits for it.
Action
What the Zap does once it has started: the step that creates, updates or sends something for you, like adding a contact.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is a count of these.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by the app itself as soon as the event happens.
Filter
A step that lets the Zap continue only when the data that arrived meets your condition, and stops it otherwise.
Search step
A step that looks up a record that already exists so later steps can use it. kvCORE offers none on Zapier.
Cost

What a kvCORE Zap really costs

kvCORE is not a premium app on Zapier, so it works on the free plan.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Premium appNo, works on the free plan
  • TriggersBoth instant, the interval grid does not apply

Neither kvCORE trigger costs a task, and waiting for events is free too. Each action that succeeds counts as one task, Create Contact (Post) and Update Contact included; a failed one is not billed. Both triggers are instant, so the plan interval grid does not apply to them. The free plan builds two-step Zaps only, one trigger and one action: a filter to keep certain leads, or a second action, means a paid plan.

Connect

Connect kvCORE to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. A connection is your kvCORE account linked once, then reused by every Zap that touches it.

  2. 02

    Find kvCORE

Type kvCORE in the search box of the dialog, select it, then click Add connection. A new tab opens so you can sign in on the kvCORE side of things, with your own account.

  3. 03

    Sign in and grant access

Log in to kvCORE in that tab and allow Zapier to use the account. You need your own account, plus access to the leads and contacts you did not create but want the Zap to read or change.

First Zap

Your first Zap: send every new kvCORE lead to the agent on duty

GoalEach new lead in kvCORE is emailed to the agent on duty, without anyone opening the platform.

  1. 01

    Create the Zap

Start a new Zap, pick kvCORE as the app that starts it and New Lead as the event. Connect your kvCORE account when Zapier asks you to.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent leads of the connected account. Pick a real one so the next steps are mapped on actual data.

  3. 03

    Keep callable leads

A filter, set on a field of the lead and a condition you choose, keeps alerts to the leads worth a call. It makes the Zap multi-step, which needs a paid plan; skip it on Free.

  4. 04

    Add the email

Add the email step and map into the message the lead details the agent needs. Test it once and read what came back before going any further.

  5. 05

    Publish

Click Publish to switch the Zap on. From then on, each new lead starts it straight away, whatever your plan; earlier leads are left alone.

Triggers

kvCORE triggers on Zapier

2 events start a Zap when something happens in kvCORE, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Campaign Action

Instant trigger

In Zapier“Triggers when a campaign action runs for a specific Zap ID.”

Starts your Zap when a specific action inside one of your kvCORE campaigns runs. You point it at one campaign step, so it gives your marketing sequences a way to reach tools kvCORE does not cover.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
when a contact reaches a given step of a nurture campaign, a colleague should get a task or the moment should be logged in a sheet.
Watch out
the Campaign Zap ID is required and has to be copied from that campaign action in kvCORE; a typo means the Zap never fires.
2

New Lead

Instant trigger

In Zapier“Triggers when a new lead (excluding transfers) is added to your account (may be delayed about 15 minutes).”

Wakes the Zap each time a lead is added to your kvCORE account, whatever its source. Leads that reach you by transfer are left out, which matters on large teams.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a new buyer or seller inquiry should reach an agent's phone, a team sheet or your mailing tool without opening kvCORE.
Watch out
leads already in kvCORE when you publish the Zap never start it; only leads added afterwards do.
Actions

kvCORE actions on Zapier

kvCORE gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact (Post)

Action

In Zapier“Creates a new contact within an account, optionally assigned to an agent.”

Adds a new contact to your kvCORE account and can hand it straight to a chosen agent, so nobody has to dispatch it by hand.

When to use it
prospects fill in a web form, an open house sign-in or an ad form, and they should be worked in kvCORE like any other contact.
Watch out
with no search to check first, the same person submitting twice becomes two contacts.
2

Update Contact

Action

In Zapier“Updates a new contact within an account.”

Changes the details of a contact that already lives in your kvCORE account, so agents see the latest information.

