What the Leadmate Zapier integration does for you
It links your Leadmate prospects to the rest of your tools, in both directions. Leadmate is a platform where AI agents take care of calls, texts, appointment scheduling and follow-ups, 24/7. Zapier, the automation service, hears about new and changed prospects straight away, and it can also find a prospect and update it.
Three results come out of the four operations. A prospect list that stays current: New Prospect sends every new prospect to a sheet or another tool the moment it is created. A record of what changed: Updated Prospect fires whenever a prospect is edited, so the other tool never shows stale data. Updates written back into Leadmate: Find Prospect locates a prospect, then Update Prospect changes it.
What Zapier does not do here matters as much. There is no action to create a prospect in Leadmate, and none to delete one. Both the search and the update need the prospect's unique identifier, its pk, so a Zap that only knows a name or a phone number has nothing to look it up with. And both triggers are instant, which is good news on the free plan: no interval to wait for.

The triggers never use a task. Each action that succeeds counts as one, and a failed action is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. Find Prospect is a search step, so any Zap that uses it, like a filter or a second action, is multi-step and needs a paid plan. The interval grid below only applies to polling triggers; both Leadmate triggers are instant, so it does not apply to them.
Connect Leadmate to Zapier in 3 steps

Open your connections
You need a Leadmate account first, with access to the prospects you want the Zap to touch. In Zapier, open the Apps page of your account and click + Add connection.

Pick Leadmate
Type Leadmate in the search box of the dialog and select it, then click Add connection. A new tab opens on the Leadmate side so you can sign in. Keep it open.

Sign in and allow access
Sign in to Leadmate in that tab and grant Zapier access to the account. The connection now appears on your Apps page, and every Leadmate step can reuse it.
Your first Zap: every new prospect in a shared sheet

Set the trigger
Create a Zap, choose Leadmate as the app and New Prospect as the event, then pick your Leadmate connection. The editor shows a lightning bolt: this trigger is instant.

Test the trigger
Run the test. Zapier brings back the three most recent prospects of your account, so you map the next steps on a real prospect rather than a guess.

Add a filter if needed
From the plus icon, add a Filter step and set the field, the rule and the value. A filter makes the Zap multi-step, so it needs a paid plan.

Add the action
Pick the app that should receive the prospect and the action that creates the row, map the Leadmate fields into it, then test this step once.

Publish
Click Publish to switch the Zap on. From now on, each new prospect created in Leadmate starts it at once, whatever your plan.

New Prospect

Starts the Zap as soon as a prospect is created in Leadmate. It is the natural entry point when your goal is to copy each new contact handled by the Leadmate agents into the tool where the rest of your team works.
Updated Prospect

Here the event is a change, not a creation: the Zap runs every time an existing prospect is updated in Leadmate. That keeps a copy elsewhere in step with what Leadmate knows about each prospect.

Update Prospect

Writes changes into an existing Leadmate prospect, using data that arrives from another app. It is the only way this integration sends anything back into Leadmate.
The Leadmate search
1 search step looks for data that already exists in Leadmate, so a later step can use it.
A search sits at the bottom of the action list in the editor, under the SEARCH heading. Three settings decide what happens when the result is not the one you expected.
Find Prospect

Looks up one prospect that already exists in Leadmate and hands its details to the steps that follow. It is how a Zap gets prospect data that no earlier step carried.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on without a result.
- Create X if it doesn't exist yet?Ticking this box turns a search into a find-or-create. Leadmate offers no find-or-create variant for Find Prospect, so this route is not available here.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks
Zapier links no help article to Leadmate, and no limit specific to the app is documented. What breaks is the general Zapier behavior, with one trap that this app makes very likely.

The update loop
A Zap that starts on Updated Prospect and ends with Update Prospect writes where its own trigger watches. Each update sets it off again and burns through your tasks fast.Old prospects never come through