When to use it
a client corrects their email or phone in another tool and kvCORE should follow without retyping.
Watch out
there is no kvCORE search on Zapier, so the Zap needs another way to know which contact it is updating, typically the trigger itself.
When it breaks

When a kvCORE Zap breaks

Zapier links no help article to kvCORE. The cases below are the general limits every Zap shares, read through a real estate platform.

The most expensive one comes from pairing a lead trigger with a contact action. For other cases, our Zapier troubleshooting page is the next place to look.

  • The lead loop

A Zap that starts on New Lead and writes back into the same kvCORE account, where that trigger is listening, can set itself off again and again, and burns through your task count fast.
  • No backlog

The Zap only reacts to leads and campaign steps that happen after you publish it. Your existing database never starts it; moving it is a separate job.
  • Bulk imports held back

Importing a large list into kvCORE can produce a sudden flood of events, and Zapier's flood protection can hold that batch back instead of running it.
  • Wrong campaign ID

Campaign Action listens to one Campaign Zap ID. If the ID is wrong or the campaign step is removed, the Zap no longer has anything to listen to.

FAQ

kvCORE Zapier integration: questions

01Is the kvCORE Zapier integration free?
Yes, on Zapier's side. kvCORE is not a premium app, so its triggers and actions work on the free plan, which includes 100 tasks per month and unlimited Zaps. The limit is the size of each Zap: one trigger and one action. As soon as you add a filter to keep certain leads, or a second action, the Zap becomes multi-step and needs a paid plan. Your kvCORE subscription is a separate matter with your provider.
02How many tasks does a kvCORE Zap use?
One task per action that succeeds. A Zap that emails each new lead to an agent costs one task per lead. The two kvCORE triggers are free, and so is Zapier waiting for events, however many arrive. Create Contact (Post) and Update Contact each cost one task when they work. A failed action is not counted. Watch the loop case: a Zap that creates contacts where its own trigger listens can burn through your tasks fast.
03Is the kvCORE integration real time?
On Zapier's side, yes. Campaign Action and New Lead are both instant triggers: kvCORE itself tells Zapier when the event happens, and the Zap starts right away, whatever your plan. The polling grid of 15 minutes on Free, 2 on Professional and 1 on Team or Enterprise only concerns polling triggers, so it does not apply here. Two limits remain: the Zap only reacts to what happens after you publish it, and transferred leads never start New Lead. When you test a trigger, Zapier brings back the three most recent items of the account, so you can check the data first.
04What does it take to connect kvCORE to Zapier?
A kvCORE account and a Zapier account. Open the Apps page in Zapier, click + Add connection, pick kvCORE, click Add connection, then sign in and grant access in the tab that opens. Your account needs access to the leads and contacts the Zap will read or change. If you plan to use Campaign Action, set up the campaign action in kvCORE first, because the trigger asks for its Campaign Zap ID.
05Where does the Campaign Zap ID for kvCORE come from?
From kvCORE itself. The Campaign Action trigger only listens to one campaign step, and it identifies that step by a long code called the Campaign Zap ID, which you copy from the campaign action you created inside kvCORE. Paste it in the trigger setup in Zapier, then test. If the code is wrong, or the campaign step is deleted later, the Zap stops firing, so check it first when nothing happens.
06What if the kvCORE operation you need is missing?
On Zapier, kvCORE offers two triggers, Campaign Action and New Lead, and two actions, Create Contact (Post) and Update Contact, with no search. Finding a contact by email, logging a note or deleting a record is not available from a Zap. The usual way around it is to let a campaign step in kvCORE do the work kvCORE is good at, and use Campaign Action to hand off only what needs another tool.
07Zapier, Make or n8n for kvCORE?
Decide by criteria rather than by ranking. On Zapier, kvCORE works on the free plan with two instant triggers, which covers alerts and simple handovers well. If each lead needs several steps, compare how each platform bills multi-step flows and whether it connects to kvCORE at all. Hosting, pricing model and how much configuration your team is ready to maintain are the other criteria to weigh before you commit to one.
